1. What is the importance of feed-back? Discuss various types of
feed-back? (14 Marks)

Ans:- Feedback refers to messages or information that are sent back to the
source from where the message came. The speaker adjusts messages by
strengthening, de-emphasizing or changing the content or form of the messages.

The importance of feed-back is to know whether you have accomplished what


you wanted to achieve with the signal you sent out. Because you need "feed
back" or another parties input for "communication" otherwise it's just considered
"talking too". Also if you get feed back you can be assured that the other person
was actively listening and that they understood what you said. Ex: If you are
talking about childcare and the person response with tuna sandwich you know
that they did not comprehend what you were saying

There are certain dimensions along which feedback is appraised and observed
with respect to certain attributes.

The positive-negative dimension measures the degree of optimism or pessimism


in the contents of the response given by the receiver to the sender.

The person-focused and message-focused aspect emphasizes the context in


which the message is delineated, whether its cynosure is the person who sent it
or the message that was sent.

The immediate-delayed dimension checks the timeliness factor of the message


that the sender receives in response from the receiver.

The low-monitoring, high-monitoring dimension talks about the spontaneity and


sincerity with which the message was responded back to. In effect, the
contrasting factor is a tactfully and carefully crafted response to serve a specific
purpose in disguise.

The supportive-critical dimension revolves around the magnitude of affirmation or


divergence that the message displays in relative comparison of the original
message that he sent.

1. Importance of listening.

Ans:- The importance of listening in communication is enormous. People often


focus on their speaking ability believing that good speaking equals good
communication. The ability to speak well is a necessary component to successful
communication. The ability to listen is equally as important.

The importance of listening in communication is often well illustrated when


we analyze our listening skills with those closest to us. In particular I am referring
to our spouse, partner, children or friends. Pay attention to the everyday
conversations we have with these people with whom we think we communicate
well.

Do you ever find yourself mindlessly saying “uh huh” when one of these
folks is trying to tell you something only to have say just after “I’m sorry what did
you say?" Have you been in a conversation with one of them and you are not
really listening completely to what they have to say because you are too busy
formulating your response?

This is actually quite common and yet we think we are good


communicators. In order to communicate effectively we have to be able to hear
what the other person is saying. Not just hear because the acoustics are good or
because the other person is speaking in a loud enough tone. It is important that
we hear what the person is saying because we have taken the time to actively
listen.

Listening takes work and when it comes to improving our communication


there is no getting around that. When we are listening to music or watching T.V.
we can certainly let our minds wander. If we want our communication skills to get
stronger it is important that we not day dream in a conversation but instead
concentrate fully on what the other person is saying.

No doubt this can be difficult. Not every conversation we are in is


particularly interesting. If however, we want to improve these skills focus is
important even when dealing with younger children and teenagers.

Allowing the person to completely finish their thought before you begin to
form a response is also crucial to good listening. To take it even one step further
wait a moment before you begin to reply. This gives the other person a chance to
add anything else they may have thought of. By waiting an additional moment
before you reply you also let the other person know they have been heard
completely. If you practice this for a time people will relax when conversing with
you because they will know that they don’t have to rush to get their two cents in.
They will appreciate the fact that they can communicate with you and be heard.
When having those important conversations with the people closest to
you, try taking it one step further and repeating back what they said “what I heard
you say is you are uncomfortable...” By doing this you give the other person the
opportunity to correct any misconceptions that may have occurred or to clarify
any points they were trying to make. This heightens the level of communication
you are enjoying. And the person you are communicating with will certainly feel
respected and important given the care you are taking with the conversation.
The technique of repeating back for clarity had been extremely useful when I
have had conversations with my teenagers. It also comes in handy when
speaking with a spouse or partner. Often times in those situations we begin to
assume we know what the other person means. Allowing them to express
themselves completely actually allows for greater intimacy, something we often
desire in our relationships but wonder why we are not achieving.

The importance of listening in communication is something worthwhile to


consider. Good listeners are often some of the best speakers because they have
taken the time to find out what people are truly interested in. If you understand
what is important to people than you understand how to reach them.

The strategies I spoke about are just as effective in the workplace especially
in sales. If you are really listening to what your customer wants it will be that
much easier to fulfill their needs. The customer will be impressed that you
listened to what they were communicating instead of just going into sales mode. I
have personally found in sales that the more I listened and the less I talked the
better my sales ratio was and the more satisfied my clients were. That is a win-
win situation for all involved.

2. Oral communication.

Ans:- The very basic communication if communication with self it is called Intra
personal communication. During Intra personal Communication one thinks and
introspects. On other hand, when one engages in Interpersonal communication,
one interact with another, learn about him or her and act in ways that help to
establish relationship.

1. Face to face communication: Face to face communication with others


has its own merits and demerits. When people communicate orally, they
are able to interact; they can ask questions and even test their
understanding of the message. In addition people can also relate and
comprehend the non-verbal, which serves far more than words. By
observing facial expressions, eye contact, tone of voice, gestures, etc, on
can understand the message better.

2. Telephone: Telephonic Conversation is oral but we cannot call it face to


face communication. It is another types of oral communication with lack of
physical presence. It depends entirely on the voice. Here loud and clear
language usage is of utmost importance. Failures and barriers in
telephone arises from defects in the mechanical devices as well as faults
of speech. Here Pronunciations of words, names and members create
problems to understand it clearly.

3. Presentation: Presentation is very important activity in any organization


which is a Kind of oral communication. It helps to convey a proper
message or matter to the receiver through presentation. It becomes an
integral part for new products, services, to give detail about new
strategies, marketing and sales of a product, production strategies and
data interpretation. It is a well prepared talk about a particular topic.
Through presentation, one can convey properly about particular topic
without barriers to communication. Here the uses of audiovisual aids,
power presentation, slide show etc. are the modern equipments which
help to convey the message properly.

4. Public speech: It is a Kind of oral communication where generally the


distance between speaker and audience is very wide. It is a type of face to
face communication where audience can see the body language,
paralanguage, gestures of speaker and understand his message properly
and in properly and in proper direction. This is a one way communication
and so direct feedback is very less but speaker can get idea of it through
the general response of audience like clapping, cheers, noise, shouting
and even sometime silence.

5. Interview: An interview is also a kind of oral communication where one


person or a group of people are involved. Inter viewer asks questions to
the interviewee and sometime they all discuss some issue together. It has
specific structure and has a specific objective. It is generally in Question-
answer format.

6. Meeting: A group of people are involved in discussion with one-another


for a particular topic is called meeting. This is an oral communication. A
chairperson of a meeting leads, communications and maintains proper
order of meeting. It is well planned so there is a fixed agenda of meeting.
The chairman of a meeting generally communicates the matter and
conveys to the member. It ends with the minutes of the meeting.

3. Barriers to effective communication.

Ans: - The following are the types of barriers which effects Communication:

• Physical Barriers:

1) Noise: Noise is quite often a barrier to communication. In factories,


oral communication is render difficult by the loud noise of
machines. Electronic noise like blaring often interferes in
communication by telephone or loudspeaker system. The word
‘noise’ is also used to refer to all kinds of physical interference like
illegible handwriting, smudged copies of duplicated typescript, poor
telephone connections, etc.
2) Time and distance: Time and distance also act as barriers to the
smooth flow of communication. The use of telephone along with
computer technology has made communication very fast and has,
to a large extent, overcome the space barrier. However, sometimes
mechanical breakdowns render these facilities ineffective. In such
cases, the distance, the distance between the transmitter and the
receiver becomes a mighty barrier.

• Semantic Barriers:

1) Interpretation of words: Most of the communication is carried on


through words, whether spoken or written. But words are capable of
communicating a variety of meanings. It is quite possible that the
receiver of a message does not adding the same meaning to a word as
the transmitter had intended. This may lead to miscommunication.

1) What is the value of this ring?


2) What is the value of learning about communication?
3) I value my good name.
4) Igot good value for my money.
5) There is something wrong with the tone values in all his
paintings.

It is only from the context that we can determine which area of


meaning is to be assigned to a particular word. But on account of different
social, economic, cultural and educational backgrounds, people interpret
even the contexts differently. Misinterpretation results in
miscommunication.

2) Technical jargon: It is said to have occurred if the sender and the


receiver of the message attribute different meanings to the same word or
use different words for the same meaning.

3) Idioms and phrases (Denotations and connotations): Words have two


types of meanings denotative and connotative. The literal meaning of a
word is called its denotative meaning. It just informs and names objects
without indicating any positive or negative qualities. Words like ‘table’,
‘book’, ‘account’, ‘meeting’, are denotative.

In contrast, connotative meaning arouses qualitative judgments and


personal reactions. ‘Honest’, ‘competent’, ‘cheap’, ‘sincere’, etc., are
connotative words.

• Psycho-Sociological Barriers:

1) Attitudes and opinion: Person attitudes and opinions often act as


barriers to effective communication. If information agrees with our opinions
and attitudes, we tend to receive it favorably. It fits comfortably in the filter
of our mind. But if an information disagrees with our views or tends to run
contrary to our accepted belief, we do not react favorably. If a change in
the policy of an organization proves advantageous to an employee, he
welcomes it as good; if it affects him adversely, he rejects it as the whim of
the director.

2) Emotions: Emotional states of mind play an important role in the


act of communication. If the sender is perplexed, worried, excited, afraid,
nervous, he will be unable to organize his message properly. The state oh
his mind is sure to be reflected in his message. It is a matter of common
observation that people caught in a moment of fury succeed only in violent
gesticulation. If thy try to speak, they falter and keep on repeating the
same words. In the same way, the emotions of the receiver also affect the
communication process. if he is angry, he will not take the message in
proper light.

3) Closed mind: A person with a closed mind is very difficult to


communicate with. He is a man with deeply ingrained prejudices, and he
is not prepares to reconsider his opinions. He is the kind of man who will
say,” look, my mind is made up. I know what I know. And I do not want to
know anything else. So just don’t bother me”. You approach such a man
with a new proposal to improve his business and he will immediately
retort,” Look here gentleman, you do presume that you know my business
better than I know? I have been in this line for the last twenty years. What
can you teach me?” Such a person is not open to conviction and
persuasion. And in all like hood, he has not learnt anything in the twenty
years he has been in business.

4) Status-block/consciousness: Sate consciousness exists in every


organization and is one of the major carriers to effective communication.
Subordinates are afraid of communicating upward any unpleasant
information. They are either too conscious of their inferior status or too
afraid of being snubbed. Status conscious superiors think that consulting
their juniors would be compromising their dignity.

5) Poor communication skills: Poor retention of communication also


acts as a barrier. Studies prove that the employees retain only about 50
percent of the information communicated to them. The rest is lost. Thus
information is communicated through three or four stages, very little
reaches the destination, and of that very often only a fraction is likely to be
retained. Poor retention may lead to imperfect responses, which may
further hamper the communication process.

• Cultural Barriers: As noted earlier, it is the receiver who


assigns meaning to message cues and meaning are assigned in terms of a
receiver’ frame of reference. This interpretation of meaning can create
misunderstanding during intercultural communication because the sender and
receiver belong to different cultures and share different values. In fact, our
values are our personal guide to thought and behavior, and expert a strong
influence on us. We should be sensitive to cultural differences and take into
account the values of our listeners/readers while communicating with them.
4. Written communication.

Ans:- Written communication means anything conveyed by the sender to the


receiver through writing. It includes letters, telegrams, notices, circulars, memos,
reports, minutes etc. Everything that has to be written and transmitted in the
written form is called written communication.

1. Letters: If anything conveyed through writing is called written


communication, letter is the most commonly used medium of written
communication. Letter conveys the information or message from one
person tp another person. So it is the best tool of written communication.
In business, there are different types of business letters which are very
useful to organization for development. Communication through letters is
very safe and in this category of communication, the chances for barriers
to communication are very less so it is one of the most useful tools of
written communication.

2. Memo: Memo random is basically an informal communication between


members of a business organization. It is an integrated part of any
organization. Memo is a type of letter which relates to routine day to day
work. Generally it is used for instruction and information, among the
members of organization. Memo is a very useful short and quick way of
communication.

3. Notice: Notice is used when any organization wants to convey same


message for all members. It is the most effective way incase the message
is for the large numbers of people in the same organization. It is the most
effective tool of communication as it conveys message properly and
clearly to proper person. It is very important that notice should be short
and it should be written in simple and clear language. Issuing public
notices is a routine affair with companies.

4. Circular: It is a kind of letter which circulates the same message. Circular


written in an attractive style and appropriate tone can prove quite effective.
Circular is useful to impress the reader with facts and information about
the firm, its policy and the events which may have necessitated the
sending of the circular letter.

5. Report: A report is a kind of document which contains full-length


documents prepared either by an individual or by a committee. Business
reports have its own importance in business as they are very useful for
taking any decision and major changes in policies of organization.

1) Importance of English language in today’s fast-changing
world.
Ans:- English is currently the most wide spread language in the world, it is
second only to Mandarin Chinese in terms of the amount of people which speak
it, but second to none in terms of the number of people learning it. It is currently
the primary language used on the World Wide Web, in the political and business
arenas. It has even become the language of today's pop culture. So yes, I
definitely think that learning English is important

Frankly speaking, it is highly essential to know the language for communication.


In general, the most popular language is English. In this computer age, English is
the only language that any one can understand. So to say, it has become as an
ideal language for expressing our feelings. First, we have to learn the language
and then we have to gain fluency in the language. Unless we have the fluency in
English language, it would not be possible to work with the computer. If you do
not know English, then you would be in need of a translator to do the job.

2) Looking back at my childhood days !

Ans:- It took nineteen years to create who I am today. Within these years, I have
been given the freedom to explore the world in order to satisfy my curiosity
toward all the strange and wonderful things in the world around me.

I grew up in a healthy family. I had an elder sister and a younger brother and this
made my childhood days more colorful. My parents both had stable careers and
this provided us with more opportunities to learn what we desired too. I
remember when I was a young boy; my parents bought us a piano. I have been
exploring music ever since my sister started taking piano lessons. I remembered
that I was often been fascinated by the sound of the piano whenever my sister
was playing the piano. I will be easily carried away by the melodies of the piano.
This affected me so much that I insisted to my parents that I also wanted to learn
piano. So I started my musical journey and continue it to this day. I finally
completed my grade eight piano with a merit. After all the hardship I went
through, success was finally shown in my result. Within these years of learning, I
can either vent my anger or express my happiness through the key on the piano.

I did not end my music after I went to secondary school. There, I joined the
Gijarat Orchestra Society. My purpose of joining this society was to learn more
about my own traditional culture's music. I took a position in strings and my
musical instrument is named "Tanpoora". It is a traditional Chinese musical
instrument similar to violin. Instead of having 4 strings, a tanpoora only has two
strings which can also produce beautiful musical notes as a violin does. It is
slightly lower pitched than violin and it has two wooden knobs for tuning by
turning either clockwise or counter-clockwise. I absolutely love the tanpoora and I
have discovered that with the background in piano, I am learning with
tremendous speed. My teacher said that I am bestowed with talent and asked me
to keep up the good work. My diligence paid off as I was upgraded from being a
member of the orchestra to a concert master. I am very proud that I am able to
take up the responsibility for the orchestra. This also proved that I have
leadership quality.

Besides having flying colors in my activity, I also do well in my studies. I applied


for science stream in my secondary school and I am now pursuing a degree for
electrical and electronic engineering under the American transfer program. I am
often interested in how the computer functions. It is the curiosity that triggered my
ambition of taking this course. After I complete my degree, I will have the
opportunity to obtain a stable and challenging career.
I know that the road ahead will not be easy for me, but I cannot stop here. I need
to move on in order to reach my goals. My success in the future lies in my own
hands.

3) The person I Admire the most.

Ans:- Do you know the person who taught me how to tie my shoelaces? He is
the one whom I admire. He is my father. My father is the most important person
in my life. He is the one who raised me, looked after me, showed me the right
way, gave me advices, supported me, and did many and many things for me. I
admire my father for many reasons; he is a kindhearted, a strong-willed and a
supportive man. He loves and cares for others, works hard in life and helps those
who are in need.

My father is very kind hearted. He is the most loving and caring person I
have ever seen. He always wants to see us as one happy family. If anyone of us
is feeling sad or stressed, he would comfort him/her and try his best to make
him/her feel better. He would stay awake all night if one of us is sick. Because he
loves us and wants us to be the best, he tells us what is right and what is wrong.
When we commit a mistake, he never shouts at us but he tells us that it is wrong
and that we should fix it and not repeat it again. My father treats people around
him with kindness and love. He never carries in his heart any grudge or hatred
for anyone. There is always a big smile on his face. That is why everyone who
knows him admires him.

Moreover, my father is a very strong-willed person whom when confronted


with obstacles would greet them as a challenge to be prevailed. Since he was a
child, he struggled in his life to reach to the top. He always studied hard and got
high grades in school. In university, he specialized in medicine. He worked hard
until he became a successful doctor. My father is very knowledgeable, too. He
loves reading so much and he made us love it, too. What he used to do is that
after we read any book he would ask us what did we benefit from it and he would
give us some money as an encouragement. Because he spends a lot of time in
reading and because he has a lot of experience in life he became a wise man.

Furthermore, my father is a supportive man. He likes to help anyone


seeking for any kind of help whether he knows the person or not. He never minds
helping my mother with the housework. For instance, he helps in washing the
dishes, cooking some meals and cleaning the house. As a man, he feels that
doing all these things is honorable rather than shameful. Moreover, my father
spends a lot of time with us to teach us, help us with our homework, give us
advices, solve our problems and encourage us to do our best in our lives.
Because my father is a doctor, he helps the patients and tries his best to save
their lives. My father is generous, too. He provides us with anything we need. He
sends us to the best schools and does not care about the money. In fact, he
gave us the opportunity to study abroad, supported our tuition and our living
expenses. My father also gives money to the poor and the needy and does not
wait for any reward. Therefore, my father is always there when anyone needs
him.

All in all, my father is the person that I truly admire in my life. He


is a kindhearted man. Love could be always seen in his eyes. He is strong-
willed. Whenever he had a goal he would work hard until he achieves it. He is a
fabulous man who never gives up. He is very supportive, generous and helpful to
people around him. My father is my role model. I always try my best to be like
him.

the power of reason and knowledge. These unique powers are meant

live in. But due to greed and selfishness, we use them for selfish
purposes. We want to make to make our life comfortable. We have

nor do we care for environment. Wild animals are killed, trees are cut
down, atmosphere is polluted. Ecological imbalance is the result of
