How to use this pack

We have a fantastic opportunity to use the inspiration of the 2014 Commonwealth Games to improve the health of all staff by boosting levels of physical activity. This handy pack has lots of ideas and information on how to encourage more staff to be more active, more often leading up to the Games and beyond!

Glasgow 2014 is the biggest multi-sport event to ever be held in Scotland and its on our doorstep. From 27th July to 3rd August 2014, the best athletes from 71 nations and territories will come to Glasgow to compete. The games also provide the perfect chance to boost staff morale, motivation and teamwork. They also provide workplaces with the ideal opportunity to encourage staff to get more healthy and active before, during and after the games!

What the experts say

Getting active and staying active is one of the best things you can do for your health. Every form of physical activity counts and doing something is better than doing nothing. 30 minutes 5 x per week or 150 minutes a week is the minimum recommended level of physical activity to keep you fit and healthy. Adults 19-64 years should aim to be active daily, with at least 2 hours (150 minutes) of moderate intensity activity like brisk walking over a week, in bouts of 10 minutes or more. One way of achieving this is by walking for at least 30 minutes a day on at least 5 days a week. Alternatively adults can do 75 minutes of more vigorous activity spread throughout the week or mix moderate and vigorous activity. Activities to strengthen muscles should be included on at least 2 days a week. Older adults 65+ years should follow the adult guidelines, but those that are at risks of falls should include activities to improve balance and coordination on at least two days a week. Everyone should reduce the time they spend being sedentary (sitting) for extended periods, for example cutting down time spent watching TV, using computers, or in the case of infants, spending time in carriers, seats and equipment like baby bouncers that restrict free movement. healthyworkinglives@ggc.scot.nhs.uk

Types of physical activity

Moderate activity makes you breathe harder and your heart beat faster, but you should still be able to carry on a conversation. Examples include brisk walking, cycling, gardening or heavy housework. Vigorous activity makes you breathe much harder, warms you up and makes your heart beat much faster, so it is more difficult to carry on a conversation. Examples include running, swimming and sports like football.

Activities to improve balance and coordination could include tai chi and yoga.

Activities that strengthen muscles include exercising with weights or carrying or moving heavy loads such as groceries.

Most of us should be aiming to be more physically active than we are at the moment. Around two thirds of people in Scotland dont do enough to meet the guidelines. healthyworkinglives@ggc.scot.nhs.uk

SECC

The SECCs barbeque and traditional games event aimed to raise morale, celebrate the London 2012 Olympics and encourage staff to keep fit. Activities included hula hoop, air hockey, 3-legged race, swingball, hopscotch, skipping, and egg & spoon race. The event also gave staff a chance to socialise within their own department, but also with other departments and was voted a huge success by staff.

DWP Springburn

In Springburn Contact and Benefit Centre their People Engagement Group decided to do something to mark and celebrate the London 2012 Olympics. The call centre was transformed into an Olympic village with teams representing different countries. Landmarks included the Kremlin, Eiffel Tower, Sydney Harbour Bridge to name but a few. National dishes were also on offer. Team sports themed competitions included the javelin (with paper planes), table tennis, netball darts, putting, etc. Bonus points were awarded to teams with the best baton, best decorated plane and best dressed team colours. An Olympic quiz was also fiercely contested so there was something to suit everyones interests and talents. An awards ceremony complete with podium, national flags, medal ceremony and national anthems was organised to celebrate the bronze, silver and gold placed teams.

The council organised an inter-departmental competition to coincide with the London 2012 Olympics. Staff were encouraged to run, cycle, row, swim or walk using gym equipment at any council run leisure facility. A points system was devised according to the distance covered and time taken individual scores were verified by leisure centre staff. Bonus points were awarded for taking part in local fun runs, organised walks, etc. Points were added and a winning team was identified as well as individual bronze, silver and gold winners. Medals were presented to staff at the annual Employee Recognition Awards. As it was such a success, Renfrewshire Council is planning to organise this kind of competition on an annual basis.

Path for Alls Step Count Champion for 2012 was Stephen Morrison from the Job Centre Plus in Glasgow.

Stephen was nominated by several colleagues at the Job Centre Plus for his role in coordinating and encouraging teams from across the Glasgow area to take part in the challenge. It seems Stephen has been something of an inspiration to his colleagues. Having taken part in the Step Count Challenge last year, Stephen was motivated to get more active and as a result lost more than 12 stone. He has become a real champion of walking and actively shares his enthusiasm at every opportunity. He has also spread the word by promoting the challenge and his love of walking in local press and the national government staff magazine. His colleague said of Stephen, "His regular updates, funny communications and passion for walking inspire us all."

Commonwealth Woods Project http://www.commonwoods.org.uk/ Communities across the Glasgow area are being encouraged to head outdoors, get active and enjoy a new network of 13 Commonwealth Woods launched in June 2013. A legacy project of the 2014 Commonwealth Games, the network includes woods that are well-established, boasting ancient trees and wildlife, to newly-planted woods and a riverside park thats being created out of derelict land opposite the Commonwealth Games athletes village. Either way this challenge could be for you. We all make resolutions at New Year like lose weight, get healthy, improve your personal best, and organise your life. Why not resolve to run, walk, jog or cycle just 5 kilometers (or doing a 30 minute swim or your favourite exercise class also counts) every day for 50 days, and change your habits for a lifetime. Workplace Pedometer Pack This Workplace Pedometer Pack contains 10 pedometers and supporting materials to help encourage employees to increase the amount of walking they do at work. Each pack includes a guidance card, step count cards, information leaflets, posters and a leaflet display holder. The Workplace Pedometer Pack costs 150.00, postage included. This pack can be viewed through Healthy Working Lives. To arrange a viewing please contact your link officer.

Workplace Grants Paths for All Workplace Grant Awards can provide up to 2,000 (more in exceptional cases) to support initiatives which aim to encourage people to walk more. Priority will be given to small to medium sized organisations; however the grant scheme is open to organisations of all sizes. The grant can be used to purchase the pedometer packs, send staff on their workplace training, provide incentives, a launch event or local signage and mapping.

Cycling Commuting DVD This Cycle to Work DVD workshop is designed to be carried out at workplaces that are cycle friendly, and is tailored towards people who are contemplating cycle commuting. It supports existing interventions by addressing the challenges that cyclists face, from convenience to safety. The workshop lasts 1 hour and is designed to be run over lunchtimes, allowing minimum disruption to the working day. Commuter Cycle Training for Staff This one day course is aimed at those who want to commute by bike but lack confidence and need practical support to get started. It covers the basics of what to wear right through to how to plan and ride your route to work. For larger organisations there is also the option of the 2 day Commuter Instructor Course which will enable staff who are already competent cyclists to deliver the 1 day Commuter Course to colleagues in-house.

Cycle Friendly Employer Award This national award gives recognition to workplaces who actively promote cycling within their organisation. It also provides best practice guidance in relation to cycle commuting and can be used as a practical tool to implement cycle measures as part of a sustainable travel plan.

Workplace Grant Award Scheme This grant scheme is available to workplaces registered for the Cycle Friendly Employer Award. These small grants (up to 1500, match funded) are to help organisations remove barriers to cycling to work. The grant scheme is available to all organisations but priority will be given to those with 250 employees or less. The grant can be used for staff cycle training, promotion of cycle to work schemes, pool bikes, improvements to cycle parking, and other innovative ideas.

To support jogscotland within your organisation you could: Fund the cost of the Jog Leader course at 70/person. Subsidise the employees annual silver or gold jogscotland membership (bronze membership is free, but silver and gold members get extra benefits). Subsidise or sponsor the group when they take part in running events. Offer the opportunity to hold a jogging group within work time/extend the lunch hour. Provide the group organisers/Jog Leaders with the necessary support and local guidance. Link in with existing jogscotland community groups. There are hundreds of jogscotland groups around the country meeting in community centres, parks and leisure centres, and offering running sessions for a small fee. You could promote these to your employees, and/or fund or part-fund attendance. To find a group near you, search at www.jogscotland.org.uk/local-groups.

A formal jogscotland group. This involves identifying suitable people to be Jog Leaders and sending them on a one day Jog Leader training course, which costs 70. This will give them more knowledge and expertise with which to lead the group.

An informal jogscotland group, set up using the resources in their promotional pack. These do not have trained Jog Leaders, but they do encourage you to ensure members join jogscotland as individual members this can be done online at jogscotland.org.uk/membership. The jogscotland team will be happy to offer advice and support.

What kind of group would work best for your organisation? There are three different types of jogworks group. They are designed to offer something for every workplace setting from the very smallest to the very largest, and each has its merits.

Incentives to try public transport - If you are unsure whether public transport is for you, they can offer incentives to try bus, rail or subway travel thanks to their partnerships with First Bus, SPT and Scot Rail.

Free Loan Bikes - A high quality bike can transform your cycle to work experience. They can offer you a free two week loan from a selection of commuting bikes including hybrid, folding and electric styles. This is a great way to see if you want to get back on your bike before you commit to purchasing one.

Free Journey Planning - They can provide personalised travel plans to aid your transition to sustainable transport. During a 15 minute travel surgery their Travel Choice Advisors will consider your specific journey and look at traffic free routes involving quieter roads and cycle paths, walking routes or integrated travel plans which include bus, subway and rail travel.

Free Cycle Training - Their team of certified cycle trainers can deliver tuition to boost your cycle to work confidence. This can be delivered one-to-one or in a group at a time which is convenient for you. They can provide a bike from their fleet of loan bikes for those who dont own one and even accompany you on your first cycle commute.

Free Dr. Bike - Should your bike need a little TLC, they can help. Their Dr Bike is an experienced mechanic who will visit your workplace and carry out minor repairs/adjustments to staff bikes as well as offering tips and advice.

A Better Way to Work is a new Climate Challenge Fund project that aims to help Glasgow citizens find more efficient ways of commuting and travelling for business - helping to reduce costs and encourage a healthier, happier, more productive city. They offer many free services including:

Free Cycle Sampling Days They can bring a range of bicycles including folding, hybrid, trailer bikes and electric bikes to you. Staff can try out the bikes in a safe environment and remind themselves of the pleasures of cycling.

Free Map - To make your travel planning easier, they have copies of the Glasgow Go Bike travel map to help you on your way to a Better Way to Work.

Eco Driving advice - By learning more efficient driving techniques, you and your employees can reduce fuel consumption and costs by up to 15%. They can also provide free impartial advice about the cleanest, most-fuel efficient cars in each class, and what to look for when buying a used car.

Active Travel Workplace Toolkit This toolkit is designed to help organisations encourage staff to walk, cycle and use public transport for their commute. The toolkit provides guidance on how to implement an active travel policy as well as hints on how to promote walking and cycling within the workplace. Healthy Working Lives Pedometer Loan Scheme

Physical Activity Quiz Use this physical activity quiz to promote the key health messages around physical activity to your staff.

Applications are welcome on a first come first serve basis to borrow pedometers for up to 6 weeks. Each successful workplace must appoint a Workplace Co-ordinator to administer the challenge. This person/s will be responsible for collecting the pedometers from Healthy Working Lives and returning them on the agreed date. Companies who participate in this scheme will be asked to complete a short evaluation which must be returned with the pedometers. Please Note: Our pedometer supply is limited therefore we cannot guarantee you will be successful.

Healthy Working Lives are offering workplaces the chance to run an in-house Step Count Challenge through our Pedometer Loan Scheme. Organisations of 250 employees and under can apply to borrow up to 20 pedometers. Organisations of 250 employees and over can apply to borrow up to 30 pedometers.

You can use this FREE weight management resource independently with your workplace weigh-in group. Linking to Healthy Working Lives Award

Physical activity promotion is part of the Healthy Working Lives Award programme, and an important issue for staff to be made aware of. Here, we provide details of how to link your physical activity activities and information campaigns with the Healthy Working Lives award. Please contact your Healthy Working Lives adviser if you require further guidance.

HWL Bronze - Criterion 3 - You are required to undertake a minimum of 6 topics: 3 activities (which must include mental health) and 3 information campaigns per year covering health topics that have been identified as relevant to your staff e.g. physical activity. Bronze/Silver Maintenance - You will be required to maintain both your Silver and Bronze Awards as you work towards your Gold. You need a 3-year strategy which ensures a long-term commitment to maintaining and improving health in the workplace. The strategy should include an action plan for each year.

Silver Criterion 5 At this stage, physical activity promotion becomes a compulsory part of the award programme. You are required to promote the benefits of physical activity (at least one campaign per year) and promote and/or provide opportunities to encourage employees to be/become physically active within and outwith work (at least 2 opportunities per year).

How to run a 2014 event

The 2014 Office Games are a team event, so divide employees into teams representing their chosen Commonwealth country. Encourage employees to dress up in national costumes too. Trying to complete all six events in one day can be very time consuming, so we recommend spreading the games out across a week by hosting one game a day and two events on Friday.

Guide to the 2014 Office Games

You dont have to wait until the 2014 Games to enjoy this fun event. Organise your own event when you want to give employees a morale boost. These activities will have everyone cheering on their teammates, having fun, and celebrating as a team. Let the games begin!

The Desk Chair Sprint is a two person event. One teammate sits in the chair while the other manoeuvres the course; then they switch. They each need to complete one lap around the race course, and they are timed for the two laps. For every cone hit by the chair wheel, there will be a one point deduction off the teams ID Card Toss score.

Desk Chair Sprint For this event, create a race course with chalk or tape. Include two spins and space cones throughout the course as obstacles. You will need one office chair with wheels that swivel.

Final score is tallied up for the card toss, penalty points are deducted for any cones hit during the chair race and the team ends up with a numerical score.

Each team selects two players to compete; each player receives 5 ID cards to toss. Their score is tallied after all cards have been thrown. Vary the weight of the ID cards by bundling several cards together with a rubber band.

ID Card Toss For this event, you need chalk or tape to create a shuffle-board-like court. Set up three hoola hoops as targets on the floor with three different scores for tossing a card into each. The closest hoop is one point, the next closest is 10 points, and the furthest hoop would be 30 points.

When all teams have been through both the Desk Chair Sprint and the ID Card Toss events, rank the scores from both games, then add the teams two scores together for an overall ranking based on lowest average score.

Office Trivia Office Trivia is a team event, and each team will have five minutes to finish. Create a set of 10 trivia questions regarding your company. All the answers must be found within your organisation. Team members may seek out answers, however they cannot ask for assistance from anyone who is not on their team. Teams will earn 1 point for each question answered correctly. A 0.5 point deduction will be taken for every 15 seconds over the 5 minute time limit. If finished in less than 4 minutes and have all questions correct a 5 point bonus will be awarded. In the instance that we have a tie score, the team that finished in the least amount of time will win the event. Archery Archery is an individual event, and two players from each team compete. Provide a pile of rubber bands and print out our colourful target on a whiteboard. Mark a line on the floor about 12 feet away from the target. Competitors have 60 seconds to grab rubber bands from the pile and shoot them at the target, one at a time. Count the number of times the athlete hits the target. The total number of hits becomes the teams score for the event. Finger Skating Finger Skating is an individual event, and two athletes from the team will compete in a sixty second typing competition. Use a free timed typing website, such as typingtest.com, and show the event using a projector and screen. Each athlete has one minute to earn a typing score for their speed and accuracy. Once all the teams have competed, rank them based on their scores. Memory Slalom Memory Slalom is a team event, and the entire team plays. The team will designate one person who will write down the answers, and no one else from the team is allowed to have a pen or pencil. The team watches a one minute video together that contains very fast pictures/clips of significant moments in television history. The team will shout out what they see, and the designated person will write down what the team saw on the screen. After viewing the first one time, the team has two minutes to finish writing down what they saw. The team will then watch the video a second time, following the same instructions as above, and have another two minutes to write down what they saw. Points are awarded for each correct event/picture/clip they wrote down.

Final Scoring After all the teams have completed the event, rank the teams based on their event score. The teams rank is also their final score for the event. For example, a first place ranking is worth one point; an eighth place ranking is worth eight points. The team with the lowest score after all six events have been tallied is your overall Office 2014 Games gold medal winner!

Award Ceremony The Office 2014 Games are not complete without an award ceremony! Keep the final scoring a secret, and call together all the teams for your award ceremony. Add some fanfare by playing the anthem and having all the teams parade into your meeting space.
