THE SEVEN CS OF BUSSINESS COMMUNICATION

The seven cs of business communication are as following; Completeness correctness courtesy concreteness clarity consideration conciseness
1.

COMPLETENESS

The message is complete when it contains all facts that reader or listener needs for the reaction you desire .Communicators differ in mental filters so that is why communication senders need to assess their messages through eyes of receivers to be sure they have included all relevant information. IMPORTANCE: Completeness is very important because complete messages are more likely to bring the desired results without the expense of additional messages. It can do a better job of building goodwill .complete messages can help avert costly lawsuits that may result if important information is missing. EXAMPLE: Consider an example of software distributor who when replying to a dealer s letter! answered only four of seven "uestions. #ecause the original "uestions were unnumbered and somewhat buried in five long paragraphes! the respondent apparently overlooked or disregarded three of them. The reply! incomplete! caused the distributor to lose the business and goodwill of a potential customer.

CORRECTNESS

$t the core of correctness is proper grammer! punctuation! and spelling. The term correctness means the following three characteristics: %se the right level of language. Check the accuracy of figures! facts! and words.

&aintain acceptable writing mechanism. The levels of language are formal! informal and substandard. $void substandard language.

IMPORTANCE:
The correctness is important in a sense that no one can understand the meaning of your message if it is not correct! grammatically or there is some other mistake.

COURTESY

Courtesy involves being aware not only the perspective of others but also their feelings. It is not merely politeness with insertion of 'please( and 'thank you(.

IMPORTANCE:
It is important because it generate a special tone in the writing and speaking of communicators.

EXAMPLE:
If you wrote 'sometimes my wording is not precise; let me try again( instead of 'clearly! you did not read my latest fax( it would be more fine and courteous.

CONCRETENESS

Concreteness means being specific!definte!and vivid rather than vague and general. The following points should be kept in mind while composing concrete messages; %se specific facts and figures. )ut action in your words. Choose vivid! image building words.

IMPORTANCE:
The message to be concrete is important because receivers know exactly what is re"uired or desired. Concrete messages are more richly textured than general or vague messages.

EXAMPLE:
*et consider two sentences: +tudent ,&$T scores are higher.

In -./- the ,&$T scores averaged 0..; by -./1 they had risen to 0-.. The first sentence is vague! general and indefinite but the second one is concrete and precise.

CLARITY

The purpose of clarity is to transfer the meaning of the message from the head of communicator to the head of readers. The message would be more clear if you would choose precise! concrete! and familiar words.The message would also be clear if you would construct effective sentences and paragraphes.

IMPORTANCE:
It is important because it create a balance between precise language and familiar language.

EXAMPLE:
Consider two statements: $fter our perusal of pertinent data! the conclusion is that a lucrative market exists for the subject property. The data was studied show that your property is profitable and in high demand. The first statement is unfamiliar and unclear while second one is more familiar and clear.

CONSIDERATION

Consideration means preparing every message with the message receivers in mind; try to put yourself in their place. 2ou should be aware of their desires! problems! circumstances and emotions. The specific ways to indicate consideration are : +how audience benefit or interest in the receiver. 3mphasi4e on positive and pleasant facts. 5ocus on 'you( instead of 'I( and 'we(.

CONCISENESS

Conciseness is saying what you have to say in the fewest possible words without sacrificing the other c "uality .$ concise message is complete without being wordy. Conciseness is prere"uisite to effective business communication. To achieve conciseness! observe the following suggestions: 3liminate wordy expressions.

Include only relevant material. $void unnecessary repetitions.

IMPORTANCE:
It is important because it saves time and expense for both sender and receiver. Conciseness contribute to emphasi4es by eliminating unnecessary words. Concise messages show respect for recipients by not cluttering their professional lives with unnecessary informations.

EXAMPLE:
Consider two sentences: )lease be advised that your admission statement was received. 2our admission statement has been received. The first one is wordy while the second one is concise.
