Chapter I

Introduction:

A. History of the Business: Jirahs Junkshop The Business, as claimed by the owner, started when her grandfather has a friend whom invited him to try operating a Junk Shop. They started a partnership agreement in the business. As time goes by, however her grandfather decided to establish a business of his own, so he left the partnership and embarked to start his own Junk shop. The business was a success it enabled the grandfather to support all of his children with their academic and domestic needs, as well as have much leftover for some luxuries.

The Grandfather decided to pass down his technique in running a respectable junkshop to his children, who the owner is, obviously, and as the grandfather grew old, weak and frail, he was no longer fit to run the junkshop so the children took over his stead.

B. Corporate Goal: VISION: To perpetuate the business with profitable outcome as well as provide sufficient employment for the least notice sector of the Philippine society, to give not only income to the owners family but as well as income to those below the poverty line as much as possible to propagate development even in a minor scale.

MISSION: As Filipino citizens to respectively aid our government by providing the right and sufficient amount of tax as it is the inherent responsibility of any business. As a Business to provide service both to sellers and buyers of all sectors and all classes and that provides income for both employer, employee and customer. As well as keep the quality of the product at top-notch condition for a satisfactory feedback. As Human beings to show that there is profit even in the presence of junk and scraps by providing innovative and profitable ways of dealing with the former and the latter by different procedures of refining and selling of the products with best quality as possible.

C. Services/Products: We mainly derived our products from the many collectors of scraps and junks that sells their gathered resources in our humble operating location, send out foraging workers to get resources or we simply bid to buy a structure that may be demolished for its materials. Our Product ranges to almost all Kinds of Metals, Plastic, Fabrics and even expired food, within reasonable condition, which we re-process or refine to provide a fresh block of the said products, except for the latter, which is food. Such examples of Metal Products we provide are: Copper Bronze Steel Iron Platinum

D. Scope of the Proposed Information System: The current business has no Database at all, or rather have a very primitive form of database such as receipts or books. Our proposed Database will encompass most operations such as the list of companies/customers, provides the lists of sale representatives, products and as well as provide a order list. The respective Tables will have valuable information as example of the products list, it will show the corresponding profit, price and cost of a product. We envision that it will be a stepping stone to their business to further develop and make it more prosperous. It will enable them to update, add, delete, modify and monitor their business with ease.

Chapter II
Current Database Management System
A. Data Storage and Retrieval The business is currently using, they even pertain to it as not even a database primitive form database, which is the book-written form, whereas the bulk of their information are stored within the confines of a ledger, journal or even a receipt. B. Data security The security of database is quite vulnerable considering it is based purely on paper which are susceptible to modification or deletion by unauthorized personnel. It is also kept it books or receipts which are mainly kept in folders or cabinets which are very open to foreign hands.

C. Database Maintenance It is a tedious and manual process whereas they will gather their records, even with a chronological order of recording it is still a time consuming and meticulous process, whereas the slightest mistake may lead to the downfall of the business.

Problems encountered with the current Database Base Management System. With a paper-based, very primitive in our technological advancing world, type of database it is very vulnerable to all kinds of dangers. The main problem for the business was losing a sensitive record, whereas they would always keep a copy that will take up space and even add more meticulous and tedious work on updating. Data redundancy is no stranger; there have been countless encounters with it. There have been claims that an entire folder comprise one, and only one, document of the same exact kind. Security also is a big deterrent to a harmonious and efficient business. It is quite vulnerable to modifications by unauthorized personnel. Its merely a pen or pencil mark away that can lead to the downfall of the business. There is also the problem of sabotaging or records that mysteriously disappeared. There is also a problem of accessing and retrieving needed data with ease and efficiency. The paper-based system, with all its worth, is bulky and gives the paper work guys a mountain to climb, literally. It makes work that is to be easy and fast into something tedious and time consuming. Along with accessing; Updating, Recording, Modifying, Deleting and Monitoring records is a very time consuming and hard form of process, manually shifting papers to and fro which can lead to misconceptions and miscommunications which are not advised in any meticulous and sensitive cases. All problems are easily countered by a simply computer database system that will not only stop the stated problems but will make the business more efficient and more user friendly especially to the new employees.

Chapter III
Proposed Database Management System
A. Description of Proposed Database It is a simple, yet very innovative evolution, kind of database that shows the list of customers, sales representative, products, and current orders. It also provides different queries that will answer the most common questions that may arise in the business as well as provide various forms, for both customer and employees concern and discretion. It harnesses also the ability to provide not only receipts, as proof of order; designated in a order form, but also reports of various needed, common, accounts such as a printed list of sales representatives.

B. Definition of the Tables The First table is the Customers Table which has the following fields: Customer ID: This is the unique identifier of the table, as well as the customers unique identification from others and the foreign key in other tables. Company Name: This is the name of the company of the client. Country: The country or place where the company is stationed. Contact person First/ Last Name: This are separate field which merely contain the contact person within every client. Contact person #: This is the contact number of the contact person. Website: This indicates the webpage of the company, if they have one. Notes: This is left for special remarks, purely for the use and modifications of authorized employees. Sales Representative ID: This represents sales representative, a foreign key and primary key of another table. Basically this encompasses the basic and information in a Customer list. The next table is the Orders Table which has the following fields: Order ID: This is the unique identifier of the table as well as a foreign key in other tables, this provides a unique identifier for every order. Order Date: Simply displays when the order was given. Product Ordered: It is a foreign key, and a primary key of another table, which merely represent the product bought or wanted by the customer. Quantity Ordered: It represents how many (counts) of the type and class of the product they ordered. Customer ID: This represents the buyer or the client, a primary key in another table, which provides ownership for the order.

The Orders table basically shows the orders in a organize manner. The next table is the Product Table which has the following fields: Product ID: It is a unique identifier for the table, as well as a foreign key in others, and it is used to identify products not only by types but in classes also. Product type: This is the type of the product, shows what kind of product it is. Product Quantity: This is the class whereas this shows how much of it is by every Product ID type. Note: It is by kilograms. Price: Shows the corresponding price for the product Cost: Shows the expense while refining or manufacturing the product. Profit: Shows the revenue or income in every product by getting the difference of Price and Cost. Notes: Provides for any remarks for the product, employees authorization and not customer. Basically the Product table provides a friendly environment for updating, adding, deleting and etc product listings. The last table is the Sales Representative it has the following fields: Employee ID: This is unique identifier for the table, foreign key for other tables, and it gives every employee unique serial numbers for easy monitoring. Makes them feel special. Last Name/ First Name: This are separated fields that merely contain the name given to the employee. Cellphone#: A contact option of the employee Email Address: This is another contact option for the web communication. Wage: This is how much money they get paid Remarks: Reserved for the employers use, memos on these sales representatives. Like with the customer, this is an evolve form of employee list, more user-friendly and easier to use.

D. Forms This are somewhat the easier or interface form of the tables, which are the most userfriendly aspect of the database. Our database is comprised by 6 Forms, there are 2 navigation forms and 4 component forms. The First Navigation Form is the Company Navigation Form which comprises of: Customer Form, Product Form and Sales Representative Form. This is mainly for the employees and employers use. The Second Navigation Form is the Customer Navigation Form which comprise of: Orders Form. This is purely for the use of the customer, and the employee also, by monitoring the orders. The 4 component forms are: Customer Form: It is a user-friendly representation of the customer table, with the added logo of the business and 4 button actions which are: New Customer, Rec ord Customer, Next Customer Record and Previous Customer Record. The Sales Representative Form: It is much like the Customer Form but with the representation of the Sales Representative table. It also has the logo and 4 buttons which are: New Sales Representative, Record Sales Representative, Next Sales Representative and Previous Sales Representative and it also has a subform of the client they have. Product Form: It is a representation of the Product Table. It has the logo and 4 buttons which are: Add Product, Save Product, Next Product and Previous Product. Orders Form: It is the representation of the Orders product, minus the Order Status. It has 4 buttons which are: New Order, Place Order (This is like the save feature), Print Order (A receipt form), Next Order Record and Previous Order Record.

E. Queries These are rather statistical questions usually asked in the business. We currently have 4 Queries in the Database. Country Customer Statistics: Shows that how many clients we have in a country. It will prompt the user to enter a country, if that country has any clients It will display them. Orders Currently Processing: Shows the orders that are currently being done or being completed. Product Order Count: Statistic Query showing what product is mostly ordered. Sales Representative Contact: A easily made contact queries F. Reports These are the print-ready form-report that are usually needed for harddocumentations. We have 4 reports currently in the Database. Customer Report: It is a print-ready form of the Customer table with the Logo, time and date and with page number if it is needed. Product List Report: It is a print-ready form of the Product list with the logo, time and date and page number if it is needed. Sales Representative Contact Report: The main difference of this is that it is purely for address keeping purposes. Sales Representative Report: It is a print-ready form of the Sales Representative table with the logo, time, date and page number if it is needed.

Chapter IV
Conclusion and Recommendation
A. Conclusion We highly believe that with our database upgrade that the business will further prosper and expand in terms of productivity, organization and even efficiency. We believe that it will pave the way not only for the physical but also in the integral improvement of the business. This Database will be highly useful to the business as it is a long step from the paper to digital organization. Especially with the added queries, forms and reports it will be a much for employee-friendly environment as well as customer friendly service interface. It solves every single Database problem they had with their previous one, and even added some new features.

B. Recommendation We recommend to use, and if possible further improve their database capabilities, the database to its fullest extent to the benefit of the business. We also recommend to train their employees with proper usage, even with basic or fundamental knowledge, on how operating a database. They should still also keep a handful of hard-copies in case of any unforeseen technical difficulties that may occur, which are highly slim in chance, to at least keep data integrity at the minimum. Finally we recommend that they continue their operations with the new arsenal of business tools they have gain for the benefit of our country, our fellowman and our Lord.

What you thought was fun: The whole experience was fun. Organizing and Planning was my favorite parts. It was fairly hard at first, bickering on what business should we take up as our paradigm. As we accomplished this, taking in mind the hardship and setbacks that we encountered, the feeling of success is much sweeter. What was your role: I, although moderate myself, took the responsibility of being the leader of the group. I organized and make the decisions that are imperative for the groups progress and influential also to the success. I do however take up the role Jack-of-the-trade also if circumstances warrant it, as I take up the role of being a Mentor or guide in terms of creating the graphical representations of the table such as the forms and reports. What have you learned: The world is growing more and more into the Star-wars age. Business and people alike need to inculcate technology within their perspective and very lives. We thrive, as well as almost all business, on the ease of operations that technology gives. Databases are indeed cornerstones of business

What you thought as fun: Learning more on how to set up a database, learning all the necessary information needed in making it. Setting up a database can be a little tricky for us to make but with teamwork and cooperation, we can finish it in no time. What was your role: My role is to make queries, forms and reports of necessary information needed on our database. Another one is making the E-R Diagram so that we can also explain in detail how our business database runs and works. What youve learned: Ive learned that in starting a business, making a database could be really useful in order to organize information about your customers, items, transactions, orders, deliveries and more. There are lots of things you could do with it that will help you maintain proper data distribution between your business and your customers.

What you thought was fun: I liked the part where we travelled for the interview of the initial subject for our databases. I also enjoyed the little things such as the breaks we had as we played various things such as basketball, leisure in cafes and etc. What is your role: I acted as the assistant of every member if ever they needed one. I acted also as part of the concept team as well as I keep all the members in high morale if ever disaster struck. What you learned: All those interviews and business terms were very heavy on my part. I learned that businesses arent that easy to operate, even though it looked liked it. In laments term: I learned how the marketing people feel.

What you thought was fun: The making of the database itself was quite amusing for me. I found somewhat enjoyment in typing the needed records in each field What is your role: I acted as the researcher of the products as well as I have digitalized them into the table and put categories and the estimated price of each one. I also provided amusement in the form of guitar shredding while the team was Database-ing What you learned: I learned the accurate price of the products that Ive searched by using the calculated field and I definitely learned that in every business one should always get more than they bargained for.

What you thought was fun: The Documentation process was fun as I typed and typed, although I do get called for some of my typos and what not it was fun considering I have a fast set of hands. What was your role: I am part of the documentation team of chapter II whereas I compared the obsolete database with our proposed one. What you learn: I learned the different types of Data retrieval, in database management. That involves extracting the wanted data from a database. The two primary forms of the retrieved data are reports and queries. Database security concerns the use of a broad range of information security controls to protect databases against compromises of their confidentiality, integrity and availability. It involves various types or categories of controls, such as technical, procedural/administrative and physical. Database security is a specialist topic within the broader realms of computer security, information security and risk management. .

What you thought was fun: I had fun during interviewing the owner of the business which happens to be my father as I have learned new things I have not known, and I have discovered many things about my father. What was your role: I had the pleasure of interviewing the owner of the business, its history the way they work and how the earn money. I became the link and the source for our groups database. What you learned: I learned that creating a database is pure hard work and is created using pure teamwork. Although a groups cohesion is unstable so long as we have one goal in mind, to pass, we can achieve anything. Thankfully we did.

What you thought was fun: It was fun going around interviewing the people who we were trying to get information from. And canvassing who had the most convenient business for us to make a database. What was your role: Learning how their business works especially how they contact their customers. I gather the customer data and organized it. Like contact number, contact name, address, email and other stuff like that. What youve learned: I learn different ways to start a business. And how they keep track for their customers and warehouse. Theres always room for imagination in these kind of projects, luckily I have it.
