Communication From Latin words communicare meaning to share . Is a process by which one person gives to or receives from other person information about that persons needs, desire, perceptions, knowledge, and affective state. Is the activity of conveying information through the exchange of thoughts, message as by speech, visuals, signals, writing or behavior. Elements of Communication Process a) Stimuli promotes activity, interest, and enthusiasm. b) Sender the one who start of conversation or source of information. c) Receiver the one who receive the message from the sender. d) Channel the route traveled by the message as it goes between the sender and the receiver. e) Feedback the response of both the receiver and the sender. f) Noise is the interference that keeps the message from being understood or accurately interpreted. g) Context environment or setting. Channels of Communication Organizations depend on teamwork. Good communication builds teamwork by: - Permitting two-way communication. - Unifying group behavior. Use both formal and informal channels. Types of Channels Formal channels used for official information. Two types: 1. Vertical 2. Horizontal

Vertical channels - Between top and lowest levels - Less opportunity for feedback. Horizontal channels - People on the same level. - Greater opportunity for feedback. Informal channels Also known as the grapevine. Exists in all organizations Can be both positive and negative - Information passes quickly. - Messages can be distorted, abbreviated or completely inaccurate.

Modes of Communication 1) Written communication written message includes letters, emails, and manuals. Advantage of written communication Help in laying down apparent principles, policies, and rules for running of an organization. More precise and explicit. Develops and enhances an organizations image. It provides ready records and references. Legal defenses. Disadvantage of written communication Time consuming Too much paper works and e-mails burden is involved. 2) Face to face communication (oral communication. The managers communicate verbally upward and downward and formal and informal. They also communicate verbally in formal meetings, with people in peer work groups and when making a formal presentations. Advantage of oral communication

There is high level of understanding and transparency in oral communication as it is interpersonal. Feedback is spontaneous in case of oral communication. Thus, decisions can be made quickly without any delay. Disadvantage of oral communication If you do not have good interpersonal skills, then you cannot communicate effectively. There is less time to answer the persons question, so it requires ability to answer rapidly. 3) Non verbal communication process of conveying in the form of non-word message. It includes gesture, body language, facial expression, and eye contact. Levels of communication 1) Intrapersonal 2) Interpersonal 3) Group 4) Public 5) Mass 1. Interpersonal communication - The type of communication a person has with himself, thus the prefix intra- which means within. - Soon as a human being awakens, he begins an internal thought process and dialogue, almost always silent, but sometimes aloud. 2. Interpersonal communication - Interpersonal communication takes place between two people. - This type of communication varies depending on the relationship between the two individuals. 3. Group communication - Group communication occurs when three or more individuals, who have a common goal, interact either formally or informally. 4. Public communication - Public communication takes place when one or more individuals communicate with a large group in a more one-directional approach. 5. Mass communication

Mass communication occurs when extremely large groups receive information, like a television audience watching a news broadcast, as well as the intermittent commercial advertising.

Organization communication - Communication is the basis for the way in which organization works - Is a sub field of the larger discipline of communication studies. - Organizational communication, as a field, is the consideration, analysis, and criticism of the role of communication in organizational contexts. - ORCO is the process of creating, exchanging, interpreting, and storing messages within a system of human interrelationship - The exchange of oral, nonverbal and written messages within a system of interrelated and interdependent people working to accomplish common task and goals within organization - Message centered Areas of ORCO Theory Gender Culture Technology Vision/Mission Advantage and Disadvantages Advantages Increase productivity Encourage decision making Strengthen relationship Improves understanding in the working area Disadvantages Misunderstandings Fraternization

Four dimensional flow of communication: Downward communication: The traditional line of communication is from the manager down through the levels of management. Is primarily directive and helps coordinate the activities of different levels of hierarchy by telling staff associates what to do and by providing the information needed by staff associates to relate their efforts to the organizations goal. It includes employee handbooks, performance appraisal, rules and regulation, chain of command, job description sheets, interviews and employee counseling. Upward communication: Emanates from subordinates and goes upward. Newer management techniques encourage delegation of authority and more personal involvement in decision making, thus creating a need for accurate upward communication. Examples of upward communication are discussions between subordinate and superiors, grievance procedures, written reports and statistical reports. Horizontal communication: Is between departments or personnel on the same level of the hierarchy and is more frequently used to coordinate activities. Diagonal communication: Deals with information that flows from the caregivers to the patients, their families, relatives, visitors and the community.
