(25 Marks) ( Urvashi Ramheet) Introduction United Parcel Service (UPS), the worlds largest air and ground pac kage-distribution company, started out in 1907 in a closet-size basement office. Jim Casey and Claude Ryan two teenagers from Seattle with two bicycles and one phone promised the "best service and lowest rates." UPS has used this formula su ccessfully for more than 90 years. Today UPS delivers more than 13 million parcels and documents daily throughout t he United States and more than 200 other countries and territories. The firm has been able to maintain its leadership in small-package delivery services in the face of stiff competition from Federal Express and Airborne Express by investing heavily in advanced information technology. Over the past decade, UPS has spent more than $1 billion a year to boost customer service while keeping costs low a nd streamlining its overall operations. Through its automated package tracking system, UPS can monitor packages througho ut the delivery process. Inputs: The inputs include package information, customer signature, pickup, deli very, time-card data, current location (while en route), and billing and custome r clearance documentation. First and foremost, computer handheld device called Delivery Information Acquisi tion Device (DIAD) identify to be an input device use by United Parcel Service ( UPS) for their package tracking system. This input device automatically captures customers signatures along with pickup, delivery, and time-card information. The driver then places the DIAD into the UPS trucks adapter, information is then tr ansmitted to UPS computer network for storage and processing by UPS main compute rs in Mahwah, New Jersey, and Alpharetta, Georgia. From there, the information can be accessed worldwide to provide proof of delive ry to customers or to respond to customers queries. Secondly, Bar Code Devices i s also identified to be an input partly because it helps UPS scans shipping info rmation on the package label and then fed into the central computer. Customer se rvice representatives can check the status of any package from desktop linked to the central computer and are able to respond immediately to inquiries from cust omers.UPS customers can also access this information from the companys website us in g their own computers or wireless devices such as pagers and cell phones. Processing: The data are transmitted to a central computer and stored for retrie val. Data are also reorganized so that they can be tracked by customer account, date, driver, and other criteria such as the consolidation of orders for efficie nt final delivery of packages. With the new subsidiaries, UPS now gas also the p otential to lease call centre capacity to a customer, handle logistics and relat ed information exchange for all transactions. Outputs: The outputs include picku p and delivery times, location while en route, and package recipient. UPS relies on several technologies to gain a competitive advantage against rival companies. UPS net It is a global electronic data comm unication network that provides an information processing pipeline for internati onal package processing and delivery. 2. DIAD Using a handheld computer device called a DIAD [Delivery Information Acq uisition Device], the driver electronically captures information about each pack age, including the time of delivery and even the signature of the person receivi ng the package. This information is transmitted via cellular telephone from the package car to UPS computers, where it is available for customers to trace their packages or verify proof of delivery. 3. In addition to that the technologies used in UPS consist of handheld computers ( DIADs), barcode scanners, wired and wireless communications networks, desktop co mputers, UPSs central computer, storage technology for the package delivery data, UPS in-house package tracking software, and many different pieces of software t o access the Internet and many different pieces of software for tracking package s, calculating fees, maintaining customer accounts, and managing logistics. The Web serves as the foundation for new kinds of information systems such as th eir Web-based package tracking system. Through the use of DIADs, the UPS drivers automatically capture customers signatures along with pickup, delivery, and time -card information. UPSs information systems use these data to track packages whil e they are being transported. The result is an information system solution to th e business challenge of providing a high level of service with low prices in the face of mounting competition. How are these technologies related to UPSs Business Strategy? These technologies in long run will bring the company higher revenue. The companys strategy is to ha ve the best service but in the lowest price. So by using those technologies in t heir company, they are confident that they are having the best service because t he technology they use assures them. UPS is a leader in the package delivery services. The company has gained competitive advantage in accessing up-to-date information as quickly and immediately as possible. Ther e are several problems that are solved by the UPS information systems. One would be routing the delivery truck to shorten the route distance traveled for the pa ckages that are on the truck. Moreover, problems that the information systems so lve is to keep the level of services high yet bring the cost and prices down to compete with other competitors. If these systems were not available then UPS wil l not be able to compete with others and it will not become the largest package deliver company as what it is today. Some problems this information system solve s relates directly to logistic and supply chain activities, not just dot itself but for other companies. This service include supply chain design and management , freight forwarding, customs brokerage, mail services, multimodal transportatio n, and financial services, in addition to logistic services. Because of its adva nced integration of its technology, UPS can provide these services cheaper and m ore efficient than most companies can create them in-house. UPS is able to quick ly access up-to-date information on which to make better decisions. Information systems help UPS managers to make better decisions. Through the use of informati on technology, UPS has made their business processes more efficient, which in tu rn has resulted in higher revenues. In addition to that, from customers perspecti ve, these technologies provide value because they help customers complete their tasks more efficiently. These technologies also provide value for the company be cause they are seen as an asset from the customers perspective. The technologies are seen as helping the customers complete their tasks more efficiently, which in turn is seen as value-added services as opposed to increasing the cost of sendi ng packages. This information system helps the management of UPS to make decisio ns which helps the company to sustain its competitive advantage. A capability called UPS Campus Ship allows employee s in multiple offices of a business to process and ship from their computers and has shipping procedures controlled by a central administrator set up by the bus iness. Morris, Schneider and Prior LLC, a top law firm serving the financial ser vices industry, uses this capability to track and control shipping costs. This f irm is constantly sending time-sensitive documents from three different location s to clients throughout the United States. UPS tools automate the allocation and reporting of this firms shipping costs and even itemize and detail shipping expe nses for each client. Information technology helps UPS reinvent itself and keep growing. From the customers perspective, these technologies provide value because they help customers complete their tasks more efficiently.
