1 Project Background
We currently manually process Private-Invite Only projects. We need to eliminate the manual processing of private projects. This document outlines the needed changes.

2 Current Process
1) When a Private-Invitation Only project is posted, it is listed on the Approve Projects page (/admin/ApproveProject.aspx) as follows.

2) 3)

If no Freelancers have been invited to the project, we click a Send button to trigger an email to the Employer to remind him/her to invite Freelancer. This action is taken as soon as the project is added to the Approve Projects page If no Freelancers have been invited within 24 hours of the project being posted, we change the Privacy Setting to Public Open to All, review and either Approve or Reject the project.

3 New Process
1) 2) The following text changes will be seen by Owners and Administrators. When a Private-Invitation Only project is posted and no Freelancers have been invited, a) Do not list Private Invitation only projects to the Approve Projects page until at least one Freelancer has been invited.

b) Upon posting the project, a modified version of the Review Your Project email (email_emp_project_review.tmpl.html) will be sent, making the immediate sending of the reminder email unnecessary. c) Change the text on the My Projects page from

to

i)

Clicking Please invite Freelancers now takes the user to the Search for Freelancers page.

d) Change the text on the Project Details page from

If no Freelancers have been invited within 12 hours of the project being posted, i) ii) A reminder email will be triggered via a backend auto task (email_emp_project_please_invite.tmpl.html) An alert will be posted to the Employers dashboard and Project Overview.

iii) The text on the Projects page will be updated to

iii) The Employer is notified of the change via email (email_emp_project_now_public.tmpl.html) and alerts. iv) The text on the Projects and Project Details page is updated to the standard text for a public project that is pending approval. 3) Once at least one Freelancer has been invited to a Private-Invite Only project, a) Add the project to the Approve Projects queue to be handled as it is today.
