(i) (ii) (iii) (iv) (v) (vi) (vii) (viii) (ix) (x) Applications for PhD candidature may be lodged at any time, although to be eligible for particular intake rounds, forms need to be submitted by certain dates. Please review The Academy website for more information. While we will make every effort to process PhD applications rapidly, assessment of applications may take (at times) two months or more. This is an application form only and does not constitute an enrolment for any course in The IITB-Monash Research Academy (The Academy) nor does it entitle an applicant to be classified as a student at The Academy. An applicant accepted as a candidate by The Academy must enrol at both IITB and Monash by completing the official enrolment forms. Enrolment procedure details will be sent to successful applicants with a letter offering candidature. Applicants should note that doctoral candidates may not be enrolled for any other degree, diploma or non-degree subjects during their period of candidature. All PhD applicants are admitted on a probationary basis for (at least) the first 6-12 months for full-time PhDs. Candidates will need to abide by the additional employment conditions of each institution relating to full-time PhDs. Please note that applications will not be processed unless full documentation is attached or supplied via the online application registration system. All successful applicants to the program will receive a scholarship. Please check out the applications FAQ on the website at www.iitbmonash.org for additional information.

Documentation
Applicants must provide evidence of their qualifications. This should be an official academic record, showing all subjects attempted, grades achieved (including failures) and an explanation of the grading system. The record must be an official transcript or statement of record from the institution in which these studies were attempted. Result notification slips will not be accepted. Originals of documents must be sighted at the interview if you are called for interview. Scanned copies are permitted for the online application part of the process but originals must be brought to interview, or the original document must be made available upon request. Applicants who submit documents in a language other than English must provide an officially certified translation at interview, together with the original documents. Translations supported by uncertified photocopies are unacceptable. Applicants, whose first language is not English, must submit evidence of English language proficiency. See question 7 for details on the evidence required. All applicants are also required to provide a copy of their passport or other evidence of citizenship and provide original at interview if selected.

Submitting your application form and beyond


STEP-1: All applicants should complete as many fields of this application form as possible. Applicants need to upload this form online as part of The Academys application process. Please also scan the following documents and upload these along with your application form: [D1]- scanned copies of your academic transcripts, [D2]- scanned copies of your publication record, [D3]- scanned copies of your GATE, TOEFL, GRE score sheet (if applicable), [D4]- any other supporting documentation like MTech, BTech thesis, etc. File names of uploaded files should be meaningful. For example: MTech-Transcript.JPG or BirthCertificate.PDF and NOT p1.jpg, p2.pdf, etc. IMPORTANT: Please ensure that the files you are attaching are of a low resolution. At present we are not accepting files that are ZIPPED,(.zip) or .rar files. Feel free to upload as many documents in support of your application. 2.2 Project Choices: You will need to select up to 4 Project Choices online when submitting this form at The Academy Form A Online Application System (AFORS), which available at: http://www.iitbmonash.org/PhD_applications.html. Please read these points carefully:
It is not necessary that you have to choose 4 projects on the online system. On the online system, each of the projects that you have selected will have a set of ideal or required capabilities. You will need to indicate how your background satisfies these required capabilities. If you are not able to demonstrate these capabilities, you may want to choose another project. There is likely to be a change to the list of projects provided on the Academy Internet website and the online system. It is likely that none of the projects listed in the online system capture your interest completely. In the case that none of the projects available on the online system is of direct interest to you, please suggest an Own Project below. In suggesting your "Own Project" below, you have to identify a (few) supervisor(s) at Monash and one at IIT Bombay that you would like to work with. Any "Own Project" description that does not have potential supervisor(s) identified will be considered invalid.

2.3 Summary of Candidates Own Project (not mandatory): Please write below or attach a summary of no less than 200 words describing your proposed thesis. Please include methodology and bibliography. If you choose your own project please select Own Topic on the online form at The Academy Form A Online Application System. Please however include a title and brief summary below. If you choose to propose your Own Topic please note that this may only be discussed at your interview, IF you are successful in getting to that stage. Further, there is no guarantee that your Own Topic suggestion will be accepted by The Academy. If you are not proposing Own Topic, go to Section 2.4. Note:
A research project may require ethics clearance from the relevant IITB and / or Monash committee if it deals with animal ethics, human ethics, biosafety or ionising radiation issues. The Intellectual Property regulations of the program will be made available to you upon acceptance into the joint PhD program.

Tertiary educational record and motivation

Statement(s) of your full tertiary academic history must accompany this application. Scans of the original academic transcripts can be submitted. If you are invited to interview you are expected to bring the original transcripts to the interview. Applicants who submit documents in a language other than English must provide an officially certified translation, together with the original document. Original academic transcripts for verification are to be produced to the Deputy Registrar, Academic, at IITB and Monash Research Graduate School at Monash University at the time of enrolment, after admission. Do not provide grades such as 'Distinction' or 'First Class'. Provide your actual CPI, CGPA or grades, like 8.97/10 or 88.5%, etc.

Research/publications

Provide details of any original research and/or publications. For publications/abstracts, indicate the percentage of your contribution, eg sole (100%), joint (50%), multi authorship (20%), and the nature and standing of the journal/conference. Also indicate whether in press (accepted for publication) or published. (Attach additional sheet if necessary)

English proficiency
First language is English An overall band score of not less than 6.5 on the IELTS test conducted by IDP and the British Council. In addition, a score of at least 6.0 is required for each band score and applicants must undertake the academic module in regard to reading and writing. The following scores achieved in the American Test of English as a Foreign Language (TOEFL): a minimum total score of 577 together with a score of 5 or more on the TOEFL Test of Written English (TWE) (paper based score); a minimum total score of 233 together with a score of 5 or more on the Essay Rating (ER) (computer-based score); or a minimum total score of 91 (internet based score) together with a minimum score of 25 in the written test and a minimum score of 22 in each of the reading, speaking and listening tests. Successful completion of a course of tertiary studies of at least two years duration conducted entirely in English and involving formal assessment of written work, in a country where English is the official language. Evidence in the form of a letter or certificate issued by the university Registrars office will need to be provided. Studies must be completed within the five year period prior to application.
