1. Introduction
1.1 Purpose The document describes how to add and track a manual in the system. 1.2. Overview When manuals are received from OEMs/Suppliers the organization needs to keep a track of all details like the copies it has, the location of the manuals, what media the manual is available in and what is the revision status of the manual. This tutorial will take you through the various steps needed to enter details of the manuals received from OEMs.

2. Specific Instructions
2.1 1. Go to Technical Library>External Documents/Internal Documents. 2. Select the Add button if you wish to add a new record or select a record and click on the Edit button if you wish to edit one.
3. In the screen that is launched please fill in the publication reference. If you wish this could be an internal publication reference different from the manufacturer publication reference. There is a separate field called Manufacturer Pub Ref where you could key in the manufacturers reference.

4. Next fill in the OEM data. The OEM data can be created in the supplier accounts menu. A detailed explanation is available in a separate work instruction document. 5. Choose publication type. This is a pre-populated master data from which a record must be chosen. You could add more types by going to Technical Library > Tech Pubs Setup > Publication Types. 6. Select a publication status again pre-populated as master data. You can add more statuses by going to Technical Library >Tech Pubs Setup>Status Codes. Currently the following status codes are available.
7. You must have noticed in the details screen (referring to the tab at the bottom of the page) that the no of copies and revision details are locked fields.

8. Next you can enter the copies tab. The thing to remember here is that this data is pre-populated using your data as given in the access database. You need to select: a) The location b) The media The rest are non mandatory fields. If you have 5 copies in different locations you will have to add five records using the Add button.

9. Next you can add the revisions using the revisions tab page.
