Pender United Methodist Church Council Meeting June 19, 2013

Worship and Reflection Reverend Kevin opened the meeting with prayer at 7:40 pm. Doug Gaskell led the group in worship and reflection citing Acts 2:25 (remember who He is, He never left the disciples and He wont leave us). Holy Spirit Moment There were no moments shared. Celebration Minutes Lou Baumgartner was introduced as our new church treasurer. Debbie McKamey shared that credit card payments will be accepted for donations and event registration fees in the very near future once testing is completed. Statements of Giving will show credit card payments for tax purposes. No decision has been made on how to collect the vendor fees for processing the credit card payments. Prayerful Consideration of Church Matters: Review of Upcoming Ministry Events (6-3-1) (Beth Dougherty) The activities planned were reviewed by Beth. Carrie Cahoon requested feedback from the group about placing a higher priority on the Kick Off Sunday event. Discussion was held about the churchs annual June picnic being held off site and the purpose of the picnic being better defined. It was also noted that the December calendar is already quite full with events which might cause scheduling difficulties. The Hang Together Team will be meeting with the cluster leads to offer assistance in evaluating the success of their programs, to help with data collection if needed, and to offer guidance for planning the 2014 budget. Recruitment of Sunday School Teachers for the Summer (Carolyn Fink) Carolyn discussed the need for teachers this summer for our children, from 9:40 to 10:30/10:40 am each Sunday from June 30 through September 1. A 1-week only commitment is requested. Materials are prepared and available one week before the person teaches. Two adults (18 years and older) must be in each classroom for compliance with the Child Protection Policy. Sign-up sheets are available in the narthex identifying which classes are in need of teachers. Carolyn requested that the leaders discuss this need with their ministry/cluster groups or adult Sunday school classes. Fellowship (Carrie Cahoon and Reverend Kevin) In the past, each ministry and committee was required to host fellowship on a rotating basis. However, many volunteers and their spouses serve on multiple ministries and committees and were asked to participate numerous times during the year. To alleviate this situation, a committee was formed to perform this function with the hope that those individuals who enjoy hospitality would step forward and join the committee. Recruitment efforts through the connection card, announcements in Sunday school, the bulletin, and personally asking individuals have failed to get a sufficient number of volunteers. Since summer is a particularly difficult time to find volunteers, Kevin and

Carrie proposed that snacks be suspended for the summer. After much discussion on how to remedy this situation, it was decided to suspend snacks for the summer, hang a sign-up poster in the fellowship room that explains the reason for fellowship and identifies the tasks required, and pray. Coffee, prepared by the Mens group, will continue. Carries cluster will better clarify the role of fellowship time as a way to welcome visitors and new members. Reverend Kevin will place a note in the bulletin regarding the plan to not provide snacks during the summer months. Pender ReGift Thrift Store (PRTS) Update (Dave Cacner) Dave reviewed the stores accomplishments to date, explaining that one can quantify items given or sold, but one cant quantify the kind words of appreciation expressed by the clients served. To survive financially, more help is needed to get the word out. Contacts with other churches for volunteers, clothing and furniture donations, or financial assistance are being made. (It was suggested that pastor to pastor communication with other churches might be more productive.) Dave identified the following areas where immediate assistance is needed: Request Lay Nominations and Leadership Committee to search for the following positions: assistant director/outreach client coordinator, volunteer coordinator, sales advertising/communications coordinator, and assistant director/cashier. Since the Committee does not meet throughout the year, Doug Gaskell will discuss this matter with Pastor Kenny. One option might be to first recruit a volunteer coordinator who would in turn recruit the other three positions. Request assistance from the Hang Together Team. Beth Dougherty will meet with Dave. Request assistance from the Share God Cluster to brainstorm ideas for and to lead fundraising opportunities. No representative from Share God was present at the meeting to accept this request or to provide feedback. The request will need to be discussed offline.

Volunteers are needed to help with pickups of donated items, especially on Saturdays. Budget Cycle (Becky Bryan) Scheduled giving is behind with a deficit of $89,000 covering the past 5 months. As a result, some planned expenditures will be deferred. A planning calendar for preparing the 2014 budget was distributed. Worksheets and guidelines will be provided in August. Activities that include two or more different clusters must be covered in one of the clusters budget to ensure expenses are adequately covered. If assistance is needed, please let Becky know. Important Upcoming Dates/Reminders August 21, 7:30 pm next Council meeting (July Council meeting is cancelled.) Closing and Benediction: Reverend Kevin closed the meeting with prayer at 9:10 pm.
