The International Congress on AIDS in Asia and the Pacific (ICAAP) brings together close to 4,000 people who

work for organizations or as individuals on HIV and AIDS in the Asia-Pacific region to gather for five days of knowledge and information sharing, networking, and joint action. This is the second part in a series entitled ICAAP 11 Survival Guide to assist members of the community to navigate ICAAP - from registering to making the best of your attendance. Please keep posted for more installments. Contact information is available at the end. All of this information is also available on the ICAAP website http://icaap11.org/ Ok. By now you should be successfully registered by inputting your personal information into the system. (You can find instructions in Part 1, which can be downloaded here.) Once you are registered, you should decide on how you are going to participate in the ICAAP. Many people submit abstracts in the hopes of presenting in the main congress. That is not, however, the only way to participate. By signing back into the system using your ID and password (click here), you come to the Web Portal (see below) where there are a number of activities you can submit to the ICAAP.

Part 2 The Asia-Pacific Village


It is lively! It is colorful! It is fun! The Asia-Pacific Village! Ok. So you are thinking to yourself, I am not an academic. I dont want to present some paper about my work. I want to talk to people about my work, about my experience. I want to learn and share through interaction! Maybe your mode of communication is through performance and you want to perform to express yourself, your experience or your culture. Or maybe you want to set up a display to promote your project or organization, or you have goods to sell as part of an income generating activity Well then, consider being a part of the Asia-Pacific Village!

The Asia-Pacific Village


The Asia Pacific Village (also called the AP Village) is a lively and colorful space that has a range of interactive activities open to everyone, including members of the HIV community who may or may not be registered, as well as all other delegates. The AP Village is where the community can meet to share experience and learn from each other in an informal setting, and where they can present their work to the general public and other delegates. There are booths and networking zones, and there are spaces for performance, installations, and arts and crafts. Activities range from structured discussions and presentations to cultural or expressive performance, and displays, and there is an area to sell products that provide a financial benefit to members of the community. The AP Village has the following OBJECTIVES: To provide members of the Asia and Pacific community the opportunity to highlight challenges they face in the response to HIV and AIDS, and to showcase their responses. To stimulate the sharing of experience among community members. To encourage networking to strengthen communities ability to influence and shape policies and programs which impact the HIV response. To provide the public the opportunity to learn about HIV and AIDS issues and community-level interventions.

However, in order to organize an activity in the AP Village you must submit an application and be approved. Follow the instructions in this section

ACTIVITIES of the AP Village include:


Networking Zones
Networking zones are spaces for community groups focused on particular populations or regions to meet and conduct their own activities, i.e. group discussions, presentations, strategic planning, etc. You or your group can submit an activity to be included in the schedule of activities for a specific zone. Zones are identified by community group (such as Sex Workers, People who use Drugs, MSM, Youth, Transgender, Migrants, etc.) or by region (such as Pacific Islands, South Asia, Greater Mekong Sub-Region, etc.). Activities can be in other languages besides English!

Community Booth & Market Place


The Community Booths provide a free space for community members to showcase their efforts in the responses to HIV and AIDS, while The Market Place offers community groups and NGOs the opportunity to sell products to support their activities.

Main Stage / Cultural Programme


The Cultural Programme provides community members, artists, and cultural activists the opportunity to celebrate the communitys resilience, pride and diversity, and to allow people to express themselves creatively or share their tools of communications for social change in the response to HIV/AIDS. Activities will take place at the Congress venue, including the main stage, and selected offsite venues in Bangkok to demonstrate community solidarity.

Youth Pavilion
The Youth Pavilion is a space for young people to network and engage in activities that promote exchange about their experiences and needs in working as a part of the AIDS response.

APPLICATION GUIDELINES
To submit a Networking Zone and/or Community Booth & Market Place application form(s), you must first create a Congress profile from which you will be able to access the link to the application system. Offline application forms should ONLY be submitted IF the applicant has continued to encounter technical problems while trying to create his/her online profile and register through the online system. (It may help you to use the off-line form to prepare your on-line application, though.) The offline application forms can be submitted by email to community@icaap11.org. Networking Zone application


Zones are identified by community group (such as Sex Workers, People who use Drugs, MSM, Youth, Transgender, Migrants, etc.) and by region (such as Pacific Islands, South Asia, Greater Mekong Sub-Region, etc.) So, be sure to describe your activity as clearly as possible by providing the following information: Title give your activity a title (examples - Sharing experience of Sex Worker Networks, or, Women Engaging with ASEAN on HIV and Rights) Activity give a brief description (not more than 450 words) of what you will do in the activity (example bring together transgender activists from Asia and Pacific to identify network needs in order to or, organize a mapping exercise to identify organizations that have experts in MSM and the law or compare lessons learned on PUD/IDU projects sponsored by the Global Fund). Activities do not need to be in English! Time Give an idea of how long your activity will take. Consider how busy the conference is and that others will want to share the space too. So, make sure it is long enough to accomplish your objectives, but not so long that it is inconvenient. (40-60-90-120 minutes generally) Space What size area do you need? If you dont know, you can always explain what you intend to do. (examples presentation for 40 people, or three groups sit on the floor for discussion and mapping) Other Materials/ Supports for Activity What supplies do you need for your activity? Think of things like: newsprint paper and markers for interactive planning or mapping activities, LCD and laptop for presentations, or string or paint be creative!

Community Booth & Market Place application


You will need to explain the intention and presentation of your booth by providing the following information: Concept or motivation Explain what you intend to do at the booth. Will you make a display about your organization or project, or sell products? Organization of the booth Explain if you will have any displays, project images, or what the booth will look like generally. Expected Outcome What will happen as a result of your booth? Who will benefit, what will they learn? Product Description Section 4 is only for those who intend to sell items from their booth. Simply describe the products for sale. Cultural Programme
The Cultural Programme will take place at the Congress venue and selected offsite venues in Bangkok to demonstrate community solidarity. Objectives To highlight the role of community members, artists, and cultural activists in promoting HIV/AIDS awareness and actions for social change To emphasize the social and cultural aspects of the regional response to HIV/AIDS, with special emphasis on human rights To ensure integration, diversity and participation through public outreach programmes To strengthen community networks through cultural exchange

Please send us a sample of your work, such as one or two images, films or videos, brochures, posters, flyers, press clips, etc. by email at cultural.icaap11@gmail.com. 3. Youth Programme Activities: Applicants who wish to be considered as part of the Cultural Programme activity must indicate this on the application form. The Youth Pavilion, located in the Asia-Pacific Village, will be the central area for all youth related activities. 4. All programme activities should be related to HIV/AIDS.

Youth Programme Activities


Applicants who wish to have their applications be considered as part of the Asia-Pacific Village programme activity must indicate this on the application form. The Youth Pavilion, located in the Asia-Pacific Village, will be the central area for all youth related activities. Up-coming schedule of Youth Activities will soon be available. Booths for youth activities should be coordinated through the contact person below. If you would like to propose an activity, please contact youth@icaap11.org - only if you are a youth yourself! (Most youth are already in contact with a local youth network. If you are not part of a network, please contact this e-mail.) Applicants who are younger than 18 years old at the time of the Congress may apply. However, please note that successful applicants will be requested to complete a parent/guardian consent form.

***Essential Information you should know:


1. Always try to submit applications online first. If you continually have problems you can submit by e-mail (as indicated in descriptions above) using the downloadable forms. 2. If you are applying for more than one activity, you will need to complete a form for each additional activity. 3. Application forms must be fully completed. Incomplete application forms will not be considered. 4. All programme activities should be related to HIV/AIDS. 5. Applications that demonstrate collaboration and partnership with other groups/organisations will increase the possibility of being accepted. 6. Group/joint applications should appoint one person as "Organiser" (the person who will be responsible for the activity). 7. Applicants who are younger than 18 years old at the time of the Congress may apply. However, please note that successful applicants will be requested to complete a parent/guardian consent form.
