Job Description Job Title: Responsible to: Hours of work: Salary: Based at: Main Purpose To provide data inputting and administrative support to the XXX Rehabilitation Team. Areas of responsibility: 1. 2. To collate and maintain statistical information using databases (including XXXs system, for which training is available), spreadsheets, and to create reports as required. Where needed, to support the Team Administrator in administrative tasks relating to the work undertaken by the XXX Team. This may include: Typing of letters (MS Word), memos, reports, advertising, and promotional materials, agenda, minutes and other materials as required. In addition ensure that copies are produced, filed or distributed as appropriate. Occasionally, deputising for the Team Administrator in her/his absence. Setting up and maintaining filing systems as required. Handling the post and telephone calls, to taking messages and dealing with matters as appropriate and within specified areas of responsibility, including use of Internet and email (MS Outlook). Assisting with stock control and ordering of equipment, stationery and resources. Providing assistance to sight impaired members of staff as deemed appropriate. Assisting the Team with special events. Undertaking relevant training and ensuring continued personal development relevant to the area of work. Performing other duties that the Team Leader or Chief Executive of XXX or her/his authorised deputy may consider appropriate. However, it is necessary for all staff to be flexible in this respect and all employees may be required from time to time to perform other duties which are required for the efficient running of the organisation. Essential Criteria Be able to demonstrate: a. b. c. d. e. f. g. h. i. Proficiency, speed and accuracy in the use of IT packages including MS Word, Excel and Outlook. Familiarity with databases and the ability to quickly gain skills in using new packages. Excellent written and verbal communication skills and inter-personal skills. The ability to manage your own workload, to prioritise efficiently and meet deadlines. A flexible approach to work and a willingness to undertake a variety of tasks and training. A positive attitude to XXXs users and services, and an ability to respond to service users in a positive manner. An understanding of the need to maintain confidentiality, and the ability to put this into practise. A commitment to anti-discriminatory practice. Ability to work to deadlines and manage time effectively. Ability to recognise limitations of skills and knowledge and refer to colleagues when necessary.

Desirable Criteria Experience of working with people with a sight impairment.
