Patient Information System 1.

INTRODUCTION
1.1. Introduction The project is entitled Patient Information System, as the name suggests, it deals with the idea of how to manage the large volume of patient information in an efficient way. This project has been done in Open Source Platform Net Beans 6.9.1 using Java (Swing) as front end and SQL Server as backend. The project has been designed according to the present need of the Liver and Gastro Hospital. The theme of this project is such that, the doctor could glance through the patient medical history and the current status of a patient. It facilitates the user with graphical user interface where they can do all the work easily and quickly. This reduces the manual work they have done earlier with the quick and easy understandable GUI. The software contains various modules such as Patient Information, Doctor Information, Appointment and Maintenance. These modules have their own independent functionalities, record filtering or extracting services and reporting services. Also the user can change the login password according as he/she want. The user can use the reporting service of each module to get the report on doctor or patient in PDF format and take the print out copy. The user may even search certain record details of patient or doctor using Filter Record option and view it on separate window. And the user can also delete, modify and insert patient/doctor details in database. 1.2. Organization Profile

Liver & Gastro Clinic is 10 year old, steadily growing small Hospital, providing better service to the patients who visited the Hospital and holds good names among people. Liver & Gastro Clinic is situated at the place of Trichy Road in Coimbatore. The main objective of Liver & Gastro Clinic is to give the best quality services to the patients at an affordable cost and to diagnose the disease at early stage so that cure can be offered to patients. Liver & Gastro Clinic Hospital provides consultations and services to problems related to digestive system and its related disorders. Gastroenterologists who worked there are mostly specialist in related areas of gastroenterology, having good experience and have done fellowship in this particular field. Liver And Gastro Clinic provides best services to the people of Coimbatore on gastroenterology problems like gastric disorder, peptic ulcer, liver disease, pancreatic disease, acidity, constipation etc.. At present The Liver and Gastro Clinic has been doing its services in a small building and is expanding its services by trying to provide world class facilities. The hospital includes facilities like Colonoscopy, Endoscope, ERCP (Endoscopic Retrograde cholangiopancreatography) etc. to give the best quality services and facilities to make patient who get treatment in the hospital to feel good and convenient. 1.3. Objectives The objectives of the project Patient Information System are as follows To create a system which enables the hospital to maintain their patient information in an efficient manner so that they can retrieve, delete, update and store patient medical details. To reduce the complexity in giving appointment to meet the doctor such that by suggesting doctor availability. To provide an effective and automatic system for reducing manual work complexity in maintaining the overall business process of Liver & Gastro Hospital. To create and take print out of reports on patients medical, doctor and appointment information. Patient Information System

1.4. Organization of Thesis This document is about application software Patient Information System which was developed for the benefit of an organization called Liver & Gastro Hospital. The document contains six chapters and each chapter deals with the information corresponding to it and the chapters are as follows Introduction System analysis System design System development Testing and results Conclusions and further work

The first chapter gives the introductory things and concept of the project that had been undertaken for the benefit the organization. The second chapter, system analysis deals with the study of existing system of the organization, proposes new system to overcome the drawbacks of old system and analyses the possibility for developing the system. System design chapter explains the overall system by giving an abstract view of the architecture and design of the Patient Information System. The fourth chapter, system development deals with working and development of modules with visual screens of the application and tools and languages that has been used to develop the system. The fifth chapter, testing and results gives the details of testing that the Patient Information System has been put under to check correctness of the system and the results of the testing process. The final chapter, conclusions and further work tells the reason for developing the system, tools that has been chose to develop the system and also gives future enhancements that can be included in the system to meet business environment changes.

2.1. Proposed System The system has been designed according to the current need of the client by examining the already existing system and the business processes of the Liver & Gastro Hospital. The problems faced while giving appointment, maintaining the patient information, doctor information and appointment information had been taken into consideration for developing this system. The system is very easy to use, provides interactive user interface to the user and also the system reduces the work load by doing certain jobs automatically. The system provides information in a formatted manner to view, to the user. User can give appointment to the patient in an efficient manner by providing dates and days, when the doctor is available. The doctor can maintain their patients medical history and current case status. Also it allows the doctor to search the particular patient to view from a collection of patient records and enables him to provide better service to his patients. Thus it creates a way for doctors to know their patient current status in the counseling. Furthermore report can be generated on patient or doctor information in a formatted way and can be taken printout as when need by the user. 2.1.1. Advantages of the Proposed System The following are the advantages of the Patient Information System: they are Effective and easy record maintenance. Patient information and current status can be view instantly as and when needed by the doctor and thus enable him to be up to date of his patient and to give better service. User friendly and interactive interface. Quick searching of particular record and viewing. Increases easiness and effectiveness in giving appointment to the patient. Patient can be given options to choose the dates comfortable and convenient to them while getting appointment to meet the doctor. Report taking service.

2.2. Feasibility Study Feasibility Study is an analysis and evaluation of a proposed project to determine if it is technically feasible, feasible within the estimated cost, and will be profitable. Feasibility studies are almost always conducted where large sums are at stake. Feasibility studies aim to objectively and rationally uncover the strengths and weaknesses of an existing business or proposed venture, opportunities and threats as presented by the environment, the resources required to carry through, and ultimately the prospects for success. This project had been put in the situation of different feasibility study and is proved to be worthier one to build and develop. Different types of feasibility that has gone through are: Technical Feasibility Economic Feasibility Operational Feasibility Cost Estimation And Scheduling

2.2.1. Technical feasibility Technical feasibility analysis analyzes the availability of technology and resources. This type of analysis helps determine whether new technology is feasible or not. The project is considered technically feasible if the internal technical capability is sufficient to support the project requirements. The system Patient Information System has gone through technical feasibility study with the following considerations and is given below. Is the project possible with the current technology. What technical risk in developing system. Availability of the technology.

This project uses open source software to develop the system design and the technical risk associated with using open source software and its availability has also been analyzed. The development of the system also considers the working of the system in all platforms and has been

achieved by using open source software. As the project uses open source technology to develop it reduces the risk associated with availability. With the above consideration, the project was developed by choosing Java and SQL Server 2010. 2.2.2. Economic Feasibility Economic feasibility measures the effectiveness of costs of the project. As the Patient Information System is a desktop application, system and the technological resources available or can be acquired are analyzed and is developed. The factors that are considered while analyzing economic feasibility of the system are: Resource Constraints Benefits Development and operational costs Are the benefits worth the costs

Considering the benefits, the system made the work easy and quick comparing the situations that were hold by the hospital. Furthermore, it made the record maintenance effective. As the system has been developed using open source and with the available resources the development costs are low. And finally, with the many automatic processing facilities makes the system worthier than cost that has occurred to develop it. 2.2.3. Operational Feasibility Operational feasibility is a measure of how well a proposed system solves the problems, and takes advantage of the opportunities identified during scope definition and how it satisfies the requirements identified in the requirements analysis phase of system development. As of Patient Information System has many automated features like doctors available day suggestion while giving appointment to the patient and other make the system operationally feasible. Record filtering option and instant view of reports in each module also makes the process fast and effective when compared to previous manual approach of the hospital. Thus from above the system has been proven to be operationally feasible one.

2.2.4. Cost Estimation And Scheduling Cost Estimation A cost estimate is the approximation of the cost of a program, project, or operation. Usually, cost of software development should be minimized to the feasibility level and the benefits obtained through using the system developed should excel the cost. The cost may be in terms of human resource, software/development tools, hardware, time, money or anything that affects progress of the objective. The Patient Information System has been developed keeping this in mind. As the Patient Information System was developed using open source software and tools like Java (NetBeans), SQL Server 2010 and Jasper Report the software cost has been greatly reduced. And also the tools used to develop the system has many automated features this reduces the human resource need and time. Scheduling Schedule feasibility is a measure of how reasonable the project timetable is. In this, factors like how long a job or completion of a module will take, and which module should be given more priority and its dependency has to be considered. A good scheduling increases the probability of work done in time. In Patient Information System the following factors are considered, they are: How long a module will take to complete. Priority of each module Complexity of each module Dependency of one module with another. Technical persons skill and knowledge

2.3. Problem with Existing System From the beginning Liver and Gastro Hospital has done all the work manually and there is no computerized system to do it. The patient detail and the doctors attending the hospital have to be maintained manually and furthermore, giving appointment by knowing the doctor availability has also been done manually makes the work tedious, inefficient and slow. There is no proper record maintenance about the patient and if doctor want to see a medical history or current status of the Patient Information System

patient he has to search through a dozens of collections of records of individual patients. Also report on patient medical status and on other hospital details has to be written manually by the doctor or staffs. Because of doing every single work manually, the process has taken more time and is become tedious and inefficient in giving treatment to the patient. 2.3.1. Drawbacks of Existing System Because of the above mentioned reasons, the complexity of doing a job in Liver & Gastro Hospital becomes tedious and inefficient and these leads to the following drawbacks. 3.1. Input Design Input Design is the process of converting a user oriented description of the inputs to a computer-based business system into a programmer-oriented specification. Input data is the source which will create the master database and also is the source for computational processes of the software application, which is transformed into user understandable output. ER diagram is a model that represents system data by entity and relationship between them. The overall logical structure of the Patient Information System database can be expressed graphically by an ER diagram and is shown in the figure 3.2.1. Patient information system considered the following facts while designing the input forms: they are Types and categories of inputs user going to enter. Errors a user may do while entering input data. Automatic validation process the input should undergo. Make user easy to understand what to enter.

A good input design should have the following qualities above mentioned. Here in patient information system all these qualities are included while designing the input forms. In patient information system all the input forms have been made such a way it gives good looking user interface, easy data entering, and automatic error detection and validation. Also it suggests user with valid inputs in order to make the user not to commit error and to make them confident that the data entered is error free and correct.
