GUIDELINES FOR TIMER

The Timer is responsible fro keeping track of time. The Table Topics Master and
the Toastmaster of the Evening will call on you to report the time taken by the
speakers in the Table Topics session, Prepared Speech session and the Prepared
Speech Evaluation session.

PRIOR TO THE MEETING

1)Confirm scheduled program participants with the Toastmaster of The Evening.

2)Read through the program to see the required time for each prepared speech.

3) For Table Topics session, the time is 1 to 2 minutes:


1 minute -Green Light
1 minute 30 seconds -Amber Light
2 minutes -Red Light
2 miinutes 30 seconds -Bell

4)For Prepared Speeches, signals depend on the time slots which vary with
different projects, for example:

Speeches of 5 to 7 minutes

5 minutes -Green Light


6 minutes -Amber Light
7 minutes -Red Light
7 minutes 30 seconds -Bell

Speeches of 7 to 9 minutes

7 minutes -Green Light


8 minutes -Amber Light
9 minutes -Red Light
9 minutes 30 seconds -Bell

5)For Prepared Speech Evaluation, the time is 2 to 3 minutes:

2 minutes -Green Light


2 minutes 30 seconds -Amber Light
3 minutes -Red Light
3 minutes 30 seconds -Bell

UPON ARRIVAL AT THE MEETING


1) Get timing equipment from the Seageant At Arms. Be sure you understand
how to operate the stopwatch and signal device and make certain that
timing equipment works. (Come in 10 to 15 minutes before 7 pm to get a
feel of the equipment)
2) Sit where the signal device can be easily seen by the all.

DURING THE MEETING

1) The first group of speakers to be timed are the Table Topics. As the Table
Topics Master say, “the green light will come on at the end of the first
minute”…..do a demo and switch on the green light. Same for Amber (1 ½
minutes) and Red Light (2 minutes)

Then he will say the Speaker has 30 seconds to round up his speech upon
which the bell will sound at 2 minutes 30 seconds…do a demo and press on
the bell for all to hear and recognise the sound.

2)Record each speaker’s name and time used.

2)Your job in reporting for Table Topics:

Be aware of time…if we’re overrunning at this juncture, just say, “to save a
couple of minutes, I shall just give you the final results….e.g. “all speakers fall
within the timing guideline, except for …..(name of TM), so out of 7
speakers, 6 qualify for voting” .However, if you think there’s time, it’s also
alright to give each speaker their time used e.g. Dayal Khemlani, 2 minutes, 30
seconds, etc. etc,

2) For Prepared Speeches and Evaluations…demonstrate along with the TME’s


words.

Record each speaker’s name and time used.

Be strict on Timing. One of the lessons to be practised in speech training is that of


expressing a thought within a specific time

With timing report on Prepared Speeches and Evaluations, you MUST ANNOUNCE
EACH SPEAKER’S NAME AND STATE HIS TIME CLEARLY AND LOUDLY. Again, if one
speaker does not qualify, say it loudly, and if there are only two speakers
qualifying, there will not be a vote for BEST SPEAKER OR EVALUATOR.

4)You must also time the GE and the LE…except that you don’t ring the bell
unless one of them is grossly running over time. It’s okay to give each of these
people, an extra minute or so.
5)How to address the audience:

Please stand up at your seat and say,

“Toastmaster of the Evening, Mdm President, Fellow Toastmasters.


I’m Shirlet Teo, the Timer for this meeting and here’s my report for
Table Topics…..”

Remember to show confidence, speak to the audience, even if you are reading off
the script and the report and throw your voice. This is one of the few
opportunities to allow you practise in public speaking and when you get on to the
other roles, you’ll have full confidence ahead.
