complaints letter example - poor service

(use letterheaded paper showing home/business address and phone number) name and address (for example to a service manager) date Dear (name) Outstanding service problem - contract ref (number) I really need your help with this. Your engineer (name if appropriate) called for the third time in the past ten days to repair our (machine and model) at the above address, and I am still without a working machine. He was unable to carry out the repair once more because the spare part (type/description/ref) was again not compatible. (I attach copies of the service visit reports.) Your engineers have been excellent as always, but without the correct parts they can't do the job required. Can I ask that you look into this to ensure that the next service visit, arranged for (date), resolves the matter. Please telephone me to let me know how you'd like to deal with this. When the matter is resolved I'd be grateful for a suitable refund of some of my service contract costs. I greatly appreciate your help. Yours sincerely signature

Sample of Customer Complaint Letter #1

Dear Sir or Madame, I recently purchased your product through a local retailer and I was very upset to find that it did not work as expect. (insert nature of complaint here) I have been a very loyal customer of your company for a number of years and this is certainly not the quality that I have come to expect from you. Under normal circumstances, I would simply return this item to the store, but I was told that this is not an option, since the item had already been used. Well, of course the item had already been used, as there would be no other way for me to learn that it was defective! As I stated previously, I have come to expect much more from your products and, therefore, this has been very upsetting for me. If you wish to return to the top of this industry, you will definitely have to improve the quality of your products, as this simply will not cut it in the future. I do not believe that I am asking for much in return for my time and effort, as all I want is my money back or to have this product replaced with one that works properly. I will gladly return the defective item to you, should you send a postage-prepaid box to my house. I do not feel that I am being unreasonable with my request. Sincerely, See below for another sample of customer complaint letter.

Sample of Customer Complaint Letter #2

To Whom It May Concern, I am a long time customer of your company and I was very upset when I recently purchased one of your products only to have it be defective. (insert nature of complaint here) While this is a first for me when dealing with your company, I am definitely not happy about it and would like you to handle this complaint swiftly. Whenever I have purchased items from you in the past, I have received high quality merchandise that I am proud to use. This time, however, I am appalled at the quality and I wonder how you could allow such a product to hit shelves at all.

I would hope that this is simply a one-time thing, as I do not want to believe that this company has gone downhill so quickly. All that I am asking in this case is to receive my money back, as I do not believe that this product was delivered to me as promised. I am really not trying to be difficult, but it seems as though too many companies are now offering substandard products and expecting to get away with this. I, however, will not stand for spending my hard-earned money on an item, only to have it not only be defective, but not even be the same item that I thought I was purchasing. I really do not want to be rude, but the quality of this product is nowhere near what I would expect from a company like yours and I believe that this should be dealt with as soon as possible. Yours Faithfully,

Sample of Customer Complaint Letter #3

Hi, I have been a devoted customer of yours for years, but I was greatly upset with the last product that I purchased from you. (insert nature of complaint here) While I have maintained a healthy business relationship with your company for years, it is now extremely strained as a result of this latest product, which I think you will agree is not up to your regular standards. I do not like complaining about things at all, but something definitely had to be said in this situation because if this level of quality continues, I will no longer be able to continue this relationship. I can also speak for other people who have recently conducted business with you, as they have not been happy with their recent business dealings either. The fact of the matter is that your company is beginning to slip and, therefore, something needs to be done about it. I don't know the specifics of what is going on behind the scenes there, but something definitely needs to change internally within your company if you want to keep your customers happy. While I wish to stay loyal to your products, as I have done throughout the years, you need to understand that I expect a certain quality in return for my money and you are no longer providing this for me. Please clean up your act soon or I will be forced to move on. With Anticipation,

To The Editor Newspaper Name Dear Sir, I shall be thankful if you publish this letter in the columns of your esteemed newspaper. Through this, I like to draw the attention of local authorities towards the increasing nuisance of beggars in our city. Nowadays, the number of beggars has abruptly increased. Everywhere in the city, whether market, park or outside a restaurant or even in every street, you will find such obstinate beggars, who can't be easily put off. The pity is that most of them are physically fit and are compulsive beggars. They have made it a profession. Some of them might be involved in committing petty crimes also. Some of the beggars suffer from highly contagious diseases, such as leprosy, TB etc., and while begging, they come in contact with general public. It is necessary that such cases be taken care of and be treated in General Hospital and the other able bodied beggars be taken to the task. Either they be given jobs or whatever, but they must not be allowed to make begging their profession. I am sure, the authorities will positively take care of this increasing nuisance of beggars at the earliest. Thanking you, Yours faithfully Name

Sample letters relating to mobile cash-back offers:

Letter 1 - to the mobile phone operator where it wasnt made clear to you that cash-back was to be provided by the mobile retailer.
Your address Company address Dear Ref: (nature of your complaint/reference number) On (date) I entered into a (x-month) mobile phone contract with you through (Retailer). (Retailer) told me that as part of the contract I would receive the following cashback (details). I submitted the claim for cashback on (date) and complied with all the claims criteria, but to date the cashback has still not been received. I would request that you forward the cashback to me within the next 14 days. Yours sincerely

Letter 2 - if the mobile phone operator does not comply with your request in letter 1
Your address Company address Dear Ref: (nature of your complaint/reference number) I wrote to you on (date) setting out my request for the cashback, which formed part of my contract with you. You responded by saying that the cashback was not part of my contract with you and that this was a separate arrangement between (Retailer) and me. When I agreed the contract with you, (Retailer) acting on your behalf did not make this clear and led me to believe that the cashback was part of my contract with you and accordingly I am entitled to expect you to honour this. I would invite you to reconsider your position and confirm in the next 14 days whether you are prepared to honour the cashback claim I have submitted. Should your stance remain unchanged, I feel that we have reached a position of deadlock and will therefore be left with no alternative but to take my complaint to (Otelo/Cisas). Yours sincerely

Letter 3 - to mobile company providing cash-back where you have failed to comply with unfair criteria in the mobile cash-back claims procedure.
Your address Company address

Dear Ref: (nature of your complaint/reference number) On (date) I entered into a (x-month mobile phone contract/ a contract for the provision of cashback) with you. I submitted the claim for cashback on (date), however you have stated that because I havent complied with the following requirement in the cashback claims procedure my claim will not be met: (details). Regulation 5(1) of The Unfair Terms in Consumer Contracts Regulations 1999 makes it clear that terms of a contract will be unfair if, contrary to the requirement of good faith, they cause a significant imbalance in the rights of the parties, to the detriment of the consumer. Restrictions and requirements that serve no commercially justifiable purpose but appear instead to be directed towards preventing a customer from making a valid claim can accordingly be challenged as unfair with the effect that the offending term is to be struck out of the contract. It is my case that for these reasons the contract term referred to above cannot be used by you as a basis for refusing my claim. I would invite you again to reconsider your position and to refund the cashback I am entitled to; should you not be prepared to do so, please issue me with a letter of deadlock so that I may refer this matter to (Otelo/Cisas). Yours sincerely
