INSPIRING A SHARED VISION

Faith Service Communion In our organization, we are one family, so we share same vision. Challenge our energies If we have spare time and had nothing important to do with it, lets use our energies to serve our fellow students. Do things to express not to impress. VISION Participate Meaningfully Process of Social Transformation God Centered/People Oriented/Patriotic Responsible and Professional- Always be on time- Whether it is a major activity or just a simple meeting. Competent Stewards of Gods Creation. Remember that you do this not just for nothing. Outreach activities should be sustainable. Once you see something wrong, do what is expected of you, and do what is right. God is calling us where our needs and the needs of other people meet. It is important to where you are called, but it is important where you are called at the present moment. E.g. In School, basically, you are a student leader- but when you get home, remember that you are a son/daughter and must obey what your parents told you to do. Leadership is influence, no more, no less, as said by John Maxwell; therefore, as leaders, we should always be a good influence to other people. Be the drivers of change and not just passengers. Initiate for change when you see that it will be for the betterment of the whole organization. Go to where God is calling you and be the change you want to see. Commitment is making time when there is not. You commit for the organization, so you have to give time for it.

LASALLIAN YOUTH AGENDA (LYC)

LYC Thrust Goal- Institutionalize the 5 Point Agenda Measures - alignment of activities to LAYA -awareness and common understanding of 5 point in DLSP schools Targets- Develop 3 FSC (doable, sustainable and cost efficient)

Let us be cost efficient. Even the smallest activity that our organization has should have an impact and effect. 5 POINT LAYA Education-to push for a relevant quality of education geared towards nation building. -to further expand the accessibility of Lasallian Education Marginalized-those less fortunate Special needs Economically challenged sectors Socially in need within the campus

Governance- how do we give importance to the outside issues inside our university. -there should be transparency and accountability -When we use the organization fund, let us consider this question; Are we going to use the fund for the benefit of the entire organization or would it be used only for the sole benefit of the officers? It should always be the former. Environment Our school already has a good advocacy and projects for this area, we only need more students to be involved. So, help the university in encouraging students to participate in the activities set upon them for the environment. As we conduct the activity, we should know the relevance, objective and purpose. There was this instance when an organization held an environmental activity which was so far and only a few people were to be seen in the area. In fact, those people were bringing firearms with them. The said area was also a private property.

Lesson: As we conduct our activities, let us consider the safety of our members. It is important to know thoroughly the place where we will be going. Lasallian Youth Formation Inculcate and strengthen the Lasallian identity by living the Lasallian values To inspire youth empowerment To live out our Lasallian identity as empowered to youth Our activities should not only for a few number of students, it should involve ALL the members of the organization. This is about learning more about our Lasallian identity, so it is encouraged that we invite those people in the Lasallian community in our activities. Youth Involvement Exert more effort and time in this area. -Intensify the involvement of young Lasallians in the process of social transformation. 3 FSC Programs Let us incorporate these programs as we conduct activities which are supports the 5 Point Agenda. 1. Faith Sharing -empowering adopted communities -to empower and to sustain the needs of an existing adopted community of our school. 2. Talks or Sessions -discuss here what LAYA is. -Talk about LAYA with the officers of the organization even in the informal setting. Let us think of what we can contribute in empowering the LAYA. 3. Bible Sharing- this is currently targeted by the LYC team. -Have a free sharing with Bible as the center in the organization. What kind of motivation do you have as a leader? To make the students more participative in the organizations activities, think of what the students need and want. ------COMMUNICATION AS A TOOL FOR EFFECTIVE LEADERSHIP

Best Leaders are first rate communicators. Communication plays an integral part in Leadership. You should gain the interest of your members. Effective leadership is still largely a matter of communication. When you want to read new benchmark of achievements for your organization, you must make the art of clear and effective communication. We should be open to our constituents. Direction of Communication: Downward- assigning goals and tasks, providing instructions, informing the group about policies and procedures, offering feedback about the performance from high level to low level Upward-open forum Lateral It is vital that you know the personality of each of your members. Be clear on your organizations vision and mission. 3 sources of cues during face to face communication: Verbal Cues-actual words Vocal Cues-pitch, tone and timbre Facial expressions During meetings and activities Show some enthusiasm. Avoid fidgeting. - We normally fidget when we do not know what to do or we are nervous or we are not fully prepared. Get to the point. Sometimes, we have a lot of things to say and we cannot consolidate it neatly. We should get to the point as we discuss/do things. Relative weights of cues in message interpretation Verbal Impact 7% Vocal Impact 38% Facial Impact 55%

It is not what you say but how you say it. Leadership Communication is being able to become effective leaders by being better communicator.

Through effective communication, leaders lead. Good communication skills enable, foster and create the understanding and trust necessary to encourage others to follow a leader. Through clear and effective communication, you can win the hearts of your fellow members. Digging deeper on Leadership Communication Leadership Communication is the controlled, purposeful transfer of meaning by which leaders influence a single person, a group, an organization or a community. We should not abuse the communication tool as we go along our leadership. Connecting Leadership Communication to the roles of a student leader. What does it take to be a student leader? A student, who guides, directs, motivates and inspires fellow students. Leads and set examples to improve the org. Trains the younger batches of students and make them their successor once they graduated. Do not leave your members behind.

-Leadership is a process. You are not here just to embrace that position but rather, to become a better you. Never allow yourself caught becoming someone you dont want to be. Leaders should be true to themselves. Develop leaders around you. Are you definitely sure that you are going to last in your leadership? -----There are policies that are meant to guide the student groups. It can be seen in the student handbook. SDAO- not full time employee of the said office; they also have other duties aside from being on SDAO. Organizations, whether interest or co-curricular, there are no automatic membership. Project Proposal- 3 working days after submission; with comments, 5 working days It is important for the officers to be reminded that whoever transacts for the proposal at the very first time should be the one to continually process it until the end.

Before processing, check first if the documents are complete. Check if necessary attachments are already accomplished. If the project is not stated in the POA, you could still conduct the activity provided that you have passed the proposal on time. Who you are is a reflection of your family. There are cases that we still have to follow even there are no written rules about it. E.g. Perhaps, there is no rule posted in your house that you have to do household chores, but as a responsible son/daughter of your parents, you have to do household chores. Most of the jeepneys do not display the words Bayad Muna Bago Baba, but instinctively and with integrity, we have to pay the required fare. Even there are rules, we usually tend to: Ignore and forget. Deviate or circumvent Misinterpret Make their own

Why Policies? Joint Activities There should be a MOA and main proponent should be identified. Main proponents proposal should be on the front with Main Proponent written on right side. Each group doesnt have to individually pass the proposal, the one who is in charge should have the responsibility; he should attach the other groups proposal with theirs. Off Campus Activity Faculty 1:30 Inside the University (Saturday Event) Faculty 1:50 Transparency Set boundaries Save time Guide and influence decision Make life easy

You are required to finalize the POA. Once it is already stated in the POA, you cannot add, cannot change date and venue. KRA, though, can be changed. You are allowed to let your proposal be signed by another person if your adviser is not present, given that you consult our adviser first. You are not allowed to upload the PCF in the internet. Invitational (Off Campus) -At least 3 days before the event. When we say Minor activity, it comprises a small size of audience, usually done in a classroom. Tips to succeed: Dont be deactivated Set your priorities Plan Schedule and conduct regular meetings Meet deadlines Make fair

Venue and equipment form-Ms. Ivys office Before you transact and reserve, get authorization for reserved venue first. (Look for Ms. Reg) Central Requisition Slip- for those who have trust fund in the university. Job Request Form- for stage set up, tarpaulins. (D.F.O, beside CIH) Vehicle reservation and Fund Issuance form -You have to win the approval of Dr. Alcartado if you wish to rent vehicle outside the university. Visitors pass- if you invited someone from other institution; student groups, or speakers, etc. (Counter 22) Canteen Catering SlipCash Advance- supported of OR or Payment requisition slip Reimbursement is discouraged. As much as possible, never do that. MRO Request Form ---

ON SAFETY AND SECURITY (Inside the Campus)

Unwritten practices Excuse Letter- attach to the proposal. Prepare this on the time of activity with the scheduled time other than the U-break. The organizer must prepare this. Signatories-noted by adviser; endorsed by OSS (College level) or VCAR (Institutional); should be addressed to faculty concern. There is no approved by in the excuse letter. Estimated Expenses- check the IPOA for the allocation planned. If your actual expenses would be greater than the planned expenses in the IPOA, it is an offense. General Services: 1. Activities- until 8pm only unless with special permit. (8pm-9pm; clearing time) 2. Invited guests- letter addressed to Dr. Pat (AVCAS), at least 1 day for approval. Should have a duplicate, for the guard and for the org. 3. Vehicle sticker- secure your belongings; security office is located at the back of GDO 4. On traffic rules and regulations-follow policies for this. On cleanliness and orderliness: 1. Activities- Practice CLAYGO in every activity; return borrowed equipments, furniture, etc. immediately after the event; be reminded that Littering is clearly a major offense; keep campus clean and green; post only on approved designated area; keep bulletin boards clean and presentable. Bulletin Board- there is a given schedule for the letter. The organization would obtain an offense if the bulletin board is not presentable or in good condition. 3 offenses would mean that you will not be allowed to use the Bulletin Board. On environmental concerns: to be discussed by ERMCDO. June 15-July 15 (No Plastic Straws) On request, reservation and use of university facilities: AVCAS Follow the existing procedure. Should be reserved two weeks before the activity. Reservation Office: Transportation Office and Equipment Venues

On permit to enter the university during non-working days: Write a letter to AVCAS for approval On bringing IN/OUT personal properties: Use the form. On bringing OUT the universitys property: Write to AVCAS for approval Secure Gate Pass Declare the Property details (Specifications, Property No. etc.)

On Austerity Measures: Initiatively turn off the lights, faucet and aircon when not in use. Organizations whose funds are in the university: Payment Slip when paying to the cashier. PRF, MRF and other official forms must have authorized signature. Petty Cash Fund- should request for replenishment before the entire fund is exhausted. POLCIES AND PROCEDURES OF THE ERMCDO When we eat at the canteen, we clean as we go. When we leave the classroom, we clean as we go. When we finish an activity, we clean as we go. Maximize the use of social media. Lessen the use of papers. Maximize the use of the bulletin board. When we photocopy materials, it is encouraged that we use both sides of the paper. Use electronic media instead of using paper in meetings or promotion of activities.

Why? Because the consumption of energy of electronic media in lower than the energy used when processing papers. **There is a provided copy of Proposed DLSU-D Green Certification Program for Activities. There would be an awarding of Most Eco-friendly Organization/Council and Most Outstanding Environment Officer (P.R.O.) in Luntiang Parangal.

GUIDELINES TO CONDUCT OUTREACH ACTIVITIES The beneficiary usually asked the LCDC if the La Salle students do outreach activities because it is just a requirement to them. There should be heart and passion as we conduct outreach activities. Let us leave a legacy on our partner community. Why conduct Outreach? 1. Social realities 2. Lasallian mission 3. Nationalism Standard Operating Procedures Go first to LCDC (Proper Consultation), ask for specific details and all the needed information like date, venue and time. At least two members of the organization must be the contact persons. Fill out necessary forms and documents. NO CANCELLATION OF OUTREACH ACTIVITIES. If inevitable, inform the LCDC two weeks before that you will cancel the said outreach activity. Needed signatories: -Officers -Adviser/Dean -LCDC -SDAO Requirements must be passed a month before the activity. Attend the Orientation Seminar before conducting the outreach. After Activity report must be passed 3 days after the activity. Also, it must contain rich details and negative parts of the activity must not be omitted. Limitations of Student Organizations: Budget Terms of Office/ Tenure Rebuilding of activities Processing of documents

Processing of documents If the activity is a tie-up activity, there should be a constant communication regarding the outreach details among the organizations involved especially in processing the necessary documents. Recommendation of Partner Institutions: Technical capacity- students must be adaptable. You should prepare yourself in the place you are going. You must be ready on what you are going to see. Being emotionally stable is very important. You should not cry in the midst of performing the activity. Do not attract for the House Parents attention. One Time Orientation-should be done in LCDC Level Adviser should monitor the students. MOA should be reviewed in tie-up activities. Assistance foe DepEd recognition Limitations

Other institutions require only a maximum of 7 students in an outreach. We should carefully follow this if it is the expressed rule of the partner community. Other expressed needs: Spiritual Tutorial Livelihood Psychological evaluation Fundraising Volunteer for organic farming

Reminder: All documents must be processed and approved a month before the outreach. If your scheduled outreach is August 1, all documents must be ready and approved on June 30 or July 1. FUNDRAISING 101 One La Salle Scholarship Fund aims to make 20% of the La Salle population scholars. Fundraising is the art of asking. You have to ask first in order to receive. Fundraising is not about the money. Fundraising = Friend raising Stay true to your roots and purpose. Kinds Sponsors we cannot approach: 1. Sin products- cigarettes, gambling, liquors, contraceptives, corporations/people with questionable backgrounds When we ask, we should be clear on how much. When we are asked how much, we should not say Its up to you.

Specific- It should be clear in our mind how much we need. Go for the maximum! Know what you need/want. Measurable- You know what you need. Attainable- Be realistic on what you can achieve. Targets are realistic and challenging. Always have a considerable estimate, not the exact. Relevant- Key Results Area (KRA). Output and outcome have different meanings. Provide choices to your donors. Your letter must be unique and must stand out among others. It should be clear and aligned with regards to organizations project. Good fundraising = Sustainable Organization Diversify and expand your donors. Connection- how well are you connected? This is very important because the closer the connection, the higher chance you have. Capability- Know what the person/company gives. Also study if the company has given/sponsored something in the past, if yes, know what it has given and for what purpose. Also know if the company shares the concern of your organization. Conduct a prospect research- know the companys giving history and basic information. Fundraising activities must be aligned with organizational goals. NOTE: Keep a directory of previous, current and new donors. Each organization must have its own database containing all the sponsors and members, whether previous, current or new. This is important because you can use them as connections in order to get more sponsorship. With regards to the graduated members of your organization, they might be working in a company you can ask for sponsorship, and since he was once a member of your organization, he shares the same vision with your organization. He can therefore influence somebody in that company to be a sponsor of your organization. Who else can be your donors? -Supporters - Families of your members. They might be working in a certain company which you can ask for sponsorship. -Newly established businesses- Normally, these entities want to be known by the public, take advantage of it.

When you ask for sponsorship, call first the company and ask who is in charge in the sponsorship program. Anatomy of Solicitation Create interest State problem Arouse emotion Offer hope/participation/partnership Induce response Offer thanks

Letter should be personalized. It should contain the name of the company and the person in charge in sponsorship. Also, mention the name of the company in the body of letter so as to give it a personalized effect and not a general tone. (eg. that is why we are approaching Coca-cola) It is also important that you know what the company gives, if it provides in kind or cash sponsorship. If cash donation, it must be in check addressed to DLSU-D. There should be an acknowledgement receipt or provisional receipt for donation received. When you have already given the letter, make some follow up. It could be through e-mail,text, phone cal or more preferably, personal. How to avoid your letter to be diverted in the SPAM folder? The subject of E-mail must be creative. It should not be straightforward regarding the solicitation.

-There are companies who filtered their received e-mails and the letters with the subject of solicit or solicitations directly go to the SPAM folder. Check what the company wants to give. If it is a food company or apparel company, normally they would give in kind.

In asking for sponsorship, if possible, ask your adviser to accompany you. Fundraising is a team effort.

DEVELOPING LEADERS AROUND YOU/PEOPLE EMPOWERMENT

Developing servant Leadership To lead is to serve and to serve is to lead. Leaders who have gone are those who have great visions.

Be honest in small things and youll be honest in big things. Dare to do something that people do not expect. The concept of true leadership is to serve others. Learn to trust. Learn to delegate jobs and responsibilities. Efficiency must be balanced with values. Model changes in face of change. Elements of Innovation: Values/vision Culture Network Personal expectations Metrics Customer/market needs

Leaders should have charisma. Theres a difference between leading and managing. Leaders do the right thing. Exemplary Leadership Model the way Inspire shared vision Challenge process Enable others to act greatest contribution you can give Encourage the heart

I might not see the corruption ceased someday but I have sown the seed. Dr. Yu If there is something wrong, challenge it. If there is a leader younger than you, train and mold him. Seeing him outperform you is a great thing. Stages of relationship: Forming- Getting to Know Norming- aim to develop affiliates and openness Storming- You start seeing the differences of each individual Performing- Aim to fully function toward the same goal.

TUCKMANS MODEL OF LEADERSHIP UNABLE WILLING UNABLE UNWILLING ABLE UNWILLING ABLE WILLING

Discuss the organizations goal to your members. Know also their strengths and weaknesses. You should know your members not just by name. What we hear, we forget; what we see, we remember; what we do, we understand. Confucius A good mentor teaches how to fish, not to fish for them. Give feedback in a positive manner. Irreverence does not mean out of respect. Be consistent. Always go with the truth. Its not the matter of numbers you fall and stumble in the way. --There had been an activity wherein CSO and RSOs were tasked to plan activities (1 long term, 2 short terms) which are in line with LAYA and DLSU-D Vision and Mission; the team comes up with the following activities: Long Term: STEP JUAN this activity plans to adapt a community wherein there would be a continuous discussion about 12 topics which seek Values Formation. It is expected that there would be help from COESC for the lesson manuals for this activity. Planning would start on June and would last for the whole semester and the implementation would cover the entire 2nd sem. Details were not yet finalized and a meeting of all organizations COA must be expected this coming semester. RSOs are not required to join this activity but merely encouraged to be part of it. This STEP JUAN will be counted as an outreach activity for the coming 1st and 2nd semester of the organization who participates meaningfully on it. Short Term:

Institutional Spiritual Activity- It aims to promote spirituality development among Lasallians. This might cover concert, skits and performances from different groups. Environmental Awareness Week- There would be a debate concerning a particular environmental issue as an opening for the said event. There would also be seminars and exhibits regarding our environment nowadays.
