1- Financial Guarantees for Admission (FGA):


RULES:
FGA should be for the same major, if different it has to follow the upward mobility ( see Guidelines below) Issued for students requesting to transfer during their first two years of their program. FGA for scholarship upgrades have to be in the same major as their Bachelor Degree, NO EXCEPTIONS.

2- REWARDS
GENERAL RULES:
Based on credit hours EARNED and not hours ATTEMPTED Do not have Scholarship extension, (except :Sch. modification & ESL Extension) Repeat courses are not counted towards the minimum required hours. The term does not include UNAUTHORIZED courses by MOHE: Arabic, Music & Dancing. No grades of (P, PR, IP,CR,S, HP, Incomplete, Dissertation, Independent studies, Internship, practicum, fieldtrip, research course ) NO On-line courses Students studying at Community Colleges are not eligible for rewards. Courses in ESL do not counted towards the minimum required hours.

GENERAL REQUIREMENT:
A copy of the official transcript must be attached to all reward request

TERM REWARD
RULES: Undergraduate: 15 semester credits or 18 quarter credits EARNERD with GPA of 3.0 Graduate: 12 semester credits or 15 quarter credits EARNERD with GPA of 3.5 REQUIREMENTS: the reward % should coincides with the GPA.

DEANs LIST

REQUIREMENTS: Minimum 12.credit hours earned. The official transcript should mention the Deans List; Or a letter from the Dean should be included with the request.

2- REWARDS (CONT.)
LAST TERM REWARD*
REQUIREMENTS:
Copy of the OFFICIAL transcript should have the awarded degree posted on it; OR a letter from the REGISTRAR confirming the degree awarded. There are no minimum required earned credit hours. The GPA should be 3.00 for undergraduates and 3.5 for graduates.

CUM GPA REWARD*


REQUIREMENTS:
Copy of the OFFICIAL transcript should have the awarded degree posted on it; OR a letter from the REGISTRAR confirming the degree awarded. The GPA should be 3.51.

EARLY GRADUATION REWARD
REQUIREMENTS:
Must have graduated at least ONE SEMESTER/Quarter before scholarship end date.

GRADUATING WITHIN THE ASSIGNED TIME FRAME


RULES:
Graduated within the original time frame of the scholarship qarar The Cum GPA of 3.51

REQUIREMENTS:
Must attach official transcript Scholarship Qarar

2- REWARDS (CONT.)
GRADUATION from TOP 10 UNIVERSITIES in their MAJOR
REQUIREMENTS: According to Gourmands Report; or Confirmation by SACMs University Affairs Dept.

PATENT/SCIENTIFIC ACHIEVEMENT REWARD


REQUIREMENTS: Register a patent and provide proof from appropriate agencies as well as an abstract detailing the use of the invention. Accomplished scientific achievement awarded by a judged decision. This applies to a research paper publication too.

3- PRIVATE TUTORING
RULES:
SACM will cover the tutoring expenses once per academic year not exceeding the value of one month's basic salary ( $1400). ONLY for math and statistic courses. Current term ONLY. Tutoring services do not apply to English Language Programs, or courses in the student's major field of study ( Core courses) The student has to receive preapproval before he can get reimbursed for the actual cost.

REQUIREMENTS:
A letter requesting tutoring and stating the reasons A letter from the course professor supporting the request "Tutoring Statement" form signed by both student and the tutor Only after the request is approved and the tutoring is completed can the student raise a request for Reimbursement A copy of the official transcript showing the course that the student received tutoring for.

4- CROSS ENROLLMENT
RULES: Cross enrollment is allowed ONLY during the summer term or if student needs to take the course during his last term in order to graduate on time.

REQUIREMENTS:
Attach the cross enrollment or transient form (the form provided by the students current university confirming that the course taken outside will be transferrable and applied towards his major.); Make sure the school is recommended by SACM & MOHE.

TRAINING COURSE:
On-line courses: RULES:
Students are allowed to take MAXIMUM of 6 credit hours on-line. Approval is granted ONLY: In the event the student needs the course in order to graduate on time ( last term ) If the course is the first of a prerequisite course which is offered that term as on-line course only and not registering for it will delay the students expected graduation date.

REQUIREMENTS: In the request please make sure under the section Scientific Journey Request Details and in the Training Course Name Info to write the following: [ON LINE: course title & #;] Attach the copy of the on-line form after it has been approved by Dr. M. Alomar. Attach a letter from your advisor at the university the reason why you will have to take the requested on-line course.

Preparation courses for GMAT, GRE, MCAT, DAT etc


REQUIREMENTS: (Preparation courses for GMAT, GRE, MCAT, DAT etc) Need letter from school, (Kaplan, Princeton Review) indicating the beginning and ending date of the course and the tuition charges.

6- HOLD RELEASE
SCHOLARSHIP POSPONEMENT RULES:
All requests for postponement should be either for a MINIMUM 4 months with a MAXIMUM of 1 year. Once the postponement is approved the committee would have put the student on hold automatically

REQUIREMENTS
When the students Return form Postponement is processes the system automatically releases the Hold for the postponement reason initiated by the committee.

6- HOLD RELEASE (CONT.)


SUSPENDED:
RULES
The release date is from the start date of the term the student was readmitted. REQUIREMENTS Admission letter Registration for the term Documents such as: I-94, transcript, enrollment verification, admission letter, registration are part of the requirements depending on the reason.

GENERAL RULE:
HOLD initiated by the Social Affairs Department can NOT BE REMOVED by the advisor.

7- REIMBURSEMENT
There are 13 reimbursement categories 1-PRIVATE LESSONS/TUTORING
REQUIREMENTS:
REQUEST # of the approved Private Lessons Request Proof of payment (original invoice, bank statement, receipt, etc.) The approved "Tutoring Statement Form

2-ATTENDING A CONFERENCE IN KSA 3-ATTENDING A CONFERENCE OUTSIDE KSA 4-ATTENDING A CONFERENCE IN USA GENERAL RULES: This request applies for graduate students ONLY.

REQUIREMENTS:
Letter of recommendation from the school stating the relevance of the conference to the students major, dates, location mentioned. (The conference should meet the degree requirements; the fact that it is BENEFICIAL to the students major is not a qualifying point.) Conference brochure showing the dates, place, and the duration of the conference, and the registration fees. Advisor must state his/her comment and the request must be submitted 30 days prior to the event. Check the accuracy of the attached documents.

SCHOLARSHIP

1-SCHOLARSHIP EXTENSION
RULES:
Submit 3 months before the scholarship end date and not before.

REQUIREMENTS:
Attach Scholarship Qarar, A copy of official transcript, Official letter from school that includes the: Cum GPA; credit hours completed, credit hours remaining for graduation, expected date of graduation, major and degree. Indicate if previous extensions were granted (ESL and/or ACADEMIC); attach either documents or Req. #s. Indicate if previous Postponement was approved and attach he approval document or Req. #s.

2-CHANGE OF SCHOOL
RULES
change of school is approved ONCE for the duration of the scholarship REQUIREMENTS Pledge letter (signed and dated by the student) stating that no other request will be submitted. Scholarship qarar of MOHE Approval from University Affair is a must Evaluation letter of accepted transfer hours in the new major from the Department. (The letter should mention transfer credits accepted towards the major, credits remaining and the expected date of graduation)

Remark:
If school is oversaturated need the New regional Directors signature on the acceptance letter. If student already has more than ONE sch. Extension, the request will be declined at the Directors level.

3-CHANGE of MAJOR
RULES:
change of major is approved ONCE for the duration of the scholarship The new major has to be from the lower to the higher( better) : ART/HUMANITIES - BUSINESS - IT SCIENCES (FOR PRE-MED MAJORS) ENGINEERING MEDICAL FIELDS Approval from University Affair is a must Graduate students may request if the new degree is the same as their undergraduate program.

REQUIREMENTS
Letter of acceptance into new major stating: degree, major and term. Evaluation letter of accepted transfer hours in the new major from the Department. (The letter should mention transfer credits accepted towards the major, credits remaining and the expected date of graduation) Copy of official transcript, Students pledge; FOR GRADUATE STUDENTS: a copy of the undergraduate diploma and the transcript is a must Scholarship Qarar required

4-CHANGE OF MAJOR AND SCHOOL


RULES
See Change of Major and Change of school Rules and Requirements.

REMARK:
The Pledge letter (signed and dated by the student) must state that no additional request for change of major or School will be submitted . Approval from University Affair is a must

5- SCHOLARSHIP POSPONEMENT REQUESTS


RULES:
The postponement has to be minimum 4 month to maximum ONE year. The student has to mention the reason either in the request or by attaching a letter(signed and dated by the student) If tuition or/and the allowances were paid the request will be rejected

GUIDELINE:
THE FG related to this request When you process a Scholarship Postponement Request upon its approval from the committee, the system automatically generates an FG Cancelation. REQUIREMENTS: Check to make sure the reason is reasonable and acceptable.

6-RETURN FROM POSTPONEMENT:


RULES
If the student returned from postponement BEFORE the approved postponement end date. The return can only be granted by the END DATE of the postponement. If the student returned AFTER the approved period of the postponement, the student has to request a scholarship postponement for the second time and mention in the request that this is a continuation from the 1st approved postponement The request should have the initial postponement request # with a mention of its start and end date REQUIREMENTS I-94 Admission letter Current term Registration Upon the approval of this request the system generates HOLD RELEASE REQUEST automatically.

7-REQUEST SCHOLARSHIP UPGRADE


RULES:
The student should have graduated with: a GPA of 2.75 for undergrad and ; 3.25 for graduates.

REQUIREMENTS:
Required Full UNCONDITIONAL admission letter for the new degree , indicating the term to start, the major and the degree. Consent/Pledge letter stating that no change of major will be requested once upgrade is approved. Approval of the University Affairs Department is a must. Official Transcript indicating the degree awarded, ( if graduated) , Or a Letter from the REGISRAR, confirming the graduation date, degree and major Upgrades to PhD degree have to attach a copy of the Bachelor degree awarded ( transcript & Diploma), as the PhD has to be the same major as the undergraduate degree. Registration is required if the term the upgrade is requested for has began.

8-CLOSING FILE
RULES:
There are 13 reasons that can lead to closing of the file:
1-Graduation; 2-Students request; 3- Did not attend two consecutive terms ; 4- Poor academic progress; 5- End of Scholarship(without any extension requested); 6-Change of major, university or country without prior approval of SACM; 7- Unable to obtain admission from an accredited university; 8- Close dependents file if the primary scholarship holders scholarship ended; 9-The students death; 10- Suspension from the University; 11- Disciplinary action; 12- Continue to study in a university that is not recommended by

9-CLOSING FILE (CONT.)


Graduation:
GUIDELINE: Must have completed all outstanding rewards or any other financial pending issue. Must have completed the Certificate and Authentication Request ( the request has to include : 1-the authenticated copy; 2-a letter signed and dated by the student requesting either to close his file or leave it open as he intends to request a scholarship UPGRADE .

REQUIREMENTS:
Attach the certified copies of transcript and diploma ( if available at the time the request is raised as it is not a must to have it to complete the request) Select the graduation date

10-TRANSFER TO ANOTHER COUNTRY


RULES Student must attach an acceptance letter for an accredited university and program to the country requesting the transfer to. Must attach the latest Official transcript A letter from the university ( if the request is in during the term) indicating that the student is still enrolled , if withdrawn it must be clearly stated that the withdrawal is authorized and SACM will not be invoice for that term.

12. SCHOLARSHIP SEPARATION


RULES:
Raised by the dependent: Primary students file should be closed. Follow the Close File steps. REQUIREMENTS:

The dependent should submit letter from school stating the remaining requirements for completion of degree and the expected date of graduation Updated transcript Registration. The closing File request # or a copy of the official transcript with the degree awarded.

13-CHANGE OF DEGREE LEVEL


RULES:
Must have completed the ESL program Scholarship Qarar letter Full Admission letter ESL completion letter stating start and end date of the program A request to release for all ESL HOLDs( 1 year or 18 months completion)

REQUIREMENTS:

IMPORTANT NOTE: If the admission letter is to a different degree program or to a different school from of the scholarship Qara, the request should be for Change of Major; Change of School; or Change of Major and School depending on the qarar and the admission letter.
ACTION BY THE ADVISOR:

Will reinstate a new HOLD on the students allowances for No Registration with the start of the term the Admission is for.

CHANGE OF DEGREE LEVEL TO COMMUNITY COLLEGE (CC)


RULES:
APPLIES ONLY for student who have completed their 18 month of English and could not get academic admission to a University Has to have a minimum of 5.0 ILETS score or the TOEFL 6, or ESL level 110. Is not allowed to take ESL level English courses For a term of 2 years maximum, but the FG letter will be for one term at a time. Can attend only CC within their Region Graduate students are not allowed to attend CC.

REQUIREMENTS: Full Admission letter ESL completion letter and the last grade Report Attach the ILETS score (5.0 min.) or the TOEFL 60, or ESL level 110. Pledge letter

1- Financial Guarantees Letter for ESL students (FG):


RULES:

The duration of the ESL is ONE year


A maximum of 6 months EXTENSION may be approved after the successful completion of the one year. 1st FG (duration 6 months) issued per I-20 at the time the file is opened. 2nd FG must not exceed the duration of 6 months, and has to have the test registration 3rd and FINAL FG, must be issued after the extension is approved and actual test results are available. REQUIREMENTS: Attach the ILETS/TOEFL test : registration or score

2- ESL EXTENSION
RULES: Extension date starts one year from the beginning of the scholarship The duration of the extension cannot exceed 6 months. REQUIREMENTS Last grade report must be attached ILETS/TOEFL scores

3-CHANGE OF ESL SCHOOL


RULES:
Students are allowed to change if they were dismissed from an institution Have to follow a dependent Can provide a valid reason. GUIDELINE: Must transfer within region ONLY There must be 4 month left on scholarship. Check saturated list before submitting. ( FL, CO and DC area closed) Has to finish current session. REQUIREMENTS Last grade report Acceptance letter Pledge letter Students transferring outside their initial region must have conditional acceptance to a university and have the University Affairs approval. ( this requirement is waved for graduate students)

4- ESL TO BRIDGE
RULES: This program applies to a few approved programs (must ask Univ. Affairs for the names and conditions) The Bridge program is considered part of the 18 months of the ESL program, no additional time will be allowed. Must have a conditional admission to the School where he will transfer to. REQUIREMENTS Admission letter Pledge Last grade Report Receive Approval from University Affairs
