NOTICE OF MEETING
OF WESTWOOD HOMEOWNERS ASSOCIATION
BOARD OF DIRECTORS
In attendance:
David Stevenson (DS), President

Jeff Clotfelter (JC), Secretary
Proof of notice:
-proof of notice was mailed three days ago, certification is on file.
Presidents report:
- 2 carpenters’ progress
- Monroe has completed work on the pump room, both doors lock
- Vernon has worked on 512, 411, 412 temporary stabilization
- -no charge, he submitted receipts
- Both Vernon and Monroe are certified for residential but not commercial
carpentry work. This means they can’t work on buildings with more than 3 units.
BG will follow up to see if this applies to us.

- Clubhouse cleaning- Anita Black doesn’t have a business license

- DS has been issued a summons to appear
- The owner of 108 is suing DS instead of Westwood for leak detection services
- BG moves to authorize to notify Brown and Brown that the notice has been
served and is directed at the wrong entity, LR seconds
Treasurers/management report:
- trial balance and accounts receivable reports are on file
- bottom line is the community is getting healthier
Arbor report
- stray trees
- Cris Revell from the city said they will be by to get rid of them
- H&H’s summary of their work is attached
- They have turned in a bid for the sod ($600). That includes some additional dirt
for fill
- An issue with landscaping is fungus and worms, in addition to drought, has killed
some grass. We need some more information to make a game plan
- BG moves to go with H&H proposal for sod, fungicide application, and clubhouse
beautification. JC seconds
Lighting report:
- dumpster lighting proposal is forthcoming, possibly by Thanksgiving
- BG moves to authorize LR to spend up to $500 for the new light, JC seconds
Old business:
- budget committee recommends (see 2008 proposed assessments)
- BG moves to accept the 2008 budget (see attached), $318,068 as recommended
by the budget committee, LR seconds

- Southeast Carpentry’s’ proposal for the repair of 407’s deck comes to $10312
- BG moves to accept their bid, subject to verification of insurance, workers comp,

We propose hereby to furnish material and labor– complete in accordance with the above specifications for
the sum of: $10,312.00 Payment as follows: 50% deposit ($5156); balance at completion ($5156).
Conditions: Southeast Carpentry, hereafter referred to as contractor, will perform in a workmanlike manner, according to local industry practices, the
work described in this contract. Contract price applies only to work described in this contract. Additional work will be performed only upon written
change order. Carpentry estimates do not include discovered damage. All deposits are non-refundable. Contractor shall not be held liable for any loss,
damage or delay caused by inclement weather, material stolen after delivery to work site, acts of God, accidents, labor and/or material shortages,
delayed material delivery from any supplier, or any other cause beyond the reasonable control of the contractor. All listed schedules are contingent
upon the weather and its suitability to us. Any payment amount not properly paid in accordance with this contract shall bear interest at the rate
of 1.5% per month, 18% per annum. Buyer will pay all costs of collection of such delinquent accounts including court costs and reasonable
attorney’s fees. In connection with any litigation, including appeals arising out of this contract, the contractor shall be entitled to recover all costs
incurred, including reasonable attorney’s fees. Buyer agrees the venue for any legal proceedings will be at the discretion of the contractor. This
contract, including any pages or exhibits incorporated by reference, constitutes the full and complete agreement of the parties.
ACCEPTANCE OF PROPOSAL -- The above prices, specifications, and conditions are satisfactory and are hereby
accepted. You are authorized to do the work and payment will be made as specified above.

Unit #407
1. Back deck
• Remove existing stucco divider wall between the #407 and #406 deck. Build a shadow box
privacy fence in its place, keeping the same size/shape.
• Keep the full picket fence at the deck perimeter; replace any rotted boards.
• Replace all deck floor boards with 2x6 PT.
• Run a new 2x8 support beam (bolted to the support posts) under the outside band (header
joist) supporting the deck. Includes the #406 side.
• Install support blocks under the 2x6 floor joists.
• Trim the joist tails to 6”
• The round posts for the back deck are OK.
• Keep the floor trap door on the #407 side.
3. Notes
• Does not include repairs to the #406 decking except as noted.
• Fasteners: use 4-5” galvanized lag screws for the framing-to-post joints. Use 12-16d
galvanized common nails for framing. Use 3” galvanized or treated decking screws for all
new deck flooring.
• Includes a building permit.
• Does not include general wood rot repairs to the other woodwork on the building, i.e. siding,
trim, doors, fascia, soffits, corner boards, etc.
• We will pile up the construction debris at a location chosen by the homeowner’s association
and the debris will be hauled off by others.
