Leadership Planning Session (Retreat) Pender United Methodist Church October 20, 2012 Attendees: Pastor Kenny Newsome,

Reverend Kevin Havens, Council Chair KT Tarro, Facilitator Beth Dougherty, John Amos, Lisa Bryda, Merri Carnahan, Theresa Carpenter, Karen Cross, Christina Dingman, Mike Dingman, Christian Durning, Jami Flemmons, Di Hannum, Mary Ann Hinkle, Joey Kelly, Butch Kinerney, Meredith Kinerney, Janet McConaghie, Debbie McKamey, Cheryl Moxley, Mary OConnor, Sue Russell, Harmonie Taddeo, Mary Wetzler, Carol Wilson, and Guy Wilson The session was opened with a devotional by Pastor Kenny at 6:05 pm. Penders Weekly Measures Pastor Kenny reminded Penders leaders of the measures that will begin being reported Church-wide as part of the Conference. 1. Worship attendance 2. Professions of Faith 3. People involved in ministry outreach 4. Small group participation 5. Stewardship Pastor Kenny challenged the leadership to consider these measures, the significance of their impact, and ways that leaders/ministries can influence these areas. He also challenged leaders in the coming year to invite one person to worship, participate in one outreach activity, get involved in a small group activity, and reflect on personal giving. 2013 Calendar Events Beth reviewed the events planned for 2013 based on homework submitted by leaders. The attached listing of events was updated based on the conversation. Cross Ministry Areas Events Highlights 1. Hypothermia Center (Guy Wilson) This event is sponsored by the United Methodist Men and it involved several other ministry groups in providing breakfast and dinner meals, preparing bag lunches, providing transportation to Metro, setting up videos and other activities for evening activities, etc. The reasons cited for the overall success of the event: a. It represents a compelling need and resonated with members. b. Our people were equipped by FACETS. Training was provided to volunteers prior to our guests coming to Pender. c. The sermon preached prior to the event was a very powerful motivator for people stepping forward as volunteers. d. Activities at the church, such as Bible studies, were available for the guests participation. e. The event was limited in duration and people could plug in for a specific, limited period of time.

2. Music Concert Series (Theresa Carpenter) This series is an opportunity for music as a performance, fun activity rather than as part of the worship service. Youth are the primary performers, and both Christian and secular music will be offered. These concerts would be an outreach to the community and may be offered in January, April, and October. The concerts may take on various formats. It may just be a concert performance, a concert and a dinner, or part of another event. 3. Flash Mob (Butch Kinerney) On Thanksgiving Eve while shoppers are waiting in line for stores to open at midnight with their Black Friday sales, people from Pender would also be scattered throughout the line. At an appointed time, they would step forward and begin singing Christmas carols while other members would pass out cards with information about Pender. There would be a rehearsal on the Sunday before this event and everyone would have a glow stick. 4. Food Trucks at ReGift Thrift Store Parking Lot (Butch Kinerney) Food Trucks could meet in the parking lot along with a couple of bands to encourage socialization and to share info about Pender. Opportunities 1. In considering the 2013 activities, Beth asked participants to select one of their ministry events or programs and share their thoughts with respect to why they are doing this (the so that reason) and how the cluster can involve other ministries . 2. Butch Kinerney suggested continued use of the Pender Project Planning sheet. (Copy attached.) 3. Guy led a discussion about the Sweetheart Banquet to assess continued interest for this event from those attending the leadership retreat. 4. Handbell ringers have been invited this year to participate in the Festival of Lights by the City of Fairfax on December 1, 2012, from 5 to 6 pm. This would be a great opportunity to reach out to the community and hand out information about Pender. 5. The idea of holding a planning session in the evening with childcare was well received. Future Action Items Spring Retreat -- The retreat is scheduled for March 16, 2013, and will be an all-day event planning the 2014 calendar. Beth reminded everyone to complete the Resource Request Form (Building Use Form) for activities planned next year whether they are held at Pender or off site. Project Planning Template is attached for use by the ministries.
