A study of Enhancing Communication management on a project portfolio at Ibn Saleh Al Hashmi Trading & Contracting, Muscat, Sultanate Of Oman

2. Introduction to the study


The Communication Management encompasses the planning and management of all communication activities involved in pre and post planning and during operations of projects. Importantly, it also includes coordination and collaboration with various departments which are involved in the project and stake holders and customers. Communication is the key to keeping team members, managers, and stakeholders informed and on track to pursue the project objectives. Communication is also the key to identifying issues, risks, misunderstandings, and other challenges to project completion It drives coordination of processes and activities across different departments of projects like Project Planning, operations, finance, marketing, sales and information technology.

4. Significiance in Projects.
Many project managers take good communication for granted. They start working on a project without even thinking about how to communicate with others. The lack of a communication plan is possibly the biggest mistake the project manager and the team members make. Effective Communication decides the success of the project. Successful project managers utilize both knowledge areas and lifecycle processes to

communicate effectively their project information. Understanding and using the knowledge areas and lifecycle processes are fundamental to your success as a project manager. It is important that project managers and team members understand their roles and are comfortable with their responsibilities of communicating project information

5. Review of literature The literature for review to be collected from primary and secondary sources such as Textbooks from experienced project managers, magazines, articles, reports, budgets, news paper etc to highlight the problems and findings of the study done by many research and business professionals to understand the significance of the materials management of the companies. The objectives of the proposed topic have to be formulated based on the previous study by the many research professionals. Approximately ten to fifteen reviews has to be collected and presented in my project report. Statement of the problem In projects of Ibn Saleh Al Hashmi it is observed that a large gap in communication is acting as a hindrance in achieving the planned deadlines and meeting customer expectations. With effective communication all departments can work cohesively towards a single organizational vision. The major issues in communication management are as below. Lack of communication planning. The procedure of work, completion date, and expected quality is not communicated clearly to the staff involved in operation. Duplication of work due to improper communication. Lack of understanding of project management knowledge areas.

These issues are faced mainly due to the mismanagement in the above fields. These important factors affect the profitability of the company to a great extent. Apart from these factors there are many other issues pertaining to communication management. And this is a factor which is grossly overlooked in many organizations. Hence it was decided to conduct a study on the above subject to improve the communication management which in turn will improve the efficiency of project scheduling and profitability of the projects. Objectives of the study The goal of the study is to overcome the following difficulties and to enhance the organization growth.

To find out proper channels of communication and the various issues involved. To explore ways of making the project teams aware of Project management knowledge areas.

To define communication tools to manage project scope, project time, project cost and project quality.

To define communication tools to report projects in the most efficient way.

Need for the study By understanding the communication management issue at various projects of Ibn Saleh Al Hashmi trading and contracting and by studying many operational issues, budget and financing issues issues, and client contractor relationship issues involved in the organization the profitability of business can be improved.

By improving the professional operation the following advantages are expected. Will be able to meet the project schedules as per the set targets. The image of the company will improve and the market share of the company may increase in due course of time. Improved profitability of the projects will lead to the growth and expansion of the company. Improved relationship with the customers will improve further business

opportunities. Higher profitability will indirectly increase the chance of higher bonus, employee promotions and boost morale of the employees. Scope of the study In future this research will enhance the below benefits, It will make the project team more cohesive and increases coordination between people. Helps in meeting the deadlines and speeding up projects. Helps in building a perfect team for projects. Helps in meeting the expectations of stake holders and clients.mm The remuneration and bonus level of the employees can be improved since the production is improved. 6. Research methodology A research study has to be conducted with proper execution of methodology. The methodology gives you the complete picture of how the research is to be initiated, the

process of research, designing of the research, tools to be used in the research and technique used for analysis etc. From data to action Research is only as good as what it reveals and the knowledge gained. Providing pure data is not enough, we have to apply our skills to analyze and work with each situation to apply the findings or solutions according to the situation.

The following are the steps followed in this research, Establish Context I worked with the key stake holders like the C.E.O, Administration Authorities, Purchase Mangers, Site Store authorities to establish the Content of the Communications Management Project. The following steps are followed in establishing the content of the project. Gain understanding of the background / requirement of the project. Establish key stakeholders. Clarify the purpose of the research to the major stake holders.

Understand the important parameters to be included in the research. Assess the culture of the people involved in the project process.

Select & Design Research Methods I decided to use the primary and secondary research methods for this project. If required both the methods has to be effectively combined to meet the objectives.

The primary research methods planned are to conduct structured interviews, participant observation and investigative focus groups for smaller projects. The bigger project requires questionnaires and surveys. Structured or functional benchmarking exercises can also be planned to review internal processes or conduct competitor analysis.

Secondary research includes desk research, literature review of published reports, articles and company/market intelligence as well as analysis of internal company data, procedures, processes and policies. Undertake Research Research is undertaken with a representative sample of the total population. Primary data to be collected with the help of questionnaire and scheduled interview method. The total number of samples to be selected for the study is forty to fifty numbers. The method of sample selection is by systematic sampling method. Secondary data are collected through library resources like articles, magazines, news paper, various reports, internet resources etc. Analysis & Validation

The research is analyzed and the evidences are evaluated. If evidences are conflicting then it require further investigation before decisive action can be taken. At this stage we have to identify key trends and insights and formulate initial comment, recommendations and conclusions. The collected data will be analyzed by employing tools such as averages, covariance, correlation and regression. Wherever data shows high level of correlation between many variable, multiple correlation technique will be employed but with limited options. For assessing the prospective values and to derive conclusion on such posterity figures, the method of least square will be employed so that that trend values can be fitted on the basis of a straight line relationship. Wherever comparison of data is involved, presentation techniques are employed by using pie charts histograms etc. The validity of the data collected is ascertained by utilizing z-test and chi-square test. But as far as my study is concerned, major reliance is on primary data which is highly reliable considering the source. The data is obtained from highly reliable sources which have been used by the organization for long time. Create Research Output

The final research output shall be produced in a format which can be easily understandable to the stake holders and the site operators so that it can be directly implemented.

The project review and evaluation process is carried out at key milestones of the project and upon project completion. Effective evidence gathering, assessment of new knowledge and skill creation is an important part of the review process. The research results have to be applied to support the individual, team and organizational growth and development. The industry research practice includes communication assessment studies, Analysis of current system of communication and comparing with ideal communication practices best practices in business communications and preparing of project reports in Oman, how to make the best use of knowledge areas according to PMBOK. Primary research, survey studies, secondary research, communication practices at the sites, reports preparation, employee attitude, employee motivation and engagement, event effectiveness, etc are considered in the qualitative, quantitative analysis. Limitations of the study

All research studies have certain limitations and a finite scope. Limitations are often imposed by time and budget constraints. The selected samples may not represent the complete picture of the organization. The respondent bias is also one of the reasons for the limitations of the study.
