Duties and Functions of Officers


1. Director of Event Planning oversees Logistics, Activities & Entertainment, and Registration. a. Logistics Coordinator Provides the comfort and necessities at the event. Works with the host
facility to make sure all vendors are secured. Deals with the event specifics, booking all necessary equipment for the night of the event. b. Entertainment & Activities Coordinator - Recruits local groups to perform at Relay, bringing fun to the event to keep everyone going for 12 hours. Keeps the participants involved and active for the duration of the event with games and competitions. c. Registration Coordinator Responsible for planning the Kick Off event, as well as managing all volunteers for any RFL events. The Registration Coordinator also manages any necessary information relating teams and their members (i.e. shirt sizes). Director of Financeoversees Accounting and Sponsorship & Underwriting. a. Accounting Coordinator Responsible for keeping income and expense records for the event. The Accounting Coordinator handles all cash and checks; including offline donation, luminaria money, and checks from sponsors. They will be expected to track all totals in an organized fashion and stay in close contact with the ACS Advisor. b. Sponsorship Coordinator This person can put the icing on the cake when it comes to involving the business community and bringing in extra dollars. Responsible for contacting corporations, banks, and health professionals to secure underwriting or donations, which will cover expenses of the event. Director of Missionsoversees Advocacy, Luminaria, and Survivorship. Likewise, this position also fulfills the role of Mission Delivery Coordinator. a. Advocacy Coordinator Informs the board and the greater community about the Fight Back activities and legislative priorities. This person is also required to recruit ten new ACS Cancer Action Now (CAN) members. b. Survivorship Coordinator This committee will help recruit survivors in the Dallas area to attend our event. They will also plan and coordinate the survivor reception at the event. c. Luminaria Coordinator Coordinates the sale and collection of Luminaria before and during the event. Plans and implements the Luminaria Ceremony at the event. Director of Teamsoversees Team Recruitment and Team Development a. Team Recruitment Coordinator Team Recruitment is the most important job on this committee for without teams you have no Relay. The entire committee will recruit teams, though oncampus organizations will be this persons focus. b. Team Development Coordinator This person will make a good team BETTER. Successful Team Development Coordinators are in constant communication with their team captains. Keeping them informed, motivated, and focused on the mission. Team Development Coordinators will host team captain meetings and relay all important information to the captains through email and other avenues. Director of Communicationsoversees Online, Publicity & Marketing a. Online CoordinatorThis person is responsible for managing the Relay For Life Website. They must keep it current and make sure all informationincluding board contact information and datesare correct. They will also be required to respond in a timely fashion (within 12 hours) to any requests for additions or changes to the website. b. Publicity & Marketing Coordinator Uses all campus resources to get the word out about Relay For Life. Distributes posters and brochures throughout the year. High involvement during the spring semester, on and off campus publicizing the event. Director of Administration This person is responsible for coordinating the recruitment, selection, and training of all Relay For Life of SMU members, as well as addressing performance concerns through the Performance Evaluation Agreement.

All Directors are required to attend the Board of Directors meeting held each Monday from 3-4pm. All officers, both Directors and Coordinators, are required to attend the All Board Meeting that is held each Tuesday from 5-6pm. In addition to attending these meetings all officers, both Directors and Coordinators, are required to attend the All Board Retreat that is scheduled for October 20th.
