PROGRAMME REPORT ON: INSPIRE FAMILY DAY

DATE: 4TH JUNE 2011

VENUE: FEMALE SPORTS COMPLEX, IIUM

TIME: 8.30AM-1.30PM

ORGANIZER: ENTERPRENUERSHIP, SUPPORT SERVICES AND WELFARE BUREAU (ESSWEL) INSPIRE CLUB INTERNATIONAL ISLAMIC UNIVERSITY MALAYSIA

INTRODUCTION INSPIRE Family Day was successfully held on 4th June 2011 where it was took

place at Female Sports Complex, IIUM. This programme was held as to expose the members to the healthy life. This programme was a one day programme and the purposes of this programme to strengthen the relationship among the members of INSPIRE Club, seniors and juniors, and to introduce the new batch which is I-02 to their seniors. The target groups of this programme were all members of Inspire Club from batch Karisma 01 up to newest batch, Karisma 11@ Inspire 02. 2. PARTICIPANTS Participants (letakkn bilangan eg: 80 particpants of Inspire Club ) Committee members (letakkn bilangan eg: 80 committee members of Inspire Club ) 3. ACHIEVEMENTS Achieving a target number of participants. Able to give comprehensive understanding of the appropriate skill to conduct programme to the committee members. All members of Inspire get to know each other more especially batch Inspire 02 which get to know their senior from the previous tenure. 4. PROBLEMS There has been some misunderstanding regarding the job scope of each biro. The program was started late due to late arrival of participants and some committees.

5. SUGGESTIONS It is hope that for the next programme, it would be more efficient for organizing committees to understand their own job scope. The committees have to attend meetings at least final touch. Time management has to be followed accurately. It is hope that for the next same event, it can be done in a more comprehensive way and excitedly members of the organizing committee will have less miscommunication errors and cooperate with each other more efficiently. 6. FULL REPORT OF THE BUREAUS PROGRAM COORDINATOR BUREAU Head Committee : Noor Ain Binti Mohd Salim(0825852)

Assistant Head Committee : Taufiq Bin Abdullah(1014883) On the day of programme, we coordinate the flow of the program. Everything was conducted according to plan but the games ended earlier that estimated time due to weather condition. Indoor games were conducted as replacement to those games. We were having a huge problem when it comes to times management. We have to delay the closing ceremony due to barbeque session that takes extra time to finish. Other than that, participants did not give full attention at first, making the time dragged. For the next programme, we suggested that barbeque should start from early in the morning.

PREPARATION AND TECHNICAL BUREAU Head Committee : Mohd Fikri Razali (1020077)

Assistant Head Committee : Siti Northahirah bt. Mohd. Pauzi (1018094) Preparation and technical bureau task is to help in arranging table for registration and also for catering. We also set up the extension, PA systems, portable micropohone and healer for the event. We faced several problems during the programme regarding the extension. Some extension cannot be used and some are burned. The PA systems and portable microphone was not fully utilized. For the next programme, we hope that every bureau listed all the things needed in the time given and make sure that the things is fully utilized so that the effort of booking the things will not wasted. PUBLICATION, PROMOTION & MULTIMEDIA BUREAU Head Committee : Siti Razifah Khamis (0921446)

Assistant Head Committee : Siti Aisyah bt. Mohd. Zolkefpeli (0918498) Our first task is promoting the event on Facebook means that create the event and invite all Inspirians. Therefore, we can find out total number of participant who can join the event. Next task is to design the poster and distribute it to all mahallah and kuliyyah. Other than that, we also send the invitation messages to all Inspirians. After that, we have to total up all the members of the club who are able to join the event. We also have been given a task to do the banner. Last but not least, we also have to take pictures for every activity during the event. Invitation using message by phone is not a very effective way to invite the seniors because the data about the contact number are not updated frequently. It is very difficult to trace members who replied the invitation by using Facebook especially

those who are not using their real name. It is hoped that for upcoming programme, the data is updated especially the contact numbers. GENERAL TASK BUREAU Head Committee : Nur Hani Binti Mohd Affandi (0924996)

Assistant Head Committee : Nur Nabilah bt. Jasni (1029118) General task was responsible to take charge for registration. However, registration was started at 8.30 am because of participant came late. Most of them came at 9am. Some participants do not do early registration, so, the bookmarks and goodie bag was not given early to the participants. To solve the problem, bureau of General Task give goodie bag and bookmarks during closing ceremony. Every single problem had been handled with great caution and care and this made possible with the aid and assistance from all respective bureaus. CATERING BUREAU Head Committee Sub Committee : Intan Nursafinas Binti Zainuddin (0924560) : Hazira Binti Halim (0927502) : Siti Nabihah Binti Sukria(1016948) The programme began at 8.30am. So, we started prepare drinks. Food was distributed to participant after registration. Everythings going well. For lunch, we started to prepare the grill at 10am and start in grilling the chickens and others. Coleslaw also was prepared. The rice came late since one of the committee cook it at her home. Lunch was started at 2.15pm. We served corn rice, grilled chicken, potato, grilled corn and iced lemon tea. Many participants and committee gave compliment to the menu. Participants were willingly washed their own

glass. It makes task of catering bureau easier. However, we do have problems with the things we wanted such as glass and etc. It arrived late. Next time, it is hoped that the committee in charge will check all the things that they need in advance and take it from person in charge taking care the things sooner. SPORT & RECREATION BUREAU Head Committee : Afnan Omar (0910983)

Assistant Head Committee : Nadiah bt. Zainal Abidin (0927914) On the day of programme, we are in charge of games. In Explorace session, it was going well. All participants give full cooperation although at first there were some problems dividing the groups. We do have some problems regarding the weather. Due to complaints from the participants that the weather is hot, the games have to be ended sooner than planned. Hence, few games cannot be played. Solution to this problem is playing indoor games. Our suggestion for the next programme is to find the cooler place so that all the participants feel comfortable to play. 7. Photo 3: The committees were busy grilling the food. 11. CONCLUSION Overall, this programme was run smoothly with full commitment from all committees and participants during this programme. We would like to address our appreciation to all organizing committees and Inspire Club who had contributed directly or indirectly in this programme. Without the supports from Inspirians, this programme will not achieve our objectives. It is hoped that the main objectives of this programme had been achieved. Gratefully, Inspire Family Day Programme was successfully ended with pleasant ending because all participants were satisfied with the programme. We as the organizing committees took all the weaknesses during this programme as a challenge in order to develop our skills and self-motivation and to become better in the future.
