CHAPTER - I

INTRODUCTION
Logistics
Business logistics is the planning, organizing and controlling of all moves
store activities that facilitates product flow from the point of raw materials
acquisition to the point of final consumption and the necessary information flows,
for the purpose of providing a sufficient level of customer services in a cost
effective manner.
Term logistics originates from the ancient Greek word logos. Logistics
is considered to have originated in the militarys need to supply themselves with
arms, ammunition and rations as they moved from their base to forward position.
In the words of a layman, logistics can be defined as having the right type
of product or services at the right place, at the right time, for a right price and in
the right condition. Logistics has evolved as a common and well known business
concept because of the ever increasing complexities of modern day business. The
primary goal of logistics is to effectively manage the project life cycles and
resultant efficiency. This has greatly evolved with a logistics managers role in
efficiently designing the products of the company keeping in view the principle of
efficient system of supply chain management.

In business terms, it can be summarized as a competitive strategy adapted by


the enterprise to meet and exceed the expectations of its existing and prospective

Logistics does not mean a single work activity but refers to a group of activities
performed to attain the goal of a business enterprise that is maximizing the profits.

base. Logistics play an important part in the present business world.

globally and fast evolving trade and commerce scenario in India with the global

customers. The living standard has been improved. This results in substantial
amount of growth in both exports and imports. The procedure of both the exports
and imports are time consuming and complicated. In this regard there are several
logistic companies providing their services on the behalf of the exporters and
importers to facilitate the trade between them. The logistics companies take over
the responsibility of sending the goods from the exporters premises to the importer
premises, which includes the aspect of total door to door delivery.

CHAPTER - II
WORK DONE DIARY

This is a report of my practical experience, during the institutional training


in Transworld Shipping and Logistics Ltd, Cochin. I learned about the overall
functioning of the company. The detailed note about the training is as follows.

First week
During the first week of my training, I learned about the day to day activities
of logistics and accounts department.
The logistics department is responsible for the preparation of various reports
to carry out the operations. In the department I learned about the preparation of
reports such as preparation of daily report of empty units, report for follow up of
container movement from ports, monthly cost and recovery report etc. They also
guided me in preparing various reports from the system and its updation in the
system using Oceanus software.
The accounts department main work is to deal with local payments and
receipts, preparing invoices for the services rendered. The training in the
department helps me to learn about, how to prepare the invoices for the different
services. They also trained me how important is the monitoring of each bills in the
company.

Second week

On the second week of my training I have been to the documentation


department. The department is having two wings: Export documentation and
Import documentation.
In the export documentation section I learned, how the department solves
queries/complaints related to export documentation. They also trained me in
releasing error free bill of lading. It also guided me, how to co-ordinate with
different department to carry out operations effectively. In the import
documentation section I learned about the mechanism for filing error free IGM
[import general manifest] and how to deal with queries/complaints of
consignees/ICDs/load ports, etc. It helped me to know about in releasing D/O
[delivery order] at correct time to avoid delay in movement of containers.

Third week
In the last week of my training I have been to the operations, marketing and
sales departments.
The operations department enabled me in getting practical exposure to the
industry standards. It teaches me, how the department communicates with various
governmental organizations like port, customs and internal departments for followups of consignment and its smooth flow. The department thought me, how to
monitor movement of container for both exports as well as imports.
The last department I have been during the institutional training was
marketing and sales department, where I got an experience about the companys

marketing techniques, how they deal with its customers for reasonable profits.
They maintain a separate customer data records. I learned from this department
how to handle queries and problems of the customers, which they come across
daily, thus achieving the logistical competency over their competitors.
During the entire period of my institutional training, I got an exposure to the
working environment of the logistics industry. It was very informative and
knowledgeable in a very co-operative learning environment. I learnt how our
theoretical aspects are different from practical field in the industry.

LOGISTICS DEPARTMENT
Logistics department at Transworld, offer variety of services ranging from
air freight, ocean freight, freight forwarding, linear agency, warehousing and
distribution, supply chain management etc.. Transworld, being the lead logistics
provider means instigating and managing change across the entire supply chain, to

Activities and responsibilities


Preparation of daily status report and daily report of empty units.
Get the report from the yard and generate the report from the system after
the data entry. Forward the report to the marketing department.
Preparation of report for follow-up of container movements from ports.
The same report is forwarded to operations and transporters. If the same is
not moved in the free time asks the reason for the delay and same update
with principal.
Constantly updating the container movement.
Reports are received from all yard and surveyor [master marine services]
and updated in the system. After completion of updation same is cross
checked.

Follow-up with marketing department for booking details and readiness


of cargo, for requirement of empty container.
Checking yard billing and movement billing to pay rent to yard on
behalf of principal.
Daily generation of report in order to be sent to principal.
Regular checking of bills of all contractors.
Bill checking of all containers as per the inventory updated into the system.
Checking for the rates agreed upon with the transporters and contractors.
Forwarding the bill checked to accounts for necessary payments.
Prepare loading list as per booking and sending to vessel agents.
Monthly cost and recovery report to principal.
A container repair bill is received from the repairers for the container repair
for the month. Updating damage estimates in system for principal approval.
Repaired containers are crosschecked along with the surveyor to note that
work given is done properly. Making monthly cost and recovery statement
and sending same to principal.
Updating day to day container activity in system.

DOCUMENTATION DEPARTMENT
Documentation department plays a crucial role in creating and
maintain of document at the correct time as per the requirement. It facilitates the
document for operational purpose as well as for regulatory purpose. The
documentation department has two wings

Entering B/L details in computer system.

Receiving BL format from shipper\CHA and checking BL details. Finding


the vessel and port it is destined to. Checking the container load plan
[CLP].Entering BL details into computer system, vessel wise. Following- up
with shipper\CHA, if BL details are missing. If CLP and BL details do not
match, referring to shipping bill and verifying details. Checking entry of
clauses is done correctly. BL verified copies send to CHA\shipper for
confirmation. Raising the invoice. After container onboard the vessel, BL
will be released to shipper.
Receiving CLP\shipping bill from operations\CHA\surveyors on daily
basis.
Checking and sending export cargo manifest.
Preparing load list.
Receiving onboard list from operations. Generating the export load list file
and cross checking with onboard list.
Preparing and sending freight manifest.
Checking details of freight manifest in computer system are entered
correctly. Sending freight manifest to accounts department of principal.
Following-up and updating freight rates as per the instructions from
principal.
Preparing and sending hazardous goods manifest.
Receiving hazardous goods declaration form from operations. Entering
hazardous goods details in respective BL. Sending hazardous goods manifest

to principal.
In LCL consolidation send the stuffing report to CHA\shipper.
Monitoring export documentation activities for releasing error free BL.
To solve queries\complaints related to export documentation.
To verify and send performance report to principals.

IMPORT DOCUMENTATION

Activities and responsibilities


Preparing IGM [import general manifest].
Receiving TDR [terminal departure report] from load port. Transferring
\downloading vessel data to local EDI system. Checking and correcting data
as per customs format. Updating line no, Updating CFS code as per
consignee request. Printing IGM hard copy for record and downloading EDI
IGM for sending to vessel agents. Preparing IAL [import advance list] and
sending to vessel agents to submit to port terminal.
Sending CAN [consignee arrival notice].
Sending arrival notice to consignee with all the details of consignment.
Generating DO [delivery order] to port to release cargo.
Receiving documents from consignee, i.e. OBL[original BL] duly endorsed.
Checking endorsement and check for payments of respective charges.
Handling day to day correspondence.
CFS destuffing, letter, port letter, surveyors letter through computer system.
Collecting all charges, issue receipt and release DO to consignee.
Preparing amendment letter.
Making amendment, in case of discrepancy between IGM and OBL.
Checking these discrepancies and issue amendment letter. If error is on part
of load port agent, taking confirmation from them. Issuing amendment letter
to consignee.
To monitor import documentation activities for filing error free IGM.
To monitor import ICD related activities to avoid delay in movement of

containers.
To monitor day to day activities of import documentation.
To ensure timely issue of DO to clients.

MARKETING AND SALESDEPARMENT


Marketing and sales department is the backbone of the company, to keep
abreast of industry trends within the industry at any time access to important
market information keeping in view of companys goal, the department is
responsible for formulate the policys, which helps the company to achieve the
sales ahead.

Activities and responsibilities


Making customer data record-updating the customers about their
cargo, the cargo voyage, date of stuffing departure etc..
Exploring new customers and fix appointments with potential
customers.
Preparation of reports, budget etc.
To report to principal on latest market developments. To make annual budget
for marketing and customer service department.
Handling queries and problems.
To solve internal and customer related problems on daily basis.
Sourcing and booking of cargo.
Identify customer need to give appropriate solution regarding[rates, transit
time, service details].Sourcing new customers. After sales services, follow
-up. Reverse marketing for imports and export.
Preparing booking slip.
Receive confirmation on booking from shipper. Fill details as per booking
slip.
Finding out competitors market information and try to achieve
logistical competency over them.

Maintain the companys existing customers, for a reasonable profit and


make market expansion plans.
Analysis to estimates support from shippers\brokers for judging growth
of clients.
Updating customers on services available from other ports. Informing
customers on services by other agents to destinations, which he requires
services. Giving additional services like, giving advance transshipment
details, giving pre-alert information on vessels and alternative vessels.
To strategize and implement marketing plan.
To plan and achieve the target set for the unit. To target shippers\CHA for
achieving teus. To identify new ways for better customer service.

OPERATIONS DEPARTMENT
Operations department play a vital role in looks after the overall operational
process of the particular branch. Updating the marketing team about the rates, date
of arrival of vessel, name of vessel, departure of vessel, stuffing date and other
details.it plays a crucial role in shipment of goods to confirm the safety, efficiency
and punctuality to reach the destination of consignee.

Activities and responsibilities

To monitor movement of ICD containers [EXPORT].


To receive dispatch report from ICDs. To receive details of container for
particular vessel. Submit details to port [SEZ4]. Receive inland waybill and
transference copies from ICDs. File ICD EGM with customs export
department. Check container status with CONCOR for containers, and
project vessel loading accordingly. Update the container re-export data with
customs, containers imported from foreign port should be re-export within 6

months. Then only cancellation will be done by container cell officer in


customs.
To monitor movement ICD containers [IMPORT].
Filing details of ICD import containers with customs and obtain
transshipment permit. Courier transshipment permit to various ICDs. File
indent with port for moving containers from port to rail. In case of rail
transportation, submit forwarding note to concor. Organize payment for
haulage charges. Obtain inland or and courier to ICDs. Send report to ICDs
intimating status of containers.
To communicate various departments like customs, port and internal
department
For follow-up of consignment in the process of each one transfer aspect of
the need to ensure smooth flow of goods.
To liase with shippers\consignee.
Obtaining container landing permission from customs for import
containers.
To monitor the loading and unloading of containers from vessel.
To maintain relations and manage issues with docks, customs, port
authorities.
Verifying and checking all bills from port and give to accounts for
payments.
To ensure all movements [in\out] of containers locally and of ICDs so
that no containers is shut out.
To do necessary amendments at customs in IGM, if any.
To handle long standing containers, more than 60 days by de stuffing
and storing cargo in warehouse.
To review and ensure the re-export of containers from India, within 6
months.
File EGM with customs.
Liasioning with port, surveyors, transporters, customs..to ensure
smooth functioning.

ACCOUNTS DEPARTMENT
Accounting department play a crucial role, it handles a variety of important
tasks. It ranges from budgeting, periodic financial reporting as well as financial
analysis. The accounting department is responsible for internal controls for all
business processes to prevent theft\misappropriation of assets, handling external
audits and dealing with banks in order to obtain financing.
The important task includes invoicing customers, accounts receivable
monitoring and collections, account reconciliation, payables processing. The
department is also responsible for collecting the credit payments from the clients,
to which the credit is allowed.

Activities and responsibilities

Preparing and sending monthly freight manifest.


To monitor outstanding, collections, bounced cheques.
To monitor creditors list.
To deal with local payments and local receipts.
The local payments includes port charges, terminal handling charges, repair
charges, plug-in charges for reefer containers, storage charges at yard,
cleaning charges of containers etc. The local receipts includes the cost and
handling charges, and fund get from invoicing the clients for the services

offered
Internal auditing to prevent misappropriation of assets.
Overseas payments and receipts are adjusted through had office
accounts department, which is in Mumbai.
To credit check new customers and open new credit accounts ensuring
the company has all the relevant information on the debtor.

Report to management on outstanding issues and inform them early of


potential debtors problems.

DOCUMENTATION
Documentation is one of the vital aspects in international trade.
Documentation plays an important role right from the receipt of the export order
till the shipment is made and for the negotiation with the banks. These documents
are required by the exporter or importer for his own records to fulfill the customs
formalities, shipment, insurance, banks tax authorities, exchange control,
government authorities to record balance of trade and balance of payments,
transportation, port authorities, carriage etc..
Documents are important for the following reasons:

As an evidence of shipment and title of goods.


For obtaining payments.
To provide a specific and complete description of the goods.
For assessment of correct duty for clearance purpose.
For obtaining export licenses
For obtaining export finance
For completing preshipment inspection
