Old Alabama Town Civil War Trip
April 22, 2016
Activities have been preplanned and an itinerary will be given to all students and
parents in advance. Each chaperone will be assigned 4 students to be responsible
for on this trip. It must be understood by all participants that chaperoning is
necessary for the protection of our students.
All students will be expected to behave in a mature and polite manner that will
reflect positively on our classes and Trace Crossings Elementary School. All
students will follow a behavior code in conjunction with the rules and regulations
offered by the Hoover City Board of Education.

Pre-Field Trip Preparation


The students will complete a Civil War unit before going on this field trip. In this
unit, they will learn how differing perspectives can lead to conflict. Students will
explore this concept through events leading up to the Civil War. The teacher will
complete a web tour of Old Alabama Town as a class. She will not reveal everything
about the field trip, but will at least give the students an idea of where they are
going. They will review the bus rules, behavior rules and regulations, dress code,
and more with the teacher. All students must sign and return the various forms in
this packet indicating that they have read and plan to follow all of the rules.

Communication
It is vital to have communication between teachers, bus drivers, parents, and the
school. The teachers will compose an excel document containing all important
contact information. This will be kept with them at all times in their field trip
binders. Numbers on this sheet will include teachers, bus drivers, parents, the
school telephone number, and the number of Old Alabama Town.

Dear Parents or Guardians,


Your child has been given the opportunity to participate in a field trip to Old
Alabama Town in Montgomery, AL, on Friday, April 22, 2016. Students will complete
a tour on this trip where they will view buildings and structures of live before the
Civil War. We have just completed our unit concerning events leading up to the Civil
War, so this will be a great end celebration for them.
Below you will find an outline of information pertaining to the trip:
Cost: $15 for students $10 for adults
Travel Times: 8:30 A.M. Depart from TCES
Old Town Alabama
12:40 P.M. Depart from Old Town Alabama

9:50 A.M. Arrive at


2:00 A.M. Arrive at TCES

Lunches: Sack lunches will be provided. If a student does not want this option, they
can bring a lunch.
Snacks: Students will have fruit snacks and a juice box. Please do not pack a snack
for your student.
What to bring: Students should only bring their lunches if they packed their own.
They will not be allowed to have any electronics on the trip.
Due Dates: Forms and money are due by Friday, April 8, 2016.
Chaperones: Each class needs 4 chaperones. This is a first come opportunity.
Teachers will email parents once all of the chaperone spots are filled.
Spending money: There is a gift shop. Children can bring spending money if you
desire, but they are responsible for keeping up with this money. If they lose the
money, it will not be replaced.
Attire: All dress code policies for Trace Crossings Elementary must be followed.
Wear comfortable walking shoes and your blue T-shirt.

Safety Plan
Medication: Parents will need to fill out the medication form attached. Miss Hughes
and Miss Walker will keep all prescription medications to distribute to the students
as instructed. They are med certified, so this adheres to school policy. Medical
Forms (with medicine) are due to the nurse by Friday, April 8, 2016.
Medicine Plan: Teachers will administer meds at 10:30 for some students and 1:00
for some. These are the two times that they go to the nurse throughout the school
day, so the times will remain the same. Students will be with the teachers at lunch
for 10:30 time and snack for 1:00 time. The teachers will check off on the student
record sheet after administering meds.
Emergency Contact: If you need to contact Miss Hughes, Miss Walker, or your child
while we are on the field trip, there will be a few numbers you may call. Please only
call the cell phone if it is an absolute emergency. Miss Hughes 205-743-8727 Miss

First Aid: Each teacher will have a first aid kit in their field trip bag. This will include
band aids, wipes, gauze, Neosporin, gloves, tweezers.
Emergency: In the event of an emergency, Miss Hughess group will go with Miss
Walkers group. Miss Hughes will contact the appropriate numbers through the
contact list and Miss Walker will handle everything with the remaining students.
(Vice Versa is Miss Walker is contacted as the emergency contact).
Meeting Location: If a student or parents gets lost, they will report to the Old
Alabama Town welcome desk. With assistance from staff, they will contact Miss
Hughes or Miss Walker. They will wait there until one of the teachers can come get
them.

Dear Chaperones,
Thank you for volunteering for our upcoming field trip to Old Alabama Town. The
children are looking forward to our fun learning experience outside of the classroom.
Your presence there will be a huge help in the success of this trip.
Your Responsibilities:
You will be in charge of a small group of 4 students. You will keep your
students will you at ALL times throughout the field trip.
Help students follow the rules and regulations throughout the day. Students
are expected to behave in a manner that represents our class and the school
well. If a student does not adhere to the rules, please let the teacher know as
soon as possible.
Help maintain order on the field trip site.
Help students with activities on the field trip.
At lunch, get enough sack lunches for your group and eat with them.
Children cannot leave the lunch area until everything is cleaned and the
teacher approves.
Please refer to your schedule during the day to make sure you are at
appropriate locations and meeting sites at the correct times.
Please dress in accordance to the school policy. You are encouraged to wear
a blue T-shirt.
You CANNOT:
Smoke or use any other tobacco related products during the field trip.
Bring other children/siblings on the trip.
Purchase gifts or treats for your group.
Take pictures of any student other than your own.

Management Plan
Attire: All clothing on the trip will be expected to be within the school dress code.
Comfortable walking shoes are encouraged. Students should wear their blue Trace
Crossings T-shirt. If they do not have one, then they should wear a blue T-shirt.
Chaperones are encouraged to wear a blue T-shirt as well.
Groups: The groups for this field trip are outlined on pages behind this Management
Plan. Miss Hughess class will have five groups, four chaperones, and herself. Miss
Walkers class will have five groups, four chaperones, and herself.
Chaperone to Student Ratio: 1:4 There will be four students in each group which
means 1 chaperone for every 4 students.

Plan.

Rules and Regulations


1. Students will be expected to behave in a mature, positive and polite manner
at all times. This includes any action toward a student, chaperon, adult, staff
members, or other visitors.
2. Chaperones and Adults associated with Old Alabama Town and Bus must be
treated with respect at all times.
3. At no time will inappropriate language be used. If this occurs, students will
be assigned to Miss Hughes or Miss Walkers group for the remainder of the
trip.
4. All clothing on the trip is expected to be within the school dress code. Wear
blue Trace Crossings T-shirt or blue T-shirt.
5. Students should not answer for anyone else while roll is being called. Roll will
be taken by Miss Hughes or Miss Walker.
6. At no time should a student go anywhere by themselves!!!
7. Everyone must meet at designated locations as instructed.
8. Each student and chaperone must adhere to the itinerary.
9. Do not possess or partake of any alcoholic beverage or illegal substances.

Bus Rules
1. Observe the same conduct as in the classroom.
2. Be courteous and do not use any profane language.
3. If you make a mess, then you clean it up.
4. Keep the bus clean.
5. You are responsible for your own things. If you bring a backpack (which you
should not have), then you must keep up with it.
6. The teacher will check role before departing Trace Crossings Elementary
School and Old Alabama Town. You must be quiet during this time.
7. Do NOT get up when the bus is moving! Stay in your seat until told otherwise.
8. Keep head, hands, and feet inside the bus.
9. Tell the bus driver thank you at the end of the day. They would probably
love a smile too!

Lunch and Snack Plan

Lunch
Time: 10:00
This may seem early, but the fifth graders eat lunch at 10:15 at school.
Location: Kiwanis Park
This is a park located across the street from Old Alabama Town. It is adjacent
to the parking area where the busses will drop us off.
Style: Picnic
Students will have sack lunches from the school lunchroom. These will be
carried using coolers that the teachers can leave on the bus after lunch.
Students have the option to bring their own lunches as well.
Distribution: Group Style
The teachers and chaperones will get the lunches for their groups from the
coolers. They will then disperse them to the students in their groups.
Clean-up: Garbage Bags
Students will throw their trash in the provided garbage bags when they are
finished with lunch. They will not be able to leave and explore Old Alabama
Town until their area is clean.

Snack
Time: 1:00
Location: Busses
The students will eat their snack on the busses on the way back to Trace
Crossings Elementary.
Style: Fruit Snacks and Juice Boxes
This will ensure the least amount of mess possible on the busses. Students
will know ahead of time that they will be cleaning the buses before they get
off. In the event that a spill occurs, there will be extra paper towels to clean
it up. The snacks will be kept in the cooler during the day until it is time for
them.
Distribution: Teacher Style
The teacher will pass out the snack to each student on the bus.
Clean-up: Garbage Bags

The teacher will go through the isle with a garbage bag to collect student
trash once they are finished with their snack.

Tour G: Ordeman Outbuildings


This tour is intended to teach students about life before the Civil War.

Students load bus at Loeb Reception Center.


They should get on the bus with their class. Snack will be distributed on the
bus.

Bus arrives at Trace Crossings

Students will return to their classrooms upon arrival.

Dear Lunchroom Staff,


Thank you for providing sack lunches and snacks for our fifth grade students last
week when we went to Old Alabama Town. We ate the lunches using a picnic style
in the park and it could not have been a better day. All of the students loved the
food. The yogurt covered pretzels were especially a big hit! You all are amazing
women and our students are blessed by you. We love you all! Thank you again!
