LHJH PTA BOARD Job Descriptions

EXECUTIVE BOARD OFFICERS


A. President shall:
1. assist Principal to calendar executive and general meetings for the year;
2. serve as second signature for all check disbursements. For reimbursements made
to the President, the 1st VP shall serve as second signature along with treasurer.
3. approve PTA newsletter;
4. lead the pledges at each regular and board meeting;
5. attend Parent Connect Training;
6. serve as an administrator of Parent Connect;
7. serve on Parent Connect Committee;
8. communicate to the executive board through email, website, newsletter, phone
and/or mail;
9. appoint members:
a. Bylaws Committee;
b. Dance Committee;
c. Disbursement Committee;
d. Hoops Committee;
10. work with superintendent and other administrators as needed;
11. delegate duties as needed; and
12. serve as Hoops in the Highlands Event Liaison Representative.
a. attend all Hoops Event Chair meetings
b. serve 2 hour shift for ticket sales on day of Hoops Event.
B. First Vice President (Aide) shall:
1. distribute all PTA mail to proper officers and chairs;
2. be authorized to sign on bank account(s), as one of the three authorized signers;
3. assume responsibilities for all courtesies due to the PTA president;
4. plan and organize Parent Connect;
a. attend Parent Connect training;
b. serve as an administrator for Parent Connect;
c. act as Chair of Parent Connect Committee; and
5. act as Chair of Awards Committee.
C. Second Vice President (Programs and Events) shall:
1. arrange for regular and executive PTA meetings;
2. be responsible for installation meeting for incoming officers;
3. attend Parent Connect training;
4. serve on Parent Connect Committee;
5. oversee/assist faculty with the following programs and events for parents, and
students:
a. Celebration Day
b. Family Dinner/Pep Rally
c. Lights On Lake Highlands
d. Schedule Pick Up
e. TILT (Teens in Leadership Training)
D. Third Vice President (Membership) shall:
1. promote membership in the PTA;
2. enroll new members;
3. attend Parent Connect training;

4. serve on Parent Connect Committee;


5. oversee membership module of Parent Connect;
6. distribute annual membership cards;
7. calculate percentages for attendance awards;
8. maintain a current membership list;
9. recommend members for Life Membership Award;
10. serve on the Registration Committee for Hoops in the Highlands; and
11. attend all HOOPS Event Chair meetings.
E. Fourth Vice President (Ways and Means/Fundraising) shall:
1. plan and recommend to the Executive Board and to the membership for their
approval projects to
raise the money necessary to fund the budget of the association;
2. keep all information regarding member donations confidential;
3. attend Parent Connect Training;
4. serve on Parent Connect Committee;
5. be in charge of Fundraising module for Parent Connect;
6. serve on the Sponsorship Committee for Hoops in the Highlands; coordinating
sponsors for the event; and
7. attend all Hoops Event Chair meetings.
F. Secretary shall:
1. in May, write the necessary letter of name change to the banks carrying accounts
of the PTA. This letter shall be given to the treasurer for delivery along with a copy
of the minutes from the election meeting; and
2. provide sign-in sheets at the executive board meetings and regular meetings.
3. record and maintain the minutes of all meetings of the members and the
executive board
4. be responsible for correspondence
5. collect and preserve documents relating to the history of the association
6. present a written report to the association as the official history to be adopted at
the annual meeting
7. maintain the required documents of the association to include: Texas PTA Leader
Orientation completion lists, records retention poicy; adopted and signed
ethics/conflict of interest policy, membership rosters, adopted plans of work, and
completed student permission forms
G. Treasurer shall:
1. be one of two required signatures on all check disbursements for the association.
For
reimbursements made to the treasurer, the President and 1 st VP shall serve as the
two required
signatures;
2. assume responsibility for changing the names on all PTA bank accounts at the
close of the
treasurers term;
3. prepare interim budget to be voted on at last board meeting for incoming
treasurer;
4. recommend two (2) tax free days with approval of executive board;
5. ensure LHJH PTA is covered by appropriate insurance;
6. attend Parent Connect training;
7. serve on Parent Connect Committee;
8. oversee Accounting Module of Parent Connect;

9. proof the IRS Form 990 prepared by the outgoing treasurer for accuracy, and if
found correct,
present the form for adoption by the executive board at the first executive meeting;
10. prepare and submit the IRS Form 990 on its due date of November 15 for the
previous fiscal year;
11. prepare a draft of the IRS Form 990 for the tax year ending June 30, prior to
releasing financial records to the new treasurer; and
12. serve as the Treasurer/Financial Chair for Hoops in the Highlands;
i. prepare budget for Hoops in the Highlands;
ii. attend all Hoops Event Chair Meetings; and
iii. serve 2 hour shift for ticket sales on day of Hoops Event.
13. serve as the chair of the budget and finance committee
14. present a written and verbal financial report at executive board and association
meetings
15. maintain books of account and records including bank statements, receipts,
budgets, invoices, etc
H. Parliamentarian shall:
1. serve as Chair of Bylaws committee;
2. prepare nominating committee notebook for nominating committee chair; and
3. review with nominating committee his/her responsibilities, deadlines,
parliamentary and reporting procedures.
4. advise the presiding officer on questions of parliamentary procedure when asked
5. vote only when vote is by ballot.
STANDING COMMITTEE CHAIRMEN
1. ARTS IN EDUCATION shall:
A. seek, publicize and provide opportunities to encourage students to develop
interest and participation in the arts;
B. coordinate participation in the annual National PTA Reflections;
C. promote the National PTA Reflections program by informing students and faculty;
D. collect entries, arrange for judging and deliver winning entries to the next level of
judging; and
E. assist directory chair with art entries for directory cover.
2. CITIZENSHIP AND LEGISLATION shall:
A. promote and encourage good citizenship among the student body by posting
updates through
information outlets such as newsletter and email moms;
B. attend RISD Council of PTA meetings;
C. stay up to date using Texas PTA website;
D. promote legislation to protect children; and
E. encourage members to be informed voting citizens.
3. CLOTHES CLOSET shall:
A. attend clothes closet training;
B. encourage and coordinate the collection of clothing and other necessary items
needed at the RISD Clothes Closet; and
C. coordinate volunteers to assist in operating the RISD Clothes Closet; and
D. serve as volunteer when none are available.
4. DIRECTORY shall:
A. attend Parent Connect training;
B. serve on Parent Connect Committee;

C. oversee Directory module of Parent Connect;


D. compile, edit, print and distribute the school directory as soon as possible after
the start of school;
E. follow all guidelines regarding publication;
F. mail copies to the Richardson ISD Council of PTAs;
G. coordinate with arts and education chair for artwork for directory cover; and
H. coordinate with the membership chair in the distribution of membership cards
with the directory.
5. GROUNDS/ENVIRONMENTAL CHAIR shall:
A. plan and recommend improvements to school grounds;
B. plan and coordinate recycling efforts;
C. keep members informed of environmental issues;
D. coordinate improvements with school administration to address issues relevant
to the beautification and improvement of the facility and its grounds; and
E. coordinate special activities as requested by the Executive Board.
6. HEALTH AND SAFETY shall:
A. promote the education of parents, teachers and students in matters of health,
including alcohol and drug awareness, through programs, projects and
communications;
B. oversee volunteer programs in the school clinic as requested by the staff; and
C. assist counselors with Red Ribbon Week.
7. HOSPITALITY shall:
A. plan and supervise the associations social affairs, including refreshments at
executive board and general membership meetings and schedule pick up;
B. be responsible for one RISD Council of PTAs meeting;
C. plan and coordinate PTA board holiday party;
D. plan and coordinate Secret Pal program; and
E. assist staff/teacher appreciation chair.
8. NEWSLETTER shall:
A. serve as editor of the PTA newsletter;
B. compile and edit material for the newsletter;
C. print and/or electronically distribute copies of the newsletter to parents, students,
and staff;
D. attend Parent Connect training;
E. serve on Parent Connect Committee; and
F. oversee newsletter module of Parent Connect.
9. PUBLICITY/COMMUNITY RELATIONS shall:
A. be in charge of general publicity for the association;
B. submit articles/pictures to area publications;
C. serve as community liaison among Lake Highlands area schools and other
community groups; and
D. serve on the Publicity Committee for Hoops in the Highlands;
i. attend all HOOPS Event Chair meetings; and
ii. help prepare display for the events registered teams.
10. SPECIAL AND GIFTED EDUCATION (SAGE) shall:
A. assist parents and students in becoming more aware of current information,
programs and research
relating to special and gifted students;
B. encourage and support the RISD and local unit PTAs in the planning of special
and gifted

educational programs; and


C. coordinate special activities as requested by the Executive Board.
11. STAFF/TEACHER APPRECIATION shall:
A. host luncheons/provide snacks and seasonal appreciation for staff throughout the
school year;
i. Schedule Pick Up
ii. Back To School Lunch
iii. Meet the Teacher
iv. Open House
v. Winter Holiday
vi. Valentines Day
vii. STAAR testing
viii. Teacher Appreciation Week
ix. quarterly or semester staff birthday celebrations;
B. plan and implement Principal Appreciation Day;
C. inform students and parents of ways to appreciate LHJH staff and faculty; and
D. assist hospitality chair.
12. TECHNOLOGY shall:
A. maintain and regularly update the PTA website to be a useful communication
tool;
B. assist with electronic newsletter as needed;
C. assist with electronic communication of the PTA;
D. assist with Parent Connect as needed; and
E. create, maintain, and regularly update social media outlets related to LHJH PTA.
13. VOLUNTEER SERVICES shall:
A. attend Parent Connect training;
B. serve on Parent Connect Committee;
C. oversee volunteer module of Parent Connect;
D. serve on Awards Committee;
E. recruit volunteers for positions requested by the teachers and approved by the
principal and/or school-wide PTA projects;
E. encourage members to report volunteer hours;
F. act as a liaison between volunteers and the Executive Board;
G. recognize volunteer efforts by selecting Golden Apple Award recipients;
H. prepare and submit reports to the RISD Department of Volunteer Services; and
I. serve on the volunteer committee for Hoops in the Highlands, soliciting volunteers
for the event.
14. WILDCAT WAREHOUSE/SPIRIT WEAR shall:
A. attend Parent Connect training;
B. serve on Parent Connect Committee;
C. oversee Store module of Parent Connect;
D. determine and organize spirit wear to be sold for the year; and
E. sell and distribute spirit items as requested by the Executive Board.
SPECIAL REPRESENTATIVES TO THE EXECUTIVE BOARD (NON-VOTING)
All special representatives shall serve as non-voting, ex-officio members, and shall
attend meetings as requested, to facilitate communications to the association.
1. ATHLETIC REPRESENTATIVE shall:
a. assist the athletic department;
b. serve as liaison to the Wildcat Athletic Booster Club; and

c. assist with the year-end athletic banquet.


2. BAND REPRESENTATIVE shall:
a. assist the band department; and
b. serve as liaison to the Band Booster Club.
3. CHOIR REPRESENTATIVE shall:
a. assist the choir department; and
b. serve as liaison to the Choir Booster Club.
4. COMMUNICATIONS REPRESENTATIVE:
a. develop and maintain the PTA email communication list;
b. collect information from all areas of LHJH and the community that is of value to LHJH
parents;
c. send regularly scheduled emails to the email communication list.

5. DANCE REPRESENTATIVE shall:


a. serve as Chair of the Dance Committee;
b. plan and organize school dances sponsored by the association;
c. publicize and coordinate the sale of dance tickets; and
d. secure volunteers and security for dances.
6. HOOPS CONCESSIONS REPRESENTATIVE shall:
a. plan and coordinate concessions for HOOPS event; and
b. recruit volunteers to purchase, serve, and set up/clean up concessions.
7. HOOPS ENTERTAINMENT REPRESENTATIVE shall:
a. plan and coordinate entertainment for HOOPS event; and
b. recruit volunteers to set up/clean up HOOPS entertainment area.
8. ORCHESTRA REPRESENTATIVE shall:
a. assist the orchestra department; and
b. serve as liaison to the Orchestra Booster Club.
9. TEACHER REPRESENTATIVES shall:
a. be appointed by the principal subject to approval of the executive board;
b. encourage faculty and staff to join the association;
c. attend the regular and executive board meetings; and
d. serve as liaisons between administration and the executive board.
10. YEARBOOK REPRESENTATIVE shall:
a. assist staff with compiling, editing material and publishing the yearbook;
b. assist with yearbook signing party: and
c. follow all guidelines regarding publication

HONORARY GUESTS (NON-VOTING)


All honorary guests shall serve as non-voting, ex-officio members, and shall attend
meetings as requested, to
facilitate communications to the association.
1. PARENT ADVISORY COMMITTEE (PAC) DELEGATE AND ALTERNATE:
a. must have had a child enrolled in the RISD for at least one year prior to the year of
service, and a child
enrolled in the RISD school which the person is representing during the year of service;
b. must be willing to present all points of view from the area that he/she represents;
c. will only accept concerns from identified persons;
d. shall be elected by the end of May to serve the following school year.
e. solicit questions from members and submit these questions to the RISD PAC by

the deadlines as
published by the committee for all PAC meetings; and
f. report at the following general and executive meeting information learned.

2. RISD COUNCIL DELEGATES AND ALTERNATES:


The LHJH PTA shall be represented in meetings of the Richardson ISD Council of
PTAs by two (2) delegates and two (2) alternates.
a. The two (2) RISD Council Delegates shall:
i. attend all regular meetings of the RISD Council of PTAs meetings;
ii. attend executive board meetings and general meetings and bring
reports to the executive board and to the association of pertinent
information; and
iii. coordinate, work and plan the RISD Book Fair.
b. The two (2) RISD Council Delegate Alternates shall:
i. assist the RISD Council Delegates as needed to fulfill their duties;
and
ii. attend RISD Council general meetings in the absence of the
delegates.
