Job Description for Senior Executive Administrative Assistant

Summary
A senior executive assistant provides a wide range of support services for a
high-level corporate manager. The responsibilities of this role extend beyond
that of an executive assistant or secretary and often encompass
organizational and administrative functions. Senior executive assistants are
often found in large corporations, and their salaries can be elevated if they
have specialized industry experience.
Schedule Management
A senior executive assistant coordinates the schedule of her boss, prioritizing
functions and appointments, ensuring that meetings, deadlines
presentations and other duties of the executive office are carried out
seamlessly. She often makes travel arrangements for her boss, coordinating
flights, accommodations and other itinerary specifics.
Records and Reports
Various office reports are typically generated by the senior executive
assistant, who is simultaneously charged with creating spreadsheets and
charts, maintaining databases and writing departmental status reports.
Depending on the size of the organization, she may also be involved with
generating financial reports and handling human resources or accounting
functions.
Board Liaison
In an organization with a corporate board of directors, executive board or
advisory council, a senior executive assistant often serves as the liaison
between the executive office and board members. She facilitates
communication, plans events, distributes information, drafts agendas and
schedules meetings and records the minutes. Internally, she is often the goto person for ordering supplies, reserving conference room space and getting
purchase orders approved.
Staff Supervision
A senior executive assistant typically supervises junior level staff, including
executive assistants and secretaries. She often coordinates the efforts of
these parties in effectively running the executive office, training staffers on
internal processes and systems and ensuring all necessary functions are
appropriately covered.
Speeches and Presentations

Senior executive assistants well-versed in writing often draft correspondence,


speeches, and presentations and even press materials and announcements
from the executive office. She may also have a hand in developing staff and
board presentations, annual reports and policy manuals. In some instances,
the assistant will be the executive office liaison with outside business
organizations and industry associations.
Gatekeeping
Gatekeeping is a significant responsibility of a senior executive assistant, as
she positions herself between the public, clients and customers, staff
members and her boss. In this capacity, the executive assistant fields phone
calls, takes requests for meetings and coordinates various aspects of
interdepartmental communication as necessary. Senior executives
secretaries must be organized, have exceptional attention to detail and
possess effective communication skills. Computer literacy is vital to the role,
as is the ability to train and direct others.
