Justification
Source
The cozy reading will have multiple functions with the new arrangements. It will be the premier spot which will include workspaces
Amazon and Walmart
for researchers, chairs for readers, cases for rotating exhibits. Whereas digitizing materials will make this historical home to bring in
some new tourism, this will add more to the attraction. It will also function as a place for community use. These activities could
include book clubs, special events for members, and small parties in support of the society.

2.1

These items will increase tourism. We will propose that the town help to pay for these supplies.

3.1

With all of these regular, occuring expenses we took the expenses from an example county historical society budget and multiplied
it by 1.1 to take account for inflation.

4.1

Computers are obviously necessary for a digitization project. The desktops computers are for the 3 full time employees and the
reference desk within the Cozy Reading Room. The 4 laptops are for the use of the graduate and undergraduate students as
needed to complete their respective projects.
Renting a book scanner for the digitization of the Redding Collection is a more cost-effective method of handlng the digitization
project than purchasing one outright. We are assuming that the local university has one that we can rent as needed.

This flatbed scanner will be purchased and used to facilitate the ongoing digitization of the numerous photographs and other
unbound resources wtihin the archive.
This server space is dedicated to hosting the newly digitized collection and because the access needs are currently unknown, it is
easier to simply pay for dedicated server space isntead of attempting to pay for an unknown amount of access to a cloud storage
system.
Email services and a web presence is necessary for the modernization of the historical society. These costs are assumed to be
covered by the county's budget as they will simply be added to the services the county already employs within their departments.
The cost of web design is included in the cost of the new employee.

General Processing Materials - Gloves - These gloves come from two sizes - medium and large. We would get one package of
each. Since these are a bit stronger of material, we can reuse them by washing them. A few pairs would be put in the processing
area for the archivists, the rest would be out for the public - only to use when handling photographs.

These software applications are necessary to complete normal office functions and the digization projects that the historical society Microsoft, Archives Space,
is undertaking.

Processing the Letters: LGA-N All of the correspondence from XXX will fit in one legal-sized box. We are assuming that the letters Hollinger
are bigger than a traditional letter size and will fit better in a legal-sized box. Hollinger is the cheapest/has a reputation for great
quality. They only let you buy a minimum of 3 boxes. However, these boxes can be used for other, future, processing projects. The
same goes for the folders. We won't need 100 folders for this collection, it will provide extra for future processing needs.

5.3

Processing the Tin Types - We need a box to house the tin types, separate from the later gelatin photographs - while modern
gelatin photographs can be housed in albums, tin types cannot. We also need tissue paper to place between the tin types. We are
ordering the 10"x15" size because this can be used for future projects including interleving between legal-sized documents

Processing the Gelatin Photos - These are perhaps the easiest to process. There are clamshell album boxes for modern
photographs - one album will hold all of the gelatin photographs we received.
Processing the Books - Since the books are in fairly good condition, we are going to tie them with tying tape. For those that need a
little more care, we will wrap them in Permalife bond paper before tying them. The document repair tape can be used for the letters,
but mainly it will be for the corners of book pages that have been inevitably dog-eared.
Shipping Costs - This includes the amount it costs to ship materials from Hollinger to Gloucester.
We used the Milwaukee County Historical Society's collections budget as a starting point. Since the Gloucester County is a much
smaller venture, we decreased the budget from $2500 to $1000 per year for processing collections.

7.02 Full time; The Collections and Projects Executive is responsible for the daily monitoring of all tasks and positions related to the
collections of the organization. This is a job which requires both technical knowledge as well as some managerial experience.
7.03 Full time; Individual will assist the Collections and Projects Executive in the continual development and management of the
collection. Specifically, this position will require a familiarity with technology as this individual will be an active part of the digitization
initiative. Furthermore, Collections Manager will be responsible for scheduling and monitoring the students working with the
Societys collections. This position would best be filled by one of the employees already working at the historical society as that
person would be deeply familiar with the organization and the collection.
7.04 Graduate student will be directly under the supervision of the Collection Manager. This student will help processing new collection
as well as reorganizing extant collections affected by the restructuring of the GHS. This is a hands-on, versatile position. Position
needed in order to effectively modernize and transition the GHS. This will also build strong relations with the University.
7.05 Student will be directly under the supervision of the Collection Manager and the Collections Management and Processing Graduate
Student. This student will help processing new collection as well as reorganizing extant collections affected by the restructuring of

Specifically, this position will require a familiarity with social media and other forms of advertisement as this individual will be an
active part of promoting the GHS. Furthermore, the Public Relations and Grant Manager will be responsible for scheduling and
monitoring the students working to promote and finance the GHS. This position would best be filled by one of the employees
already working at the historical society as that person would be deeply familiar with the organization and the collection which will be
promoted and perpetually funded.
7.09 Graduate student will be directly under the supervision of the Public Relations and Grant Manager. This student will research
available grants and other fundraising opportunities. This position will require the student to develop grant writing skills for funding
the collection. Position needed in order to effectively modernize and transition the GHS. This will also build strong relations with the
University.
7.10 Graduate student will be directly under the supervision of the Public Relations and Grant Manager. This student will research and
maintain social media outlets and other PR opportunities. Position needed in order to effectively modernize and transition the GHS.
This will also build strong relations with the University.
