Towson University using Dreamweaver.

Visitors

Researched existing checklists and protocols to host foreigners


from Universities, Companies, and the Government

Compiled a thorough list of tasks to complete before and during


the foreigners visit to UMB

Checklist for Hosting a Foreign Visitor

+ Check List for Greeting a Foreign Visitor

r Please inform the Communications and Public Affairs Department anytime you plan to host a foreign visitor.

r Send out an email announcing the visit of the foreign visitor, asking for participation from relevant units.

r Ask for a bio from the dignitary and begin to develop an official itinerary ensuring it is in the appropriate language
for the visitor and other participants.

r Please forward the finished itinerary to the Communications and Public Affairs Department and to the visitor for
their approval. Once approved by the visitor forward the itinerary to all internal/external participants.

r Send the visitor the Hotel deals and choices near the campus: http://www.fincsvc.umaryland.edu/travel/hotels.cfm

r If the visitor has security questions forward them to UMB Police Department http://www.umaryland.edu/police/

r Confirm the visitors date of travel and a driver to pick up the visitor at the airport with their name on a sign.

r If the visitors is planning a presentation, ask what equipment is needed. Reserve the necessary equipment and
ensure that someone will be present the day of the presentation for setup and make sure everything is functioning
properly.

r Reserve meeting rooms and parking lot spaces if needed.

r Make lunch or dinner reservations. Depending on the venue and the number of guests, it may be appropriate to
make a seating chart and/or place cards for lunch.

r Prepare a Welcome folder including: (Translate if needed)

List of things he/she need to travel pertaining to the visa and clothing (Insert information about the
upcoming weather in Baltimore here)

An itinerary of the meetings during her/his visit. Including where and when exactly staff will meet
this person (ideally the hotel lobby)

A list of activities in Baltimore and restaurants near to the campus.

Updated the existing list of External Opportunities with the 2015

Obtained links to 20 new opportunities for students to


participate in global volunteer programs, fellowships, grants
and study abroad

There are cubicles in the center, which facilitate
communication between employees
This creates a more relaxed atmosphere with a
lot of movement

People tend to stay in the offices during work
time and do not chat as much

time that portrays all the skills I have gained through my
educational and professional experience

projects from this internship
