Unit 5 P1
Understanding the requirements of working to a brief.
Structure of briefs
There are various methods of structuring briefs, and one of the numerous ways a brief could
be layout or presented is in a formal manor. Briefs presented in this way are well grounded
which therefore mean a respondent can rely on them. They are constructed powerfully and
effectively. The written brief carries particular data that you will need to know about the
necessity or demands and targets the client requires to accomplish. Furthermore, a formal
brief is more serious and will lead straight to the main point. So therefore the brief will not
hold any UN needed information, which is good as one is able to read and understand what
is required. In addition to that, formal briefs state the target audience. They make this
precious and clear on what type of audience they are aiming at. For instance when I was
presented a formal brief, which I carefully studied; it illustrated the facilities I required to
attain my goals and also provided me with details of the brief intentions and purposes.
Another example of when I pursued a formal brief was a brief based on a music video. The
information that was placed with the brief covered most affairs that I needed to think about
when appointing a music video. It had provided me with data on what kind of ideas I should
consider when engaging to the target audience as well as mentoring me through each step
when constructing a music video such as initial music concepts, planning, preparation and
managing a focus group to collect feedback on whether my initial concept would be ideally
possible to construct. The brief I was presented with gave me the necessities I requires to
accomplish my target, which was to produce an efficient music video. Studying and
understanding the brief, I was also provided with information the schedule (deadline) as
well as the facilities I was able to use.
Furthermore I had also found myself reading more formal briefs. For example I was given a
brief on how to create a stop motion video. I received information on what sort of things I
should consider when capturing the audience. One factor that I realised about this brief was
that firstly the client wanted me to accept it and tackle it as I was instructed. The client
listed a bunch of things he wanted me to consider which included researching on previous
stop motion videos, make sure that stop motion was appropriate for the target audience.
Also with in the brief I was set a deadline. It was important for me to give in the final
product on time.
My role in all my tasks when I was given the brief was to collect the information within each brief
such as target audience, objective, requirement, facilities and deadline and make sure that they
were fulfilled. To make sure that the project functioned, I had to focal point each goal to ensure that
I have a clear concept of what the client wanted me to accomplish. From the targets set, I was
acquired to centre a point so that my work ideas had an understandable orientation as well as being
in harmony with the client. In my observations, in order to work in under stress free conditions, I had
to assemble my project in accordance and this needed me to do planning, commit research,
development on ideas and also other additional elements that will help me to accomplish what the

clients wants. I had to recognise the skills had to have in order to start the project as well as the
abilities to apply to the project in order for it to be completed.
I was given a brief from my client, STOP.co.uk asking me to produce a moving image product to
communicate messages to young people (16-18 years) whom is the target audience. My role in
making each project work was to produce a media product, preferably a moving image and within
Preparation
Once you read and understand a clients brief, it is important to not consume any time and begin to
plan a response as soon as possible f. When I was given a brief by stop.co.uk, I was instructed to
prepare a campaign, targeted at young people persuading them to stop drinking.I had to approach
this type of brief with a serious professional attitude, as the whole purpose of it was to persuade and
argue. In the brief I was instructed to ensure that my way of reaching out to the target audience was
age appropriate. The target audience was 16-18 year olds. There I decide to create some proposals. I
came up with three type of proposal, which I presented to my client. I arranged a day where we
could meet so that I can present my concepts. Before deciding what type of proposal would best suit
the brief and would be most appropriate for the audience. It was very significant for me to commit
some research. I did both secondary and primary research when I was creating my proposals. I
wanted to collect information that was factual, statistical and reliable. The first proposal I thought of
was about how does binge drinking affect your health? The second proposal was about how binge
drinking can affect your future. And the third interview was about how teenage pregnancy is caused
by teenage drinking alcohol or binge drinking alcohol. When creating proposals communication is
very vital. In order for the clients needs and expectations to be met, I needed to make sure I liaised
with the client. This means that I had to discuss the proposals with, with the client. The client
decided that the first proposal was better. Having the ability to produce standard proposal requires
to be well prepared and ready for anything,
Health and safety
I also needed to make sure the working environment I was planning to work in was safe for both me
and my workers. Health and safety was questioned by the client when I presented the proposals.
And it applied prior to production. I considered health and safety issues when I was planning to film
in public places, any could have gone wrong for example I had to make sure that if I was to film in a
public place, I had to find a time the most convenient time during the day that I could film in when
not so many people around or avoiding car accidents, I had to make sure that I filmed in a less busy
place. I had to consider the general public mostly as I didnt want to get in there way. To make sure
that health and safety standards were fulfilled, I had to be organised and prepared.

There are several ways in which a brief could be given for example
- Formal a gathering could be arranged with the client and they state their
requirements.
- Tender other UN specified briefs are sent to several companies by post or email
and you are formally requested to respond with your concept.
Shamim Nalule
Unit 5 P1
- Negotiated you might assist the client to advance the brief by working together
with them and talking and having the same opinion about aims and objective.
- Contractual the brief is outlined in a profession contract, such as written work for
preparation.
However theclient brief is given to you, it is the responsibility of both of you as a person
and the entire production team to reply /respond to a clients necessity and supplies
them with suitable ideas. For the most part, a client brief will have a resemblance in
regards to requirements, which should include, except the fact that they not are not
restricted to:
- An overall outline or a plan
- Some background detail or facts about the client for instance, an organisations
history, and work carried out.
- Any data that may have been already undertaken by the client into their planned
idea process.
- What the client expects to accomplish with the project
- Target audience
- An existing or occurring basic outline of the planned budget
- The timescale in which you will have to accomplish the project
I was given a brief my unit 36 p1/unit37p1. Which was about interviewing and
presenting techniques and I was instructed to produce this work as a report in either as
a word document or PowerPoint, in this brief I was given a guide line to follow. The brief
was presented in bullet points and each bullet point was easy to read and easy to
understand. The key points in the brief were written in big bold letters so they easy to
spot because they stand out.
Another brief I was given was the unit 26 (film genre) now the structure of the particular
brief was presented differently. I was provided with brief facts about each movie genre
and I had to research further more in depth.
Reading a brief
To start with, one will be required to respect the nature of the client and their requests or
demands as strongly suggested in the brief. This signifies that, as you have done in the set
up activity in which things are being done, breaking down the information of the brief and
outlining for yourself what the client expects of you accurately. Keep referring back to the
brief at all times for clarification, and always keep the clients need a priority on all
occasions. Therefore, theirs need come first before anything else. Most importantly you
have to be aware that some requirements may not be discussed more in depth. Perhaps
you may need to translate or explain the meaning of whatever information the client may
present to you and make sure that you understand what he or she really means. However
Shamim Nalule
Unit 5 P1
this can also have an effect, if you misunderstand what the client is getting at so if you are
not absolutely certain of what the brief means. You can always go back to the client and
make clear anything that maybe confusing to you.
When I was reading my unit 36 work brief, I had to make sure that I read and processed in
all the instructions thats were laid out. I was given a grade boundary that will determine my
work ethic at the end when all work my work is done. For example to get a merit or
distinction you need to go IN DEPTH looking at various types of presenting styles and
comparing them. Now to get this target grade one would need to do as told in the brief.
Another example, to get a DISTINCTION, you will need to look at how different presenting
styles target different SOCIAL CLASS. And WIDER IDEAS around presenting style. To
obviously get a higher grade you would need to research more in depth and spend more
time and effort in the work you will later on produce.
A formal consultation with the client is extremely significant and although not every client
will make the face to face communication, it is important to make certain that you open
a path of communication with them to clarify that they can feed back to you with concepts
and present valuable input. However this doesnt mean that you wont have a level of
freedom to decide what you think should or could be changed in a brief as you are being
paid for your creative input and ideas. However you are employed by the client and
therefore working for them so it important to involve the client in everything.
I worked on several briefs from my client for example on another brief where my task was
Constraints
You will already be well informed all work supplied is a matter to legal, ethical and
regulatory limitation and you need to make sure that you are aware what these restrictions
are an how you can work within them. For insistence when I was planning to shoot a short
film for my unit 22 p2 work, I had to shoot some scenes in public places. Before I could
proceed with the film process, I had to consider the constraints that we might have faced.
So therefore I had to contact the local council and consult with them about filming in public
places, we had to ask for permission before processing with the film shooting otherwise we
would have been breaking the law and we could have been fined or imprison for criminal
offense. You have to remember that you are legally bound to formally hand over to your
client the whole project as laid out in the contract between you. If you however fail to meet
the arranged or agreed to the production arrangement within the precise budget and term
(the latest time or date) could be an act of breaking the agreement and lead to the loss of
money, respect, reputation and perhaps the whole project, as well lead to legal
consequence for breaking the code of conduct.
Each medium is managed or maintained by its own governing body, as ofcom for instance.
This lays down and makes something to happen by force or necessity. You need to be aware
Shamim Nalule
Unit 5 P1
of the limiting conditions of the these governing bodies may place on your production and
what the possible effect s may perhaps be if you choose to refuse to acknowledge them.
Ensure that you are clear about any codes of practise and legislation that apply to your
region of expertise. Furthermore I was working for BBC dirty south, which means that they
also have codes and practices that I had to be aware of and follow I had to keep in mind that
the British public has to pay a license fee, which mean that watching live television required
one to hold a television license. And this will enable you to watch and record live TV
broadcasts. License fee costs over 50.00. this could have been a restriction but it didnt
affect me in any way as I put a focus group together and questioned them with they hold
television licence and 100% of the target audience said yes.
Negotiating the brief
When attempting to negotiate a brief and agreeing with the changes, I would have to converse with
the client and in a calm professional manor and question the ground behind the proposal and
excellent example of when I had to negotiate a particular brief was when I had to negotiate a brief
on dirty south. It was about me producing a moving image (preferably) on a fictional or factual basis.
I had to go through the brief thoroughly just to make sure that the target audience would be
intrigued by the concept. Negotiating a brief requires you to build a good working relationship with
your client as the only way to be progressive is through good communication and liaising with the
client. Wanting to make changes as a respondent will require you to give well detailed and
persuasive information in order to convince the client in to considering new ideas. Furthermore,
when negotiating you have to act ethically in every part of the production process. You must
be aware that you cannot say, do or present whatever you feel but must however think
carefully and contemplate about the thoughts, concepts and opinions of the other people in
every action you take
Stages of negotiating
- Prepare When preparing to negotiate you will need to do some research beforehand so
that you know what you want from the negotiation
- Open : Once you start negotiating you would want to let your opponent know what you
want from this negotiating process and then letting then tell you what they would want out
if it.
- Argue you will need to have evidence for your reasons and then uncover some of their
argument
- Explore you will need to see if there are any agreeable outcomes
- Signal - show your opponent that you are ready for an agreement so they know when to
stop negotiating and finalize the agreement.
- Package Think of acceptable terms for both sides.
- Close at the end youll probably come to an agreement, so get ready to finalize the
agreement with the other side.
Sustain Ensure that both sides follows the negotiated agreement properly so that there are no
errors in the finalized agreement.

Opportunities
When I was reading the brief I registered that you could acquire new abilities or skills as you
work out the motive of the brief and initiate the understanding of how a brief operates such
as the layout and structure. You can also obtain expertise as working through a brief. One
has to be able to read in order to understand what is being required, I this could also be
ones test to show that you can read and write and if you are able to that shows that you
can respond to your client with efficient concepts. Elements such as negotiating a brief, with
a client also tests ones communication skills; having the ability understand what the client
want is very vital and significant as your aim to make them happy, when you provide a
product that they are happy with, they will therefore refer you to other people, so word of
mouth will spread and you will have more job opportunities. Furthermore reading a brief
could help you improve on your developmental skills; researching and having the ability to
be organised will develop you in your professional life.
