Wellesley POPS - Parents of Performing Students, Inc. Executive Board Meeting June 5, 2013 6:30 P.M.

Wellesley High School Library Wellesley, MA In Attendance: President Ursula King, Marietta Boon, Ann Rappaport, Cindy Buser, Susan Logue, Michael Scholl, Sharon Lowe, Kim Hornung. President's Welcome - Ursula King opened the meeting and thanked everyone for attending. Secretarys Report Kim Hornung The minutes of the previous Executive Board Meeting held on March 12, 2013 were approved. Treasurer's Report - Marietta Boon Currently, POPS has approximately $25,000 in the bank mostly due to donations from the POPS Perspective mailing. Some money was made on the high school music concessions, and the middle school will know and report later on how much money was made there. Due to low attendance at the Drama Festival, POPS actually lost money. It has been suggested that going forward, POPS should charge more for food. In terms of the awards for Seniors, checks were written by POPS to sponsor these awards. Paper and folders were used for the Senior Certificates. Pizza was served to the students at the Step-Up Concert, and Mr. Scott included this fee with the fee for the concert attire, so POPS did make some money. High school buttons, tee shirts, and potlucks were part of drama support. The middle school had posters for two plays. It is Ursulas opinion that supporting these events with publicity is the right thing to do. This program has changed in the last five years, so the $500 needs to be increased to accommodate these changes. Posters were donated for the productions. POPS bought the sandwich boards for the middle school. Guest artists were maxed out. Miscellaneous - $2000 was given as a donation & $500 was reserved for the PA Banquet. Teacher Appreciation Gift Cards were given to the high school teachers at the Banquet, and Allison distributed the gift cards to the middle school teachers. Each received a $50 TD Bank certificate inside a nice gift box. Restricted Funds - $7450 added to $2500 paid out at $9450 - $500 for the reception. It was suggested that the amount of the Banquet tickets be increased so that we can break even.

Publicity Cindy Buser All of the Senior Profiles have been completed. Lauri Maney will handle Publicity in the upcoming academic year with two new people on drama. Cindys daughter will be graduating from high school this month, so Cindy will be turning over the reins. Katie Smith-Milway will help with this effort. Cindy has a set of keys as does Mr. Wroblewski for the display cases in the high school. The upcoming musical Legally Blonde will be displayed in the cases. The Jazz Band will be performing at the Hatch Shell, so this event will provide additional photographs to be added to the cases. The spring pictures and plays did not make it into The Townsman. POPS would like to write two short articles for The Townsman one representing the high school and one representing the middle school. It was three years ago that the town ruled that no more sandwich boards would be allowed to be displayed on public land.

Website Ann Rappaport Ann commented that there hadnt been much going on. Ann posts information as people send it to her. There have been complaints about the Google calendar, but Ann is no longer in charge of that particular calendar, so it is up to Allison Madden to address those concerns. Ann feels that now that Allison handles the Google calendar, the position of Website Coordinator through POPS will eventually vaporize. Ann feels that the Website Coordinator position requires special knowledge and a lot of work. POPS may want to do their own website which is separate from the districts website. Beth Perry would like to see changes made. Rob Ford is in the process of redesigning the entire school systems website. Once this website is up and running, we will learn how it is going to work. Conversations have suggested that the departments will be responsible for their own information on this website. Michael Scholl suggested a Facebook page, but Ann feels that Facebook doesnt do exactly what one wants it to do plus it is a big responsibility.

Drama Susan Logue

Susan thanked Sharon Lowe for attending the POPS Executive Board Meeting as Sharon will be taking over Susans position as Drama Rep. Susans children will be graduating from W ellesley High School this month, so she is turning over the reins as well. Julia Miwa will be taking on a new position Signs & Designs which falls under the auspices of Drama. Signs & Designs will include tee shirts, poster designs & music programs. All volunteers have been listed because some of the top positions have not yet been filled, and POPS needs to know whos who. Allison Madden will handle pieces of the various programs with the exception of the ads. Beth Perry would like to have Allison take charge of the names & musical pieces that will appear on the programs. When Mr. Wroblewski submits the names to POPS then to Allison, people cannot be forgotten, and names cannot be misspelled. Amanda Derderian, Julia Miwa, Laura Hockett, and Susan Logue went round and round trying to make certain that this information was correct and everyone was included. POPS uses the musical program book to provide information if there is a fundraiser, and the Middle School Production Center prints it.

A student artist is most desirable for the poster artwork, however, the company in Woburn that has traditionally been supporting this effort for POPS offers the best prices. Posters are printed one time in the fall, twice during the winter period, and twice in the spring.

Middle School Michael Scholl The most recent WMS play was written by the students. The sixth & seventh grade chorus, sixth & seventh grade band, eighth grade band, and eighth grade chorus were included in the production. Henry Platt was recognized at several events for his twenty-five years of service at the Wellesley Public Schools.

General Business Ursula King Ursula shared part of Henry Platts story about joining the W ellesley Public School district. Ursula discussed the recruitment of new volunteers for POPS. The possibility of getting permission to have access to a mailing list for both the POPS Banquet & recruitment for POPS is desirable. She will continue her recruiting effort until the end of the month as she does not feel comfortable that the transition has not taken place. She hasnt yet reached down to the middle school to fill top positions that are open.

Ursula would like to talk to someone about the yearbook photos and have a list of photos sent out to faculty. This task should be given to Beth Perry & Allison Madden. Sharon Lowe will be taking over the banners. Currently, they are felt banners and the cost is $300. Cindy Buser suggested laminating the posters that the students receive. Ursula will speak to Beth and depending on how she would like to do it, maybe POPS will agree to frame them. Ursula is currently trying to locate one of the P.O. Box keys. Most of the information that is delivered to the Post Office Box relates to the program book, the banquet, and the summer mailing.
