Dear [Manager's Name or Sir or Madam]

Subject: Claim for 'denied boarding' flight refund [and/or] compensation

On [insert date], I was booked to travel from [insert departure point] to [insert arrival point] on flight number [insert
flight number]. I arrived [insert length of time] before the flight was scheduled to depart, but was denied boarding
because the flight was overbooked.

Compensation Claim:

[NB. If, when the flight was overbooked, you volunteered to be 'denied boarding' in return for an incentive, then you
are NOT entitled to compensation, but you are still entitled to a refund – skip to refund section. You are only entitled
to compensation if the airline denied you boarding because of overbooking. If you were denied for another reason,
such as late arrival, then you will probably not qualify.]

My flight was [insert approximate length in kilometres] long and being denied boarding involuntarily meant I was or
would have been over [insert hours] late arriving at my destination. Under EU regulation 216/2004, I am entitled to
[insert amount – take a look at 'Know your rights when your flight is delayed or cancelled' to find out how much you
are entitled to] of compensation. Please compensate me as soon as possible.

Refund claim:

[NB. If you accepted an alternative route or later flight, you are NOT entitled to a refund. But if you accepted an
alternative flight and were involuntarily denied boarding, you are still entitled to compensation]

I decided not to accept an alternative route or later flight. I had a return ticket and had not used any portion of my
ticket. Under EU regulation 261/2004, I am entitled to a full refund of the cost of the ticket. Please refund me [insert
cost of ticket] as soon as possible.

[Or, if you were on the return leg of your journey and did not accept an alternative:]

I had a return ticket and had used the outbound portion of my ticket. I decided not to accept an alternative route or
later flight. Under EU regulation 261/2004, I am entitled to a refund for the return portion of my ticket. Please refund
me as soon as possible.

[Or, if you were part of the way through a connecting flight and the denial of boarding meant the flight no longer had
any relevance to the journey you were trying to make:]

I was on a connecting flight. The denial of boarding meant I could no longer reach my final destination, [insert final
arrival point] and I was forced to return to my original departure point. Under EU regulation 261/2004, I am entitled
to full refund for the total cost of my ticket. Please refund me [insert cost of ticket] as soon as possible.

My total claim is for [if you making a combined refund and compensation claim, insert the amount of both claims].
Please respond within the next 14 days.

Yours sincerely [or faithfully]
